Start by deciding whether you want to replace only the desktop Office apps or leave Microsoft 365 services too. Installing another word processor does not move or replace Exchange Online mail and calendars, SharePoint and OneDrive files, Teams workflows, or your sign-in system. Inventory each workload, choose a destination for it, then pilot representative files and data before a staged cutover.
What does “on-premises office suite” mean for your migration?
The phrase can mean either locally installed office applications or a broader set of productivity services operated by your organization. Those are different projects. A desktop suite handles documents, spreadsheets, and presentations; email, calendars, shared storage, identity, and collaboration need their own destinations and migration plans.

Microsoft Office LTSC is a commercial desktop suite, not Microsoft 365 under another name. Microsoft says LTSC does not include services such as Exchange Online or SharePoint Online, and it does not receive feature updates after release. Microsoft’s support page lists Office LTSC 2024 and LTSC 2021 as current commercial suite versions; it also says support for Office 2016 and Office 2019 ended October 14, 2025.

Do not compare these choices as if they were equivalent bundles. One is a desktop product, one is an alternative desktop suite, and a self-hosted environment must be assembled from separate products.

Before moving data, write down a destination for every workload you intend to keep: desktop editing, mail, calendars, contacts, shared files, personal files, identity and sign-in, collaboration, retention, and archives. If you are replacing only desktop Office, make that boundary explicit and leave the Microsoft 365 services that remain in use out of the app-conversion project.
How to inventory your Microsoft 365 environment
Build an inventory that connects each person and business process to the files and services it depends on. A spreadsheet or asset register is sufficient if it captures ownership, destination, migration method, validation owner, and whether the item can be retired.

- People and devices: users, computers, installed Office apps, operating systems, shared devices, and sign-in requirements.
- Documents and automation: personal and shared files, SharePoint sites, OneDrive content, templates, add-ins, macros, and integrations.
- Communication: Exchange mailboxes, calendars, contacts, shared mailboxes, archives, distribution lists, and Teams workflows.
- Governance: permissions, retention needs, records, legal holds, backup requirements, and recovery expectations.
- Dependencies: linked workbooks, applications that read or write Office files, scheduled jobs, and processes that rely on shared editing or search.
For each item, record whether it must move, can be retired, or must remain in Microsoft 365 for now. That distinction prevents an app replacement from being mistaken for a complete service exit.

Test files that carry business risk
Do not validate compatibility by opening a few simple documents. Select representative high-value and high-risk files: macro-enabled Excel workbooks, complex formulas, linked workbooks, templates, long Word documents, forms, tracked changes, and presentations with embedded media. Ask the people who use them to check the output against the original and confirm that the related work still functions.

Understand Microsoft-format support and macros
LibreOffice Help says LibreOffice can open and save Microsoft Word, Excel, and PowerPoint formats, including Office Open XML (OOXML), and lets users choose Microsoft formats as save defaults. That support is not a guarantee that every file will render or behave identically. In particular, LibreOffice Help explains that Office VBA and LibreOffice Basic use different objects and methods; macros generally need editing to work across the applications.
Keep untouched source copies. For files that users will continue to exchange with Microsoft Office users, test a round trip in both applications and decide which format is authoritative. Check fonts, page layout, formulas, charts, links, tracked changes, and embedded content—not just whether the file opens.

How to convert Office documents in batches
If your target is OpenDocument, LibreOffice’s Document Converter Wizard can copy and convert Office files in a folder. Treat that as a conversion tool, not as proof that the converted collection is complete or correct.
- Pilot a representative folder. Include ordinary documents as well as the complex files identified in your audit.
- Convert copies, not your only originals. Preserve the original files unchanged so users can recover content that does not convert as expected.
- Review conversion results. Log failures and compare representative converted files with their sources, including formulas, layouts, macros, links, and embedded media.
- Set a format rule. Agree whether OpenDocument or a Microsoft format is authoritative for each workflow, especially where external collaborators use Microsoft Office.
- Expand in controlled batches. Convert the remaining files only after the pilot passes the acceptance checks set by the file owners.
How to plan email, calendars, and contacts separately
Mailbox migration is not the same task as document conversion. Microsoft’s mailbox migration guidance describes routes for moving data into Microsoft 365, including Exchange migration approaches, PST import, IMAP, user import, and migration-partner assistance. Those inbound instructions should not be treated as a ready-made recipe for moving from Microsoft 365 to an on-premises or different mail system. For the destination system, follow its current import and export guidance and validate each data category.

Know what IMAP does not carry
Microsoft says its IMAP migration moves email messages in inboxes and other mail folders, but not contacts, calendar items, or tasks. Those items need a separate migration method, and the destination mailboxes must already exist. Plan and test messages, contacts, calendars, tasks, archives, and shared mailboxes as distinct items rather than assuming that a successful mail-folder transfer moved everything.
Do not mistake Microsoft-targeted PST import for an export plan
Microsoft describes its Import Service as a way to move PST data into Microsoft 365. That does not establish a general method for exporting Microsoft 365 data into an on-premises destination. Confirm that your destination supports the required data types and that the process preserves the information your organization needs.
How to pilot and cut over safely
Choose a pilot group whose work represents the systems and file types in your inventory. Before expanding the migration, set measurable acceptance criteria, identify who signs off, and agree on a rollback window. The exact checks depend on your workflows, but a useful pilot covers:

- Shared editing, permissions, search, and access to team and personal files.
- Mail flow, calendars, address books, archives, and the data types not carried by an email-only transfer.
- Identity and sign-in, required integrations, backup, recovery, and the ability to resume work if cutover fails.
Move in stages only after owners confirm the pilot meets the agreed criteria. Keep the old environment available during the rollback window, and do not decommission services or delete source data until the responsible owners have confirmed that the required information and workflows are working at the destination.
What to expect from the migration guidance
Microsoft’s published mailbox routes are primarily guidance for migrations into Microsoft 365, not a complete Microsoft 365 offboarding procedure. The cited product documentation establishes the distinction between Office desktop software and Microsoft 365 services, LibreOffice’s Microsoft-format support and macro differences, and limitations of Microsoft’s IMAP and PST routes. It does not identify a specific on-premises mail, storage, collaboration, or identity stack that suits every organization. Target choices depend on your existing systems, organizational scale, geography, and compliance obligations.
