Reconstruct the record before you calculate tax: list every exchange, wallet and bank account; preserve original exports; trace on-chain activity; match fiat evidence; classify transfers and disposals; value each disposal in Australian dollars; and document every assumption. If a return has already been lodged, the Australian Taxation Office (ATO) allows an amendment when crypto was omitted or reported in the wrong category.
Start with a controlled recovery, not a guess
Missing crypto data is fixable when you rebuild an evidence trail. The objective is not to make a spreadsheet balance by inventing prices or dates. It is to show, for each asset movement, what happened, when it happened, who or what address was involved, how the Australian-dollar value was determined, and which records support the entry.

Work in a new, read-only copy of your files and keep the originals untouched. Record the date you downloaded every export, the file name, the account or wallet it came from, and any period it covers. Keep private keys and recovery phrases offline and confidential; they are evidence of control, not documents to send to a tax agent or publish.

For each item, note the country or entity if known, the account identifier, the date range, and whether you still have login access. This inventory prevents a wallet-to-wallet transfer from being mistaken for a sale and exposes gaps that a single exchange statement cannot show.
What records the ATO expects
The ATO’s crypto record-keeping guidance covers more than a trade confirmation. For each crypto asset and transaction, retain enough information to establish the event and its tax treatment.
| Record | What to capture | Why it matters |
|---|---|---|
| Transaction identity | Date and time, asset, quantity, transaction hash or exchange ID | Lets you match the same movement across an exchange, wallet and bank record. |
| Purpose and counterparty | What the transaction was for and who the other party was; a crypto address can be the counterparty | Separates a personal transfer from a disposal, payment, receipt or other event. |
| Australian-dollar value | Market value at the transaction time, with the pricing source and time zone | Supports proceeds, cost-base and income calculations in Australian dollars. |
| Exchange evidence | Original CSV or PDF exports for trades, deposits, withdrawals, fees, staking and airdrops | Provides the exchange’s own quantities, timestamps and charges. |
| Wallet evidence | Address history, transaction hashes and explorer pages or downloads | Shows on-chain movements when an exchange export is incomplete. |
| Financial evidence | Bank and card statements, invoices, receipts, emails and exchange confirmations | Corroborates fiat funding, purchases, sales and withdrawals. |
| Control evidence | Wallet addresses and securely retained keys | Helps establish which wallet activity belongs to you without exposing secrets. |
| Fees | Trading, network, withdrawal and other relevant fees, in the asset and their Australian-dollar value | Fees can affect the calculation and must be tied to the transaction they relate to. |
Save the raw files as downloaded, then work from copies. A spreadsheet or ledger should include a link or file reference to every row’s supporting evidence.

1. Export complete exchange histories
Use each exchange’s account, tax or statements area to request the longest available date range. Download separate files where offered for trades, deposits, withdrawals, conversions, staking, airdrops, fees and fiat activity. Some services cap a report at a calendar year or a fixed number of rows; run adjacent exports and check that the last timestamp in one file overlaps or directly precedes the first in the next.
Keep PDF statements as human-readable snapshots and CSV files for analysis. Do not rely on a summary “tax report” if the underlying trade and transfer files are available. Summaries can omit internal transfers, fees or the asset that was used to pay a charge.
2. Trace every wallet on-chain
Enter each public wallet address into the relevant blockchain explorer. Export or record incoming and outgoing transactions, token quantities, timestamps, transaction hashes, contract addresses and network fees. Match a withdrawal from an exchange to an incoming wallet transaction by asset, quantity, time and hash. Then match the later outgoing movement to its destination.

The ATO specifically identifies a blockchain explorer as a way to recreate lost records. An explorer proves that an address moved an asset; it does not by itself prove who controlled the destination or why the movement occurred. Use your inventory, exchange confirmations, wallet history and bank evidence to establish ownership and purpose.

Download bank and card statements for every period in which crypto activity occurred. Search them for exchange names, payment processors, reference numbers and amounts. Match each deposit to an exchange credit and each withdrawal to the receiving account. Retain invoices, emails, order confirmations and receipts for crypto used to buy goods or services.
When a platform has closed, contact its customer-support channel or administrator and keep both your request and the response. Ask for transaction history, account statements and the date range supplied. If no response arrives, document the attempt and move to on-chain and financial evidence rather than filling the gap with an unsupported number.
4. Build a single chronological ledger
Combine exchange, wallet and fiat records in one ledger sorted by timestamp. Use a stable transaction identifier—normally a transaction hash, exchange ID or a composite of date, asset and quantity—to prevent duplicates. Record the source file and an evidence-quality label for every row.
Flag conflicts instead of silently choosing one value. Common conflicts include an exchange timestamp in UTC versus a local bank date, a withdrawal shown net of a fee, and a token symbol shared by unrelated assets. Resolve them with the exchange’s detailed record, the blockchain timestamp and a written note.
5. Label the purpose and counterparty
Add a plain-language purpose such as “purchase,” “sale for Australian dollars,” “swap for another crypto asset,” “transfer between my wallets,” “payment for goods,” “fee,” “staking receipt” or “airdrop.” Record the other party where known; for a self-custody transfer, record both addresses and mark that you control them. If the purpose cannot be established, mark it as unresolved and list the evidence you need.

Separate transfers from disposals
Tax treatment depends on what happened, not merely on the fact that a token moved. A transfer between wallets you own is different from exchanging an asset, and a payment to a merchant is different from moving funds to your own exchange account.
| Event in the ledger | What to record | Tax question to resolve |
|---|---|---|
| Transfer between your own wallets or exchange accounts | Sending address, receiving address, asset, quantity, hash and network fee | Is this genuinely under your control on both sides, or did another party receive it? |
| Crypto exchanged for another crypto asset | Both assets, quantities, timestamp, exchange rate or market values, fees and order ID | The ATO says a crypto-to-crypto exchange is likely a CGT disposal even when no Australian dollars are received. |
| Crypto sold for Australian dollars or another fiat currency | Asset quantity, proceeds, fees, settlement account and bank match | What were the disposal proceeds and the asset’s cost base? |
| Crypto used to buy goods or services | Merchant, invoice, asset quantity, Australian-dollar price, timestamp and fee | The ATO says using crypto for goods or cash is likely a CGT disposal; retain the purchase evidence. |
| Staking, airdrop or similar receipt | Asset, quantity, receipt time, platform, transaction hash and Australian-dollar value | Was the receipt income, a capital event or another category on the facts? Obtain advice where classification is uncertain. |
| Exchange, network or platform fee | Fee asset, quantity, Australian-dollar value and the transaction it relates to | How does the fee affect the relevant calculation, and was it charged separately or deducted from the amount received? |
Do not label every outgoing transfer as a sale. Conversely, do not label a swap as a non-taxable transfer simply because it stayed inside one platform. Keep the original transaction type and your final tax classification as separate columns so an adviser can review the judgment.
Calculate each disposal in Australian dollars
For every event that is a disposal on your facts, create a calculation record rather than one annual total. Include:
Recommended Free Tools
- Disposal time: Use the transaction timestamp and state the time zone or conversion convention.
- Asset and quantity disposed: Use the quantity before any fee deduction and explain how the fee was treated.
- Market value and proceeds: Capture the Australian-dollar market value at the time. For a crypto-to-crypto swap, value the asset received or otherwise document the pricing method used.
- Cost base: Link the units disposed to their acquisition records, including acquisition value and allowable costs supported by evidence.
- Fees: Attach the exchange, network or other relevant fee and its Australian-dollar conversion.
- Assumption note: If a price, timestamp or lot cannot be established exactly, state the source, the estimate method, the range considered and why the selected value is reasonable.
Keep a lot-level schedule when you acquired the same asset at different times. A later sale cannot be reconciled if all purchases have been collapsed into one undated average without an explanation. If you cannot establish the necessary facts, stop the calculation and obtain advice rather than manufacturing precision.
Reconcile before lodging
Reconciliation is a separate control step. Compare the reconstructed ledger with every independent source and investigate differences.
| Comparison | Check | Typical discrepancy |
|---|---|---|
| Exchange export versus exchange statement | Opening and closing balances, trade count, fees and deposits | One report excludes internal conversions or uses net quantities. |
| Exchange withdrawal versus wallet explorer | Asset, quantity, hash, destination and timestamp | Network fee makes the wallet receipt smaller than the exchange debit. |
| Wallet history versus your inventory | All addresses and contract interactions are included | A second address or smart-contract position was never added to the ledger. |
| Fiat statement versus exchange activity | Deposit, withdrawal, date and amount | Bank settlement date differs from the exchange execution date. |
| Ledger versus ATO information | Any pre-filled or matched crypto information and your lodged figures | The ATO may hold data from a provider that you no longer use. |
The ATO’s crypto-assets data-matching program covers the 2014–15 through 2025–26 financial years; its protocol was last updated on 25 April 2024. Treat a match as a prompt to investigate, not as proof that the provider’s record is complete or that every movement is taxable. Preserve the explanation for any difference.

If the return was already lodged, amend it
Do not wait for a data-match notice if you discover an omission or a category error. Tim Loh of the ATO states: “So if you forgot to add it into your tax return or made a mistake like adding it into investment income like gross interest or claiming a deduction, instead of reporting a capital gain or loss, you can lodge an amendment.”
- Identify the affected return: Note the financial year, the transaction rows involved and whether the error was an omission, wrong category, wrong amount or unsupported deduction.
- Finish the evidence pack: Include exports, explorer records, bank matches, valuation sources, lot calculations, assumptions and a review log.
- Recalculate the return: Replace the incorrect amount with the supported capital gain, capital loss or other correctly classified amount. Keep the prior figure and the reason for the change in your workpapers.
- Lodge the amendment through the available ATO channel: Follow the current instructions for the relevant return and retain the confirmation.
- Monitor the outcome: Keep notices, correspondence and any request for further information with the calculation pack.
Usual amendment periods can be two or four years depending on the circumstances. Confirm the applicable period with the ATO or a registered tax agent, particularly where several years, complex structures or a voluntary disclosure may be involved.
When an exchange account is closed
A closed account does not end your record-keeping obligation. Make a dated request to the former exchange, administrator or insolvency contact for account history and statements. Save the request, delivery evidence and response, including a response that says records are unavailable.
Then reconstruct from the other side of each movement: blockchain explorers for deposits and withdrawals, wallet exports for balances and transactions, bank and card statements for fiat flows, emails for trade confirmations, and tax documents from the period. Mark which fields are directly evidenced and which are estimated. A registered tax agent can help decide whether the remaining evidence supports an amendment or a disclosure.
Use an evidence hierarchy instead of hiding gaps
Document the strength of each ledger row so a reviewer can see where judgment was required.
| Evidence level | Examples | How to use it |
|---|---|---|
| Primary exchange record | Original trade, deposit, withdrawal or fee export; dated statement | Use as the principal quantity and timestamp, then reconcile to wallets and banks. |
| On-chain record | Explorer transaction, token transfer, hash and network fee | Confirms movement and quantity; combine with ownership and purpose evidence. |
| Independent financial record | Bank/card statement, invoice, receipt or contemporaneous email | Corroborates fiat value, payment purpose and settlement. |
| Documented estimate | Pricing or timing inferred from surrounding records when a primary record is unavailable | Show the method, source, assumptions, range and reviewer; do not present it as an exact fact. |
A reputable Australian crypto tax calculator that synchronises exchange and wallet accounts can reduce manual imports. It is a calculation aid, not evidence by itself. Check that every connected account is included, transfers are not double-counted, fees are mapped correctly, Australian-dollar valuations are documented and the resulting ledger can be exported with an audit trail.

Record retention and security
Keep crypto records for at least five years from the later relevant record, transaction or CGT-event point, and long enough to cover the usual two- or four-year amendment period. The retention period can therefore extend beyond five years when an amendment window or unresolved matter remains open.
- Store originals and working copies in separate locations.
- Use encryption and multi-factor authentication for cloud storage.
- Restrict access to private keys; a tax adviser needs transaction evidence, not your signing authority.
- Preserve the export format, file name, download date and source account.
- Keep a change log whenever a classification, valuation or assumption is revised.
Cases that warrant a registered tax agent
Get professional help before lodging or amending when any of these apply:
- More than one financial year is affected.
- An exchange is insolvent or will not supply records.
- You used decentralised finance, smart contracts, liquidity pools or complex staking arrangements.
- There are large unexplained wallet gaps or assets held through another person or entity.
- You are unsure whether a receipt is income, a capital event or another category.
- You may need a voluntary disclosure or expect an ATO review.
Give the adviser the inventory, raw exports, reconstructed ledger, evidence labels, calculation pack and list of unresolved questions. Never ask an adviser to “fill in” a missing date or price without recording the basis for the assumption.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsCommon mistakes and their fixes
Counting every wallet movement as a sale
Fix it by recording both addresses and establishing control and purpose before classifying the movement.
Ignoring crypto-to-crypto swaps
Fix it by treating each exchange of one crypto asset for another as a potential CGT disposal and capturing Australian-dollar values at the transaction time.
Using only an exchange’s annual summary
Fix it by downloading detailed trades, transfers, fees, staking and airdrop records, then reconciling them to wallets and banks.
Replacing missing records with invented precision
Fix it by using the strongest surviving evidence, documenting an estimate and escalating material uncertainty to a registered tax agent.

Amending only the number, not the explanation
Fix it by retaining the original return, corrected calculation, evidence pack, assumptions and amendment confirmation together.
