To migrate email to Zoho Mail, first add and verify your domain and create the destination mailboxes. Then choose a migration route based on the source: use Zoho’s one-click option for Google Workspace or Microsoft 365, IMAP for most other providers, and POP only when IMAP is unavailable. For Exchange, PST archives, or EML files, use the relevant Zoho migration or import workflow. Test a small batch, coordinate the mail-routing change, and check the results before considering the move complete.
Choose the migration route that fits your source
The source service and the format of your existing mail determine which method to use. Zoho documents provider-specific one-click migrations for Google Workspace and Microsoft 365; its general migration guidance recommends server-to-server IMAP when the source supports it.

| Source situation | Recommended route | What to check |
|---|---|---|
| Google Workspace or Microsoft 365 | Consider Zoho’s provider-specific one-click migration. IMAP migration is also documented for these sources. | Confirm current authorization and account requirements with the provider before starting. Zoho says its one-click option currently supports these two services. Zoho Mail migration overview |
| Another provider with IMAP | Use IMAP server-to-server migration. | Get the source server hostname, port, credentials, SSL details, and any required folder path prefix. Zoho lists ports 143 and 993 for its generic IMAP setup and requires trusted SSL certificates. Zoho Mail IMAP migration instructions |
| Source without IMAP but with POP | Use POP as a fallback. | POP does not preserve folder hierarchy or read/unread state in the same way as IMAP, and migration failures can be harder to diagnose. Zoho Mail migration overview |
| On-premises Exchange, PST archives, or EML files | Use the appropriate Zoho migration wizard workflow; for EML files, Zoho also documents a web import option. | Wizard prerequisites differ from the web import route. The web EML ZIP import accepts archives up to 500 MB. Zoho Mail migration overview Zoho Mail EML import instructions |
Prepare Zoho Mail and the source account
Set up the destination before creating or running migration batches. Zoho’s guidance says to add and verify the domain and create destination users and groups first; migration users need matching destination mailboxes.
- Add and verify the domain: In the Zoho Mail Admin Console, add the domain and complete the verification steps Zoho provides.
- Create destination accounts: Add every mailbox and group that will receive migrated mail. Confirm adequate storage is available; mailbox storage depends on the Zoho plan. Zoho Mail migration guidelines Zoho Mail storage limits
- Inventory the source: Record the provider, users, mailbox sizes, special folders, and authentication requirements. For IMAP, obtain the hostname, port, credentials, SSL settings, and any path prefix.
- Keep source access working: Ensure credentials remain valid during the migration, and check whether the provider requires OAuth, app passwords, or other authorization. Provider policies can change, so verify the requirements for the specific source accounts.
- Check the connection settings: Zoho lists IMAP port 143 for non-SSL and 993 for SSL. Its instructions state that only trusted SSL certificates are supported; self-signed certificates are not. Zoho Mail IMAP migration instructions
Run a test migration before moving everyone
Create a migration batch for a small sample of users before migrating the full organization. Zoho recommends a sample of 2–10 users. Use the test to confirm that authentication works, the expected folders appear, and the resulting mailbox contents are usable.

- Select the migration method and enter the source details in the Zoho Mail Admin Console migration workflow.
- Add a small sample of source users and map each one to the correct destination mailbox.
- Run the batch and inspect its status, folder details, mailbox sizes, and any reported failures.
- Correct authentication or configuration problems, then retry the affected users before expanding the migration.
Complete the migration and coordinate mail delivery
For an organization-wide move, make the migration and mail-routing change part of one planned transition. Tell users when service is changing and provide their Zoho login details. Zoho’s guidance suggests scheduling the MX change during a low-volume period, such as a weekend, and using email routing to help avoid missed mail while delivery changes over.
- After the sample succeeds, create the remaining migration batches and run them using the selected route.
- Coordinate the MX and any related routing changes with the time users will start using Zoho Mail.
- After the routing change, rerun or synchronize completed users where the admin console provides that action, to pick up mail delivered before the switch. Zoho describes duplicate handling as being managed on its end in this workflow.
- Review migration failures and retry affected users. For completed users, use synchronization where available to capture later-arriving source mail.
Check the results and plan for variable timing
Do not treat a completed batch status as the only check. Compare expected folders and message counts with the destination, inspect mailbox sizes, and review the migration failure report. Retry failed users and investigate any missing folders or messages before retiring access to the source service.

Migration duration varies with mailbox size, batch size, connection settings, and source-server limits. Zoho gives an illustrative estimate of approximately 11 hours for a batch of 25 users with mailboxes around 2 GB each and the maximum Connection Limit set to 10. This is a vendor example, not a guarantee; Zoho also warns that source servers can throttle IMAP fetching. Zoho Mail migration guidelines
Zoho’s rates-and-limits documentation lists operational caps of 1,000 users per migration batch, 50 concurrent migration processes, and 1,000 users per bulk import. These limits and available storage can change, so check the current documentation before planning a large migration. Zoho Mail rates and limits
