Keep authoritative care references as sources and your own observations in notes. This structure makes changes and outcomes easier to find without treating NotebookLM as a plant database or diagnostic tool.
Choose a notebook for a coherent collection
Keep plants together when they share a project and the same reference material is useful across the collection. Split a very large or unrelated collection into separate notebooks when that makes the material easier to manage. Google describes notebooks as independent, so do not expect a question in one notebook to search the sources in another. NotebookLM’s current Google help uses the Gemini Notebook branding; interface labels can change. Google NotebookLM help

Give each plant a stable identity
Choose a consistent plant key and use it everywhere. A familiar common name plus the scientific name, if known, is a useful start. Add a room, location, or distinguishing detail when you have lookalike plants—for example, “Monstera deliciosa — living room” rather than just “Monstera.” These names are your own organizing convention, not an automatic NotebookLM plant record feature.
Make one profile for each plant
Keep stable identification and care context in a plant profile, separate from the history of individual problems. Include the plant’s name, where it came from, where it is kept, its light and soil or pot context, known care needs, dated observations, and routine actions. NC State Extension’s plant-profile guidance similarly recommends recording names, source, planting date, observations, known problems, and dated activities. NC State Extension: Garden Journaling

Record each problem as a dated case
Create a new record when a problem appears, then add dated updates rather than overwriting the original observation. Use one title pattern consistently, such as Plant ID — symptom — YYYY-MM-DD. Put the exact plant key in the record so it can be connected to the corresponding profile.
Problem-record template
- Plant name or ID and location
- Date first observed and date of each update
- Symptoms: color, shape, affected parts, spread, and severity
- Conditions: light, temperature, humidity if known, soil moisture, pot and drainage, and recent changes
- Recent care, including watering, fertilizer, repotting, moving, or treatment
- Photos or other evidence
- Possible explanations, clearly marked as unconfirmed
- Guidance source consulted
- Action taken and its date
- Result at the next check; leave the case open if unresolved
NC State Extension recommends tracking the plant, symptoms, environment, pest identification, actions, and results. The template makes it easier to compare changes over time, but it cannot guarantee a diagnosis. NC State Extension: Garden Journaling

Use a small, consistent label set
Labels can make profiles and cases easier to filter or recognize. Start with a short set such as plant-profile, problem, watering, light, pest, disease, repotting, and resolved or monitor. Apply a plant label and a problem-type label where useful. These are suggested user-created labels, not a Google plant-care taxonomy. Google NotebookLM help

Keep references distinct from your observations
Add authoritative care guides and diagnostic references as sources. Use notes for your observations, questions, and conclusions, and keep a citation or link beside claims that could affect care. Google documents adding sources and creating notes within the notebook workspace; specific interface details may change. Google NotebookLM help
Make records useful for diagnosis over time
Date observations and preserve context
Record when you noticed a change and what conditions were like then. NC State Extension recommends dates and environmental observations in a garden journal; without them, it is harder to reconstruct seasonal patterns or tell whether an action preceded an improvement. NC State Extension: Garden Journaling
Treat causes as hypotheses
Leaf yellowing, spots, wilting, or other visible symptoms can have more than one cause. Iowa State University Extension notes that multiple factors may contribute to houseplant problems and cautions that treating a symptom without addressing its underlying cause may not solve it. Record suspected causes as unconfirmed until evidence supports them. Iowa State University Extension: Diagnosing Houseplant Problems
Log watering observations, not a universal interval
Record when you watered and what you observed about the soil and plant rather than assigning every plant the same calendar schedule. Illinois Extension explains that watering needs depend on the plant and growing conditions and recommends checking soil; it also cautions that a water-meter probe may not always be reliable.
