How to Make a Shared Task Board Accessible and Easier for Everyone to Use

A practical guide to keyboard-operable shared task boards, clear instructions, and testing real workflows with assistive technology.

Make a shared task board accessible by ensuring every task action works with a keyboard, using clear labels and predictable layouts, and testing real workflows with the browsers and assistive technologies your team uses. A board that looks simple is not necessarily easy to operate: people need to find tasks, understand controls, edit details, move work, and confirm changes without relying on a mouse, color, or unexplained icons.

Start with the whole task workflow

Review what people need to do on the board, not just whether they can view its first screen. A representative workflow includes finding a task, opening it, changing its details, moving it between groups, and confirming the update.

  • Create, edit, assign, filter, and complete tasks.
  • Open and close menus, dialogs, and detail panes.
  • Move tasks between buckets or other board groups.
  • Check that users can tell where keyboard focus is and move through controls in an understandable order.

Use the same workflow to assess the board with a keyboard and with the screen readers, browsers, and devices your team relies on. The specific combinations matter: support for one screen reader and browser does not establish how the board will work with another.

Make every action keyboard-operable

WCAG 2.2 success criterion 2.1.1, a Level A criterion, says that all functionality must be available from a keyboard. Criterion 2.1.2, also Level A, requires that keyboard focus not be trapped in a component. See the W3C’s WCAG 2.2 Recommendation.

NiHome Chore Chart for Kids & Adults, Magnetic to Do List Board w/Stand
  • Magnetic Metal Surface Compatibility: Designed exclusively for use on magnetic metal surfaces such as refrigerators, ensuring secure attachment and stability
  • Innovative Transparent Design: Made with high-quality, fully transparent acrylic, combined with super-strong magnets for easy attachment to the side of your refrigerator. This ensures the plan board is stable and brings a touch of fresh, modern aesthetics to any home, making it convenient for both kids and parents to check the plan at any time
  • Desktop Stand Included: Each plan board includes a stand for flexible placement on fridges or tables, ensuring optimal viewing and usability to engage kids in household planning
  • Interactive Sliding Buttons: With 10 movable buttons, kids can slide them after completing chores, boosting their sense of achievement and motivation to participate in family tasks
  • Smooth Writing Experience: By removing the dividers between lines found on traditional plan boards, this design provides a smoother writing experience for parents and children alike, preventing inconvenience while writing and making it easy and effortless to create and update plans

Apply these checks to the complete board workflow. Users should be able to create and update a task, assign it, filter the board, change its group, and mark it complete without a mouse. They should also be able to enter and leave interactive components such as menus, dialogs, and detail panes using the keyboard. A board can satisfy one part of this workflow and still leave another action inaccessible.

Make the board understandable at a glance

Give board regions and controls names that explain their purpose. Use familiar terms consistently, and do not make a control’s meaning depend on color or an icon alone. Clear headings and predictable patterns help people stay oriented as they move between the board and task details.

Limit interruptions and unnecessary moving content that can pull attention away from the current task. Write instructions as clear, separate steps

Explain a task in distinct steps and include details that may seem obvious to someone already familiar with the process. Numbered instructions can make an action easier to follow, especially when it has several parts. W3C’s supplemental guidance explains how separated instructions can support people with language, processing, or memory difficulties: Separate Each Instruction.

Test with the assistive technology people actually use

Have team members try representative board workflows with their own browser, device, and assistive technology where possible. Record where they lose focus, cannot identify a control, or do not receive enough information to understand a change. Repeat the workflow after adjustments; inspecting only the initial board screen will not reveal problems in dialogs, task details, or updates.

When evaluating a platform, check keyboard completion of the full workflow, how screen readers announce controls and updates, whether focus remains visible and returns sensibly after dialogs, and whether labels and instructions are clear. Do not infer that one product is more accessible than another without evidence from comparable testing.

Use product instructions as a starting point, not a guarantee

Microsoft’s support article Use a screen reader to work with the board view in Project documents Project for the web with Narrator in Microsoft Edge. It gives keyboard instructions for opening board view, managing buckets and tasks, editing task details, and closing the detail pane. Microsoft says the workflow might work with other screen readers and browsers that follow common accessibility standards and techniques; it does not say those combinations were tested. The article also notes that Microsoft 365 features may roll out gradually. Treat its instructions as a product-specific example, then verify the workflow your team needs.

Understand the standards and legal scope

WCAG 2.2 is a W3C Recommendation for web content on desktop, laptop, kiosk, and mobile devices. W3C notes that applying the guidelines will often improve usability generally, while also recognizing that the guidelines do not address every user need. Meeting an individual criterion, such as keyboard operability, does not establish that an entire board is accessible.

The ADA.gov fact sheet on the rule for web content and mobile apps provided by state and local governments says government web content, including a message-board platform added to a government website, would usually need to meet WCAG 2.1 Level AA under the rule it describes. That statement is specific to the rule’s scope and exceptions; it does not establish the legal obligations for every private or internal task board. Organizations should check the current rule, applicable deadlines, and exceptions for their circumstances.
