Spotlight is more than a place to type a filename: you can narrow searches by app, file type, or location, preview results, reveal file paths, and run actions. Press Command-Space to open it, then use the techniques below to find or do what you need with fewer irrelevant results.
These instructions follow Apple’s Mac user guides. Shortcut availability and labels can vary with macOS version, language, region, and settings.

1. Open Spotlight with a keyboard shortcut
Press Command-Space to open or close Spotlight. If that shortcut has been changed on your Mac, use the Spotlight control in the menu bar instead. Apple documents both ways to open Spotlight.
2. Jump to a result category
When you want to browse a particular group rather than scan a mixed list, use a category shortcut:

3. Search within an app on Mac
Type an app name such as Mail, Notes, or Preview, press Tab, then enter your search. Spotlight uses the app as a scope, which helps when you know where the message, note, or other item is likely to be. Apple’s search-narrowing guide explains app searches.

5. Search iCloud Drive or another location
To limit a search to iCloud Drive, type iCloud Drive, press Tab, and enter the filename or search term. This is a location filter: it narrows the current search rather than changing which locations Spotlight indexes. Apple documents this location-search method.
6. Preview a result without opening it
Select a result and press Space to view it in Quick Look. To open the selected result, press Return. Previewing is useful when filenames are similar and you want to check the contents before launching a file or app. Apple lists both result shortcuts.

7. Find where a file is stored
Select a file result and hold Command to display its path. To show a result in an app or in Finder, use Command-R or Command-click. These options help when you need to continue working with a file in its folder rather than simply open it. Apple’s shortcut guide describes these actions.

8. Run actions from Spotlight
Spotlight can find and run actions, not just files. Apple’s examples include sending a message, changing the case of copied text, and removing an image background. To focus on actions, press Command-3. See Apple’s guide to actions and shortcuts in Spotlight.

9. Assign a quick key to an action you use often
For an action you repeat, add or edit a quick key in that action’s Spotlight result, then use the assigned key to invoke it. Apple notes that a suggested quick key can be assigned after you run an action once. The available actions and controls depend on what Spotlight shows on your Mac. Apple explains how to take actions and set quick keys.
10. Tune result categories and protect search privacy
Choose which categories appear
Open System Settings > Spotlight to turn result categories on or off. This changes the types of results shown; it is different from excluding a folder or disk from Spotlight search. Apple’s category settings guide and its Spotlight settings guide describe these controls.
Exclude a folder or disk
Use Spotlight’s Search Privacy settings to exclude folders or disks from searches. There is a trade-off: Apple warns that excluding locations can prevent update notifications for some apps. Excluding the entire internal disk prevents update notifications. Read Apple’s guidance on preventing Spotlight searches in specific locations.
