1. Define what students should learn
Start with a question students can investigate at the plant, rather than booking a tour and trying to add a lesson later. For example: How does raw material become a finished product? Where do workers measure quality? What roles use engineering, mathematics, science, maintenance, logistics or data skills?

Choose two or three observable outcomes. Students might map a production process, identify a quality-control step, or explain how a particular job contributes to safe production. Decide how they will demonstrate their learning afterward, such as through a process map, short report or class discussion. Victoria’s employer-visit guidance recommends setting goals such as exploring career pathways or workplace safety; Pennsylvania guidance for educator visits emphasizes curriculum alignment, measurable objectives and follow-up assessment (Victorian employer-visit guidance; Pennsylvania educator-visit guidance).

2. Find a suitable plant and agree on the visit format
Contact local manufacturers, workforce-development organizations, technical colleges or industry associations. In your first message, include the students’ age or grade range, group size, learning goals, accessibility needs and preferred dates. Ask whether the site can accommodate the group and whether it can offer an introduction, guided tour, demonstration, worker Q&A or discussion of career pathways. A Victorian example for Years 9–10 combines a short talk with a worksite tour; that is one possible format, not a standard itinerary.
Compare candidate sites against the needs of your class rather than choosing on proximity alone. Consider learning fit, age suitability, visitor capacity and duration, accessibility, travel, site controls and whether students can ask questions or see a relevant process. The following comparison prompts are planning criteria, not a published ranking system.
| What to compare | Questions to ask |
|---|---|
| Learning fit | Can students observe a process, quality check, safety system, sustainability measure, automation example or relevant career? |
| Group and age suitability | Can the host accommodate the age group and group size, and what is the maximum visitor capacity? |
| Visit format | How long is the visit? Is there a guide, demonstration, Q&A or time for student questions? |
| Access and support | Can the route and facilities meet the group’s accessibility and support needs? |
| Safety and site rules | What areas are restricted, what hazards should the school know about, and what clothing or PPE is required? |
| Practical arrangements | Where should transport arrive? Are washrooms, food, photography and cancellation arrangements clear? |
Confirm the details with the host in writing: route, agenda, guide, permitted activities, arrival point, visitor rules, photography, food, washrooms, cancellation process and who supplies any required PPE. Ask for site-specific hazard and emergency information. Where school policy calls for it, check the outside organization’s relevant safety standards, insurance, policies and staff competence; England’s Department for Education guidance discusses such checks for visits involving outside organizations (Department for Education guidance for England).

3. Complete the school’s approval and risk-planning process
Check your school or district’s excursion policy and approval route before confirming the trip. Assess the actual visit: the students, activities, plant environment and equipment, transport, supervision, health needs, possible disruption and emergency response. Ask the host about site hazards and procedures, then incorporate relevant information into the school’s own plan.
Do not rely on a manufacturer’s assessment to cover the school’s responsibilities. Victorian Department of Education guidance states, “Schools must not rely solely on an external provider’s risk assessment.” The Health and Safety Executive (HSE) in the UK likewise says that “the focus should be on how the real risks arising from such visits are managed and not on paperwork.” The aim is a proportionate plan for the real circumstances, not paperwork for its own sake (Victorian school risk guidance; HSE guidance on school visits).
Requirements differ by jurisdiction. England’s Department for Education guidance distinguishes routine visits from those needing more detailed planning and informed approval. Its consent guidance is specific to England: it says written consent is usually needed for higher-risk or outside-hours trips, and that parents should be informed and given an opportunity to withdraw for relevant visits. Follow your own school’s rules instead of treating those examples as universal (Department for Education guidance for England).

4. Plan for students, supervision and emergencies
Review student age and maturity, disability access, medical and allergy information, support needs and emergency contacts in line with school policy. Assign adult roles and agree how the group will take headcounts, communicate, respond to separation or injury, evacuate, and handle a delayed return. Do not assume a universal adult-to-student ratio: follow the applicable local policy and assess the particular group and visit.

5. Prepare students for the plant environment
Ask the host what students should wear, whether PPE is required, where they may walk, what machinery or materials they may encounter, and which behaviors are prohibited. Requirements depend on the facility and the school’s risk assessment; there is no universal PPE list for manufacturing visits. NSW guidance specifically advises organizers to identify site and industry hazards and PPE requirements and to ensure appropriate clothing, footwear and specialist safety equipment (NSW industry-visit guidance).
Before departure, brief students and accompanying adults on the agenda, boundaries, clothing, PPE, conduct and emergency instructions. Make clear that students must stay with the group, follow the host’s instructions, avoid touching equipment unless an activity is explicitly authorized, and ask questions at appropriate times. Queensland guidance also emphasizes induction and compliance with facility instructions (Queensland practical workshop safety guidance).
Some facilities warrant special consideration. NSW guidance generally discourages visits to abattoirs and meat-processing plants because of Q fever and other zoonotic disease risks, while describing a limited course-related exception for older students. That warning concerns those facilities under NSW guidance; it should not be generalized to all manufacturers (NSW industry-visit guidance).

- High Capacity Clip Board: Clipboard design with storage space, can securely hold up more than 200 letter-sized documents, it has twice the capacity of other clipboards. Have a pen holder at the bottom of the clipboard case, can holds up to 6 pencils
6. Use a focused itinerary and follow up on learning
Open with the learning question and let the host deliver the site induction before the tour. Give students a small number of observation prompts tied to the outcomes—for example, identify a production stage, notice how quality is checked, or record which roles contribute to a process. Leave time for questions about production, safety and careers. Include a hands-on activity only if the host agrees and the school has assessed it.
After the visit, use the assessment method you chose at the start: a process map, short report, reflection or class discussion. Gather feedback from students, staff and the host. Record incidents, accidents and near misses, and use what you learn to improve future planning. Victoria recommends collecting feedback and reviewing the experience; England guidance also recommends evaluating visits and recording incidents and near misses (Victorian employer-visit guidance; Department for Education guidance for England).
Planning checklist
Before contacting a host
- Choose the class and age range, curriculum connection and learning outcomes.
- Estimate group size, supervision needs, accessibility requirements and preferred dates.
- Decide what students should observe or ask about, such as production steps, quality checks, safety systems, sustainability, automation or careers.
When coordinating with the facility
- Confirm the host can accommodate the group’s age range and size.
- Agree on duration, agenda, route, guide, Q&A and any demonstration.
- Obtain visitor rules, site hazard information, emergency procedures, restricted-area details, and clothing and PPE requirements.
- Clarify photography, food, washrooms, accessibility, arrival point and cancellation arrangements.
- Check whether school policy requires review of the host’s safety standards, insurance, relevant policies or staff competence.
Before departure
- Obtain school approval and provide parent or carer communication or consent as local rules require.
- Complete and review the school’s own risk assessment, including transport and student-specific needs.
- Confirm staff roles, attendance list, emergency contacts, first-aid arrangements and communications.
- Brief students and adults on the agenda, conduct, clothing, PPE, boundaries and emergency instructions.
After the visit
- Assess learning against the original outcomes.
- Gather student, staff and host feedback.
- Record incidents, accidents and near misses, and apply lessons to future visits.
How to adapt the plan to local rules
The guidance cited here comes from different jurisdictions and is not interchangeable. England Department for Education guidance applies to England; Queensland’s cited guidance concerns Queensland state-school practical workshop activities; and the Victorian risk guidance applies to Victorian government schools. NSW guidance addresses industry hazards and PPE. Check the current excursion policy and approval requirements for your own school, and ask the host for requirements specific to its site.
