How to Manage ChatGPT Tasks’ Notifications, Permissions, and Data Access

Find ChatGPT task notification settings, manage individual schedules, review app access and approval prompts, disconnect connections, and share task links safely.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Manage task alerts in Settings > Notifications, and manage an individual task in Scheduled. For connected apps, keep three controls distinct: the account and data the app provider permits, the approval settings that determine when ChatGPT asks before an action, and your workspace’s rules. Disconnecting an app stops future access through that connection; it does not delete existing chats or saved memories.

Change task notifications and manage a scheduled task

  1. Open Settings > Notifications.
  2. Choose Push, Email, or both for task notifications.
  3. For browser push notifications, allow notifications for the ChatGPT site in your browser. For mobile push, use a supported ChatGPT mobile app and grant notification permission when prompted.
  4. To change one task, open Scheduled, select it, then edit its schedule, pause it, resume it, or delete it.

ChatGPT’s notification preference and the device or browser permission are separate: selecting Push does not override a browser or mobile operating system setting that blocks notifications. If Scheduled is missing in the desktop app, OpenAI advises using ChatGPT on the web. Task controls and availability can vary by account and app version. See OpenAI’s Scheduled tasks help article.

Review an event-triggered task’s connected-app access

Event-triggered tasks depend on an authorized connected account, the trigger and instructions you configured, the app provider’s access rules, and workspace policy. In Scheduled, inspect the selected app and account, event or trigger, conditions, and instructions. Confirm that the intended account remains connected and can access the relevant information. If an action requires approval, the task can pause while it waits for review.

App-specific trigger details

  • Slack: Add @ChatGPT to every channel the task should monitor.
  • Gmail: Triggers cover new messages and can filter by sender or subject.
  • GitHub: Triggers cover supported pull-request activity in authorized repositories on github.com.

Web and supported mobile apps can create or edit event triggers. The desktop app can show existing event-triggered tasks but cannot create or edit their trigger conditions. Availability depends on plan and workspace: OpenAI lists eligible Plus, Pro, Business, Enterprise, and Edu users and eligible ChatGPT for Healthcare workspaces; Free and Go accounts and FedRAMP workspaces are excluded. Enterprise, Edu, and Healthcare administrators must enable the feature. Healthcare event-triggered tasks are not covered under a BAA and must not be used to transmit, store, or process PHI. Check the current eligibility details for your account.

Understand app permission prompts before changing them

App permission settings control when ChatGPT asks before using an existing connection to read or act. Depending on the app and account, choices may include Always ask, Allow read actions, Allow low-risk actions, and Allow all actions. OpenAI summarizes the boundary this way: “App permissions do not grant an app new access.” The connected account’s provider-side permissions and your workspace’s policies determine what data or actions are available; changing a prompt setting does not connect an account or expand those underlying permissions.

Allow all actions, where offered, can let supported actions run without another confirmation. Sensitive actions may still require approval or be denied. In managed workspaces, an administrator may limit connected apps, event-triggered tasks, or actions. See Connected apps in ChatGPT and Managing app permissions in ChatGPT.

Disconnect an app—and handle retained data separately

To stop future access through a particular connection, open Settings, choose Apps or Plugins, select the app, and disconnect the account. The provider may also offer its own unlinking controls. In a managed workspace, ask an administrator about app availability or policy restrictions.

Disconnecting is not the same as deleting data ChatGPT already retains. Existing conversations and saved memories have separate controls. Review Settings > Personalization and saved memories, then separately review or delete relevant chats. The details of retention and model improvement vary by app; Google-specific behavior is described below.

What Google-connected data can ChatGPT use?

OpenAI says a connected Google app can provide information needed for supported requests, subject to Google account permissions and workspace settings. A regular Google app connection does not automatically create a personal synced index. An eligible workspace administrator may separately configure administrator-managed Google Drive indexing.

OpenAI’s Google app data controls FAQ says its generalized models are not trained on data directly from connected Google apps or derivations, except when the conversation is submitted as feedback, app data is manually copied, pasted, or uploaded into a ChatGPT conversation, or app data is included in ChatGPT’s response. The FAQ also says turning off Improve the model for everyone prevents app data from being used to improve models even if it appears as part of a conversation; that setting does not enable training on data accessed directly from connected Google apps. These statements concern Google app data and should not be assumed to describe every connected app.

When Memory is on, eligible information accessed through connected Google apps may personalize ChatGPT, subject to settings and provider-specific restrictions. Disconnecting Google does not itself remove existing chats or saved memories; review those separately in Personalization and your conversation history.

Share task links with care

A task link is a snapshot, not a live copy that updates when you edit the original. It contains the task title, instructions, schedule, and original time zone. It excludes creator identity, chat history, prior results, saved memories, custom instructions, attachments, connected-app data, and credentials. Anyone who can open a personal-account link can read its instructions, so do not put sensitive details in them. Qualifying managed-workspace links are restricted to workspace members.

To reflect changes to the original task in a link, use Copy link in the Share dialog to create a refreshed link. Deleting a link stops others from opening or scheduling from that link, but does not delete the original task or copies recipients have already created. A recipient schedules an independent copy using their own account capacity and permissions. For an event-triggered copy, the recipient needs Work, their own supported app connection, and any required app and workspace permissions. See OpenAI’s sharing guidance.

Know the current task limits

OpenAI’s Scheduled tasks help article, checked October 3, 2026, lists these active-task limits:

Plan Active tasks
Free and Go 3
Plus 5
Business and Edu 10
Pro and Enterprise 15

The same article says Free can schedule one-time tasks or recurring tasks no more than once daily; Free schedules use flexible windows such as morning, afternoon, or night. Hourly recurrence and exact delivery times require an eligible paid plan. Event-triggered tasks can run up to 30 times per hour and 720 times per day across all of one user’s event-triggered tasks, according to that OpenAI article. Plan eligibility, limits, and feature availability may change, so check the current article and account interface before relying on these figures.

Team tasks use managed account and workspace rules

For team tasks, connected-app access may be tied to a designated account and governed by workspace task permissions, rather than a member’s personal memories or chat history. The precise configuration depends on how the workspace administrator sets up the connection. See Creating and managing team tasks in ChatGPT, or ask your administrator which account and access policy apply.
