To free OneDrive cloud storage without losing files you still need, first identify what is using the quota, save a separate copy of anything you want to keep outside the OneDrive folder, then delete only what you have checked. Review the OneDrive recycle bin before emptying it: items there still count toward personal storage, and permanently deleted items cannot be recovered.
Check what is using your OneDrive storage
For a personal account, open Microsoft’s OneDrive and use Manage storage to review usage and the recycle bin. For a work or school account, use the web interface’s Storage used view to find large files. Your organization may set the quota or retention rules, so contact its administrator if the limit appears to come from pooled storage or policy. Personal OneDrive storage can include uploaded and synced files and photos, camera-roll content, and files in Desktop, Documents, and Pictures when those folders are backed up. Items in the recycle bin count too. Microsoft’s broader personal cloud-storage quota can also include Outlook.com attachments and inline images and certain content from other Microsoft apps. As of Microsoft’s 2026 storage FAQ, free accounts have 5 GB of Microsoft cloud storage shared across those services; Outlook.com’s 15 GB email storage is separate. Look for large videos, duplicate exports, old installers, and camera-roll items, but inspect them rather than assuming they are disposable. Open important documents and confirm which copy is current before removing duplicates.

If you want a file to remain on your computer but no longer be in OneDrive, move it to a folder outside the OneDrive folder. Confirm it is present in the new location before deleting the cloud copy. For added protection against computer failure, keep another backup separately; moving a file out of OneDrive is not itself a backup.
Delete selected files, then review the recycle bin
- Check sharing and ownership. Deleting a shared item can remove it for other people too, so verify its ownership and sharing status before proceeding.
- Delete only the files you have checked. Deleted files move to the OneDrive recycle bin, where they can be restored. Microsoft explains deletion and recovery in its OneDrive deletion guide.
- Inspect the recycle bin before emptying it. In personal accounts, those items still count toward storage. Restore anything you want to keep; empty the bin only when you accept that its contents will be permanently deleted and cannot be recovered. Microsoft describes recycle-bin recovery in its recovery guide.
- Check storage again. It may take a short time for available space to reflect deletions from OneDrive and the recycle bin.
Understand what online-only files can—and cannot—do
Files On-Demand and Storage Sense can help when your PC’s drive is low on space, but they do not reduce your OneDrive cloud quota. Files On-Demand keeps a smaller placeholder on a Windows PC while the file remains in OneDrive. Storage Sense can make inactive cloud content online-only according to its settings; Microsoft says this does not permanently delete files. See Microsoft’s Files On-Demand guide and Storage Sense guidance. Making files online-only, unlinking OneDrive, or changing sync settings is not a way to reclaim cloud quota.

If OneDrive is still full
Check whether the usage is actually in OneDrive files or elsewhere in your Microsoft account, particularly Outlook.com attachments and inline images or other Microsoft app content. Also check whether your account’s storage allocation changed because a promotion or subscription entitlement ended. If cleanup is not enough and you still need the space, review the storage options currently offered for your account; allocations and eligibility depend on plan and renewal timing.

Microsoft’s 2026 FAQ lists 5 GB of free Microsoft cloud storage and says eligible Microsoft 365 storage can be extended up to 10 TB. It also says new Microsoft 365 Family and Premium subscribers receive 2 TB of shared OneDrive storage starting October 7, 2026; new Pro subscribers receive 5 TB; and existing Family and Premium subscribers transition to 2 TB at renewal from April 1, 2027. These figures do not establish what every current subscriber has today, so verify the allocation and terms shown for your own account in Microsoft’s storage FAQ.

Know the risks of staying over quota
For personal accounts, being over quota can stop new uploads, edits, and syncs; existing files become read-only. Microsoft says an account may be frozen after three months over quota and that it may delete the OneDrive and its files after six months. Those are possible policy actions, not guaranteed deadlines. Microsoft’s 2026 guidance also says files deleted after the account is removed are unrecoverable. Check Microsoft’s frozen-account information if your account is over its limit.
If you delete something by mistake, first look in the OneDrive recycle bin. Microsoft 365 subscribers can also use Restore your OneDrive to return the account to an earlier state using activity from the last 30 days. Review the activity list and restore point carefully: files created after that point are sent to the recycle bin, and later activity is reversed. See Microsoft’s Restore your OneDrive instructions.
