Google Keep can do more than hold quick text notes: it supports labels, pins, colors, archiving, checklists, reminders, search filters, and shared editing. A useful workflow is to give each feature a distinct job—labels for categories, pins for immediate visibility, search for retrieval, reminders for follow-up, and sharing for work that needs another person.
How do I organize notes in Google Keep?
Use labels for durable categories and pins for notes you want near the top of your feed. Google documents a limit of up to 50 labels, so start with a small set you can reuse rather than making a label for every note. For example, you might use labels such as “Work,” “Home,” and “Ideas,” then pin a note only while it needs quick attention. Colors can act as another visual cue.

These tools serve different purposes: a label groups notes over time, while a pin makes an individual note easier to spot. Archiving removes a note from the main view without requiring you to delete it. Google Keep also supports checklists and drawings, so choose a format that suits the note rather than treating every item as plain text. See Google’s note organization guide and desktop overview.

When you cannot remember the wording of a note, narrow the search by what kind of note it is or how it was organized. Google documents filters for note type, labels, categories, people, and colors. These give you several ways to locate a note besides searching for a phrase you may have forgotten.

Keep can also search text in photos, which may help when a saved image contains something like a paper receipt. Google’s documented tip for searching text in photos is available in English only; it does not establish perfect text recognition or support for every language and image. For the available filters and photo-search qualification, consult Google’s search instructions.
Can I set reminders in Google Keep?
Yes. A reminder attached to a Keep note is connected to Google Tasks and Calendar, so you can view it in those services as well as in Keep. If you archive the note, its reminder task is not affected. That makes archiving useful when you want to clear a note from your main feed while keeping its scheduled follow-up.

If you use multiple relevant apps, Google says notifications prioritize Tasks first and Calendar next. The reminder’s exact setup options depend on the interface you use; see Google’s Keep reminder guide for current instructions.
Can I share a Google Keep note?
Yes. Shared notes support collaborative editing of text, lists, images, drawings, and audio recordings. Sharing is best suited to material another person needs to update with you, such as a shared checklist or a working list.
Each collaborator’s labels, colors, and pins are private to that person. They do not create a shared organizational system, so agree on note contents rather than expecting everyone to see the same color or pin arrangement. Take care with ownership, too: if you delete a note you own, it is deleted for everyone who shares it. Google explains the collaboration and deletion behavior in its sharing guide; its organization guide covers labels, colors, and pins.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. Can I use keyboard shortcuts to work in Keep?
Google documents keyboard and screen-reader workflows for navigating notes and performing actions such as pinning, labeling, archiving, setting reminders, and sharing. Because exact keystrokes can vary with the current interface and setup, use Keep’s in-product shortcut dialog or Google’s screen-reader instructions for the current commands.
