ChatGPT Tasks vs. Custom GPTs: Which Should You Use for Recurring Work?

Tasks automate when work runs; custom GPTs configure an assistant for interactive use. Learn which fits recurring work, supported app events, and shared workflows.

Use a ChatGPT Task when work needs to run later, repeat on a schedule, watch for changes, or respond to a supported app event. Use a custom GPT when you want to start an interactive conversation with an assistant configured for a particular job, reference material, and selected tools. Tasks cannot run custom GPTs, so the choice depends on whether you need automation or a reusable assistant.

ChatGPT tasks vs. custom GPTs: which should you use for recurring work?

Think of Tasks as the timing and trigger layer: you tell ChatGPT what to do and when, or what supported event to watch for. A custom GPT is a configured assistant: you set its instructions, knowledge files, and selected tools, then start a conversation when you need it.

Your need Better starting point Why
A reminder, daily brief, or recurring analysis Scheduled Task Tasks can run once or recur, within current plan and account limits. OpenAI’s Scheduled tasks guide describes scheduling and task management.
Check a supported app event and prepare a response Event-triggered Task Supported examples include Gmail messages, Slack channel messages, and GitHub pull request activity, subject to eligible access, app connections, and permissions. The task guide and release notes describe availability.
Reuse a consistent assistant persona, instructions, reference files, or selected tools in interactive work Custom GPT GPTs are configurable assistants, but you initiate each conversation. Tasks do not support GPTs.
Keep a recurring workflow maintainable if its creator is away Team Task Authorized teammates can review, update, and maintain shared tasks; the team’s connections and permissions determine what they can access and do.
Build a workflow intended to last Check the product roadmap first OpenAI says it plans to retire custom GPTs and recommends moving workflows to Plugins. Its GPT guidance lists December 11, 2026 as the planned date for affected Enterprise workspaces and says other plans are expected to follow. Check your account-specific notice before committing to a long-lived workflow.

Can ChatGPT Tasks run a custom GPT?

No. OpenAI’s Scheduled tasks in ChatGPT documentation lists GPTs among the features Tasks do not support. A scheduled prompt therefore cannot invoke your custom GPT, inherit its configuration, or use its knowledge files as a GPT would.

If a workflow needs both recurring execution and a specialized assistant setup, do not assume a Task can call that GPT. You can instead write the relevant instructions and source requirements into the Task itself, if the task can perform the work within its available capabilities and permissions, or start the custom GPT manually when needed.

Can ChatGPT remind me or check for updates automatically?

Yes, Tasks can send one-time or recurring prompts and monitor for changes. Depending on availability and permissions, event-triggered tasks can also respond to supported activity in connected apps, including Gmail messages, Slack channel messages, and GitHub pull requests. Task notifications can be delivered by push, email, or both, depending on notification settings and device support.

Set up a scheduled Task

  1. Open ChatGPT and create a Task with a clear instruction, such as what to remind you about or what information to include in a brief.
  2. Specify when it should run: a one-time date and time or a recurrence supported by your account. For a recurring analysis, state the sources and the output you expect rather than relying on unstated context.
  3. Review the Task in the Scheduled area and set push or email notifications as appropriate for your device and account.
  4. For an app event, connect an eligible app and grant the required permissions, then define the event and the action the Task should take.

A Task may pause if it is inactive, needs further action, or its associated chat is deleted. Also, a Task created inside a project cannot access files uploaded to or stored in that project, so do not base its output on those files.

Can a custom GPT do recurring work?

A custom GPT is suited to repeatable, user-led work: the same instructions, reference knowledge, or selected tools can shape each conversation. It is not the scheduling mechanism for unattended recurring runs. You start each interaction yourself; to have ChatGPT act at a set time or in response to a supported app event, use a Task instead.

GPTs can be configured with a name, behavior, instructions, knowledge files, and selected tools or APIs. OpenAI describes common document, spreadsheet, image, text, and code files as supported knowledge sources. Memory is not currently available in custom GPTs, so do not assume it will retain conversational context from one interaction to the next.

What limits and permissions should you check?

Published active Task limits and recurrence

OpenAI’s task help page, current as of October 2026, lists these active-task limits. They are published product limits, not permanent guarantees, and can change:

Plan Active Task limit
Free and Go 3
Plus 5
Business and Edu 10
Pro and Enterprise 15

The same guidance says Free users can create a one-time Task or a recurring Task no more than once daily. Eligible paid plans support recurrence as often as hourly and exact delivery times. Models, feature availability, and limits may vary by plan, app, and workspace settings.

Event-triggered Task eligibility

Event-triggered Tasks require an eligible account, a supported connected app, and the right permissions. OpenAI lists Plus, Pro, Business, Enterprise, Edu, and eligible ChatGPT for Healthcare workspaces. Free and Go cannot create event-triggered Tasks, and FedRAMP workspaces are excluded. Enterprise, Edu, and Healthcare administrators must enable the feature. Healthcare event-triggered Tasks are not covered under a BAA and must not be used to handle protected health information (PHI).

Team Task ownership and access

Before relying on a shared Team Task, verify which team owns it, the service account’s model access, its trigger and time zone, and the app connections and permissions it needs. A model available to an individual may not be available to the team service account. A shared Space also does not automatically make all of its content available in every Task run; define the sources, requested output, and review criteria explicitly.

Which option is the better fit?

  • Choose a scheduled Task when the important requirement is that work runs later, recurs, monitors for change, or reacts to a supported connected-app event.
  • Choose a custom GPT when a person will initiate the work and needs a reusable configuration of instructions, knowledge, and selected tools.
  • Choose a Team Task when authorized teammates need to share maintenance of a recurring or trigger-based workflow, and the team’s service account has the required access.
  • Recheck the roadmap before investing in a custom-GPT-based long-term workflow: OpenAI’s GPT guidance announces a planned retirement and migration direction that may affect availability by plan.
