To livestream a business meeting on YouTube, first confirm the channel is eligible, then schedule the event in YouTube Studio, choose its audience visibility, and broadcast through a webcam or an encoder. Rehearse before the meeting, check the live preview and sound, and review the replay’s privacy after you end the stream.
Before you set up the meeting
Check live-streaming eligibility
YouTube says a channel must be verified and have had no live-streaming restrictions in the previous 90 days to go live. The first live stream may take up to 24 hours to become available, so do not leave activation until meeting day. See YouTube’s live-streaming eligibility guidance.

Mobile streaming has additional requirements, including at least 50 subscribers, according to YouTube’s mobile instructions. That threshold is specific to mobile; do not apply it to the webcam or encoder workflows described below.
Choose the right production method
| Method | Best suited to | What to expect |
|---|---|---|
| Webcam | A straightforward meeting with one presenter, a computer camera, and a microphone | Select the webcam and microphone in YouTube’s webcam flow, set the stream details and visibility, then start the stream. |
| Encoder | A presentation with slides, multiple audio/video devices, overlays, or a more controlled production | Configure an encoder to send the feed to YouTube, check the Live Control Room preview, then start the event. |
YouTube describes encoders as useful for setups involving equipment such as cameras, microphones, and preamps, and says this method is commonly used for conferences. Neither a dedicated webcam nor a particular encoder brand is required if your existing setup meets the meeting’s needs. YouTube lists webcam and encoder among its live-streaming methods in Get started with live streaming.

Schedule the YouTube event and set access
- In YouTube Studio, select Create > Go Live > Manage > Schedule stream.
- Reuse settings from a previous stream or create a new one. Enter a clear title and description, add a thumbnail, and set the meeting date and time.
- Choose the visibility setting: public, private, or unlisted. YouTube explains the options in Manage live stream settings.
- Copy the event’s watch-page URL and share it with attendees. YouTube says scheduled streams can appear as upcoming in subscriber feeds, where viewers may choose “Notify me.”
Choose visibility with confidentiality in mind
- Public: Use when the meeting is intended for broad discovery.
- Unlisted: The link is not generally discoverable, but attendees can forward it. Treat it as a shareable link, not secure access control for confidential meetings.
- Private: Use YouTube’s private setting when you want tighter visibility; confirm attendees can access the stream before the event.
Do not display personal or confidential information on-screen or in chat unless it is appropriate for everyone who can view the stream. YouTube’s streaming tips cover privacy precautions.
Go live with a webcam
- Open YouTube’s webcam live-stream flow and enter the event details and visibility.
- Select the intended webcam and microphone. Check that the correct devices are active and that the microphone captures clear speech.
- Review the preview and confirm the framing and sound before starting the stream.
- When the meeting is over, end the stream using the webcam workflow.
For YouTube’s current webcam instructions, see Create a live stream via webcam.

Go live with an encoder
- Open YouTube Studio and prepare the scheduled event in Live Control Room.
- In the encoder’s streaming settings, select YouTube if it is available, or enter the YouTube Live server URL shown for the event.
- Copy the stream key from Live Control Room into the encoder, then start the encoder feed.
- Wait for the preview in Live Control Room. Check the picture and sound, then select Go Live.
- At the end of the meeting, end the stream in YouTube and stop the encoder from sending its feed.
YouTube describes stream keys as “your YouTube stream’s password and address.” Treat the key like a credential: give it only to people who need it to configure the encoder. If it is exposed, reset it in Live Control Room and update the encoder. Follow YouTube’s encoder setup instructions.
Rehearse and monitor the broadcast
YouTube’s encoder checklist recommends setting up at least two hours ahead and starting the encoder at least 15 minutes before the event. These are operational recommendations, not guarantees of stream performance. Use the time to work through this preflight:

For a webcam event, YouTube’s guidance is to confirm the selected camera and microphone before going live. More encoder preparation and monitoring advice appears in YouTube live streaming tips.
End the meeting and check its replay
End the stream in YouTube Studio or in the webcam workflow, as appropriate; for an encoder event, also stop sending the encoder feed. YouTube says streams under 12 hours are automatically archived. Afterward, review the recording and its visibility before sharing the replay. Change its privacy or remove the archive if it should not remain available. See YouTube’s encoder guidance and webcam guidance.

Common problems and what to check
- You cannot start a live stream: Confirm the channel is verified, check for live-streaming restrictions in the previous 90 days, and allow up to 24 hours for first-time activation.
- The encoder feed does not appear in Live Control Room: Check that the encoder is sending to the correct YouTube server URL and that the event’s stream key was copied correctly. Reset a key if it may have been exposed.
- The preview has the wrong camera or no sound: Re-select the intended webcam and microphone in the webcam workflow or check the encoder’s selected input devices. Verify the preview before starting.
- Attendees cannot open the event: Check the stream’s visibility and share the correct watch-page URL. For private or unlisted streams, confirm the chosen access method is suitable for those attendees.
- The replay is not appropriate to share: Review its privacy after the broadcast; adjust access or remove the archive if necessary.
Or let it run in the cloud
For a meeting broadcast that is actually a pre-recorded presentation, training, or town hall you want to loop continuously, StreamNeo keeps an uploaded video or playlist streaming to YouTube from the cloud. The steps are: upload the recording or build a playlist, add your YouTube stream key once, and go live.
Your computer can be off while it runs; uploaded video streams as made, up to 4K 60fps, at one price per slot; and StreamNeo automatically recovers if YouTube drops the stream. The first day is free with no card. Monthly service is $9.99 per month. StreamNeo plays uploaded videos rather than broadcasting a live camera meeting, so use the webcam or encoder steps above when you need a live, interactive meeting.
