Manage every WhatsApp Business number as a separate account. A WhatsApp account is verified with one phone number, so dual-SIM or eSIM cannot attach a second number to the same account. For a small support team, give each line a clear purpose, register each number separately, and link approved teammates’ devices. WhatsApp documents up to four linked devices for the Business app. Accounts with certain Meta Verified or Meta One benefits may support up to 10 devices, chat assignment, and agent/device attribution. When you need more controlled routing, integrations, or oversight, evaluate the WhatsApp Business Platform for your business and region.
This guide explains the account limits, a practical setup for several support lines, device security, team assignment, calling caveats, and the point at which the Platform becomes the more suitable architecture.

What “multiple WhatsApp Business numbers” actually means
Each phone number is a separate WhatsApp Business account identity. WhatsApp’s help documentation says an account is verified with one registered phone number and cannot add a second number. Swapping SIM cards, using dual-SIM hardware, or adding an eSIM does not turn one account into a two-number account. Read the official explanation in WhatsApp’s multiple-numbers help article.

Therefore, a support operation with a billing line, order-help line, and returns line is operating three account identities. Each number needs its own registration and customer-facing profile. You can standardize names, greetings, hours, and escalation rules across those accounts, but you cannot merge their registrations inside the Business app.

Do not confuse an account with a linked device
Linked devices are additional computers, tablets, or phones that access one existing account. They do not create additional numbers. A team can work from several devices while customers still message the same phone number.
Business app and Messenger are not a shared-number shortcut
WhatsApp states that the WhatsApp Business app and Messenger cannot use the same number simultaneously. Its general account-switching feature is also not currently available in the WhatsApp Business app. The app-download guidance and account-switching guidance explain those boundaries. If you need two active Business numbers, treat them as two accounts rather than expecting an in-app account switcher.
Choose the right setup before you register numbers
The correct design depends on how many lines you operate, how many people answer at the same time, and whether you need assignment or central oversight. WhatsApp’s own documentation describes the Business app as the straightforward option and says businesses seeking an enhanced business experience should consider the WhatsApp Business Platform.
| Setup | Number identity | Team access | Coordination features | Important limits or checks |
|---|---|---|---|---|
| Business app, one line | One registered phone number | Primary phone plus up to four linked devices under the standard linked-device limit | Shared access to the same conversations; formal assignment is not part of the standard four-device description | Primary phone must be logged in at least once every 14 days; some linked-device functions are unavailable |
| Business app with several lines | One separate account for each number | Manage each account’s linked devices independently | Use clear line roles, profiles, and an internal handoff process | The Business app does not currently provide general account switching; each number needs its own registration workflow |
| Eligible Meta Verified or Meta One benefits | Still one number per account | WhatsApp’s multiple-agent documentation describes up to 10 devices for certain benefits | Chat assignment and visibility of the agent and device that sent a message may be available | Eligibility, benefits, and availability vary by account; confirm what your account actually offers |
| WhatsApp Business Platform | Numbers are onboarded as business accounts through the Platform arrangement | Designed for a more controlled, integrated support operation | Evaluate assignment, history, integrations, escalations, and reporting with the provider you choose | Onboarding, regional availability, and commercial terms differ; WhatsApp’s cited documentation does not name a universal provider or threshold |
The device figures above are product limits from WhatsApp Help Center documentation, not independent performance measurements. Standard linked-device details are in WhatsApp’s QR-linking article; multiple-agent conditions are described at WhatsApp’s multiple-agent page.
How to set up several WhatsApp Business numbers
Repeat the following controlled process for every support line. Keep a written inventory of the number, its purpose, primary phone, approved linked devices, and the person responsible for access.
- Assign a business purpose to the number. Decide whether the line handles orders, billing, technical support, returns, or another function. Use one purpose per line where possible so customers know which number to choose.
- Prepare a unique, reachable number. The number must be available for WhatsApp’s registration verification. Do not assume that a second SIM in the same handset creates a second Business account; the account still binds to the number registered during verification.
- Register the account on its primary phone. Install the WhatsApp Business app, enter that line’s number, complete verification, and finish the business profile. The profile name and description should identify the support function rather than forcing customers to guess which line they reached.
- Separate customer-facing identities. Use consistent naming such as “Acme Orders” and “Acme Billing,” while keeping the function visible in the description and greeting. Publish each number next to its purpose on your website, receipts, order emails, and help pages. Never advertise a line for a function its team cannot handle.
- Link the responders’ devices from the primary phone. On the primary phone, open the account’s Linked devices area, choose the option to link a device, and scan the QR code shown on the teammate’s WhatsApp Web, desktop, tablet, or companion-phone screen. Linking starts from the primary phone; repeat it only for devices the account owner has approved. See the current QR-code linking instructions.
- Record every linked device. Give each device a recognizable internal name, note its user and location, and record when access was granted. This makes an unfamiliar session easier to investigate and lets you remove one person’s access without disrupting the rest of the line.
- Test before publishing the number. Send a test message from an external phone to confirm that the correct line receives it, that the profile identifies the intended team, and that responders can send and receive messages from their linked devices. Test each line separately; a successful test on one account says nothing about another account.
- Document handoffs and escalation. Because several linked-device responders may see the same conversation, define who owns a new message, how a handoff is announced, and where an unresolved case is recorded. A simple internal queue or help-desk record can prevent two agents from answering the same customer or leaving a message unanswered.
- Repeat the control for every number. Maintain a separate device list, purpose statement, and test result for each account. Do not assume that linking a device to one number grants access to the others.
How many devices can use one WhatsApp Business account?
WhatsApp says a Business account can use up to four linked devices without keeping the primary phone continuously connected. The primary phone must still be logged in at least once every 14 days to keep linked devices connected. This is a per-account limit: four devices on the orders account do not provide four additional slots on the billing account.
Some accounts with applicable Meta Verified or Meta One benefits may have a higher allowance. WhatsApp’s multiple-agent documentation describes up to 10 devices, together with chat assignment and the ability to see which agent and device sent a message. Those benefits are conditional; the maximum and availability depend on the subscription benefits offered to that account. Review the benefits shown for the specific account instead of assuming that every Business account has the expanded capacity.

What linked devices can and cannot replace
Linked devices let teammates read and answer the same account’s conversations. They do not provide a second phone number, separate customer queue, or automatic division of chats. If you need a distinct customer identity, register another number. If you need formal routing among agents, check whether the account has the applicable multiple-agent benefits or evaluate the Platform.
Security and access controls for a multi-number team
Review linked devices regularly
WhatsApp recommends checking linked devices and removing sessions you no longer recognize. Perform this review whenever an employee leaves, a contractor’s assignment ends, a phone is lost, or a device is replaced. Remove the old session from the relevant account before granting access on the replacement device. The safety guidance is available in WhatsApp’s linked-device article.
Keep the primary phones under accountable ownership
Every account has a primary phone that controls registration and device linking. Store that phone securely, keep its screen lock and operating-system updates current, and define who may approve a new QR link. If a primary phone is unavailable, responders may continue using already-linked devices for a time, but the 14-day login requirement still applies.
Use least-privilege operational habits
- Link only devices used for support, not personal computers shared by unrelated staff.
- Maintain a current device register with the account number, device owner, and removal date.
- Remove access immediately when a person no longer needs it.
- Do not post QR codes or registration codes in team chat.
- Keep customer records and escalation notes in the approved internal system rather than relying on an agent’s memory.
Important linked-device limitations
Linked devices are not identical to the primary phone. WhatsApp’s linked-device documentation lists limitations that include live-location sharing and viewing, creating or viewing broadcast lists, and adding or deleting status updates. Requirements can change as WhatsApp updates the app, so check the current in-app guidance before promising one of these functions to a remote responder.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Calling behaves differently when many devices are linked
WhatsApp’s multiple-agent documentation says calls are received on all devices when the account has up to four linked devices. For an account with more than four linked devices, calls are received only on the primary device. If voice or video calls are part of your support promise, test the exact account configuration and publish a fallback contact method rather than assuming that every linked responder will ring.
Make several support lines understandable to customers
Give every number a plain-language role
A customer should be able to choose the right line without memorizing internal departments. Put the purpose next to the number: “Order status,” “Billing questions,” or “Technical support.” If a customer reaches the wrong line, the first responder should provide the correct number and a short explanation of what that line handles.
Use consistent but distinct profiles
Keep the legal or trading name consistent where appropriate, but make the function unmistakable in each profile name, description, greeting, and operating-hours message. WhatsApp Business Platform usernames are unique to each phone number, while multiple numbers may share a display name. Username availability is rolling out gradually, so check the relevant account and region in WhatsApp’s username guidance.

Publish one source of truth
Maintain a current directory of numbers on your website and internal knowledge base. Include the hours, supported topics, expected handoff path, and emergency alternative for each line. When a number changes, update every customer touchpoint in one controlled release so old and new instructions do not conflict.
When to use assignment features or the WhatsApp Business Platform
Check expanded multiple-agent benefits first
If one number is receiving more conversations than four linked devices can handle, check whether that account has the relevant Meta Verified or Meta One benefits. WhatsApp describes chat assignment and agent/device attribution for certain eligible accounts. Assignment can clarify ownership, while attribution can show which agent and device sent a message. Neither feature is guaranteed for every account or region.
Evaluate the Platform for a larger operation
WhatsApp says businesses seeking an enhanced business experience should consider the WhatsApp Business Platform. It is the documented scale-up path to evaluate when several numbers, many simultaneous agents, or controlled integrations exceed what linked devices can comfortably provide. The Platform decision should be based on your actual workflow, not on a universal device threshold.
Compare a prospective Platform setup on these concrete points:
- Number onboarding: how existing numbers are registered or migrated, and what verification is required.
- Agent assignment: whether conversations can be routed, reassigned, and marked complete without duplicate replies.
- History and auditability: how supervisors review conversation history and identify the sender.
- Integrations: whether the setup connects to your order system, CRM, help desk, or escalation process.
- Multiple-line administration: how each number’s profile, permissions, and team are managed.
- Calling and message workflows: which support functions are available and how they differ from linked-device behavior.
- Regional availability and commercial terms: what is offered to your business location and what the current provider charges.
WhatsApp’s cited Platform recommendation does not establish a universal price, vendor ranking, or minimum number of agents. Confirm current availability and terms for your business before committing a number.
A practical operating model for several numbers
Start with ownership, not software
For each line, name an operational owner responsible for opening coverage, unanswered messages, escalations, and access reviews. The owner does not have to answer every conversation; the role exists so a missed handoff has a clear destination.
Define a repeatable conversation flow
- Respond with the line’s approved greeting and identify the support function.
- Confirm the customer’s order, account, or case reference using your approved verification process.
- Resolve the request or state exactly what information is needed next.
- If another team owns the issue, explain the handoff and record it in the internal queue.
- Close the conversation only after the customer has the next action or resolution.
Measure operations without inventing outcomes
Track operational facts you can actually observe: unanswered conversations, handoff count, open cases by line, device-access incidents, and number changes. Do not infer that multiple numbers automatically improve response time, satisfaction, or sales; the available WhatsApp documentation does not establish those outcomes.

Troubleshooting common multi-number problems
“I added a second SIM, but I still have one account”
That is expected. WhatsApp binds the account to the number used during registration. Register the second number as a separate account, or evaluate a Platform arrangement if you need centralized administration.
“Our Business app has no account switcher”
WhatsApp’s general account-switching help says the feature is not currently available in the Business app. Use the appropriate primary phone and linked devices for each account, and keep the accounts’ line purposes clearly separated.

Check whether the primary phone has been logged in within the last 14 days, then review the account’s linked-device list. If the session is no longer listed, link it again from the primary phone and update your device register.
“The fifth device cannot handle calls”
For accounts with more than four linked devices, WhatsApp says calls are received only on the primary device. Keep voice support on that phone or redesign the workflow so customers have another documented calling route.
“Two agents answered the same customer”
Linked devices provide shared access, not automatic ownership. Introduce an explicit internal claim or handoff procedure. If your account is eligible for WhatsApp’s multiple-agent benefits, use chat assignment where available; otherwise, evaluate a Platform setup with the routing and audit controls you require.
“Customers cannot tell which line to use”
Review the display name, description, greeting, website directory, and automated customer instructions for each account. Put the function beside every published number and remove old numbers from pages that no longer support them.
Implementation checklist
- Each number has its own registration and stated support purpose.
- Dual-SIM or eSIM is not being treated as a second account.
- Every account has a secured primary phone and a named owner.
- Linked devices are recorded, reviewed, and removed when access ends.
- The standard four-device limit, 14-day primary-phone requirement, and linked-device feature limits are documented for responders.
- Calling behavior has been tested for the account’s actual device count.
- Customers can find the correct number for each support topic.
- Eligibility for Meta Verified or Meta One multiple-agent benefits has been checked rather than assumed.
- Platform requirements cover assignment, history, integrations, onboarding, regional availability, and current commercial terms.
Frequently Asked Questions
Can I use more than one WhatsApp Business number?
Yes, but each number must be a separate WhatsApp Business account. WhatsApp does not let one account add a second registered number, and the Business app does not currently offer general account switching.

Can one phone manage two WhatsApp Business numbers?
The account identity remains tied to one registered number, and WhatsApp’s Business app switching feature is not currently available. Use separate primary-phone registrations or a Platform-based setup designed to administer multiple lines.
Does the primary phone need to stay online for linked devices?
No. WhatsApp says the primary phone does not have to remain connected for up to four linked devices, but it must be logged in at least once every 14 days to keep those devices connected.
Can I assign chats to individual agents?
WhatsApp’s multiple-agent documentation describes chat assignment for certain Meta Verified or Meta One benefits. Availability depends on the account’s actual benefits. Standard linked devices should be treated as shared access unless your account explicitly provides assignment controls.

Can several numbers use the same business display name?
WhatsApp says Business Platform usernames are unique to each phone number, while multiple numbers may share a display name. Username availability is rolling out gradually, so verify the option for the specific number and region.
When should a small team move from the Business app to the Platform?
Consider the Platform when separate lines, simultaneous agents, assignment, audit history, integrations, or controlled escalations are more important than the simplicity of linked devices. WhatsApp recommends evaluating the Platform for an enhanced business experience, but it does not publish one universal agent or number threshold.
