Trace every suspect sale through four checkpoints: the register, its offline or pending queue, the integration or synchronization job, and the analytics store. Record the business date, store and register IDs, receipt or sequence number, and transaction or payment reference at each checkpoint. That lineage tells you whether a sale was never completed, is waiting to upload, failed in transit, was counted twice, or is present but excluded by a reporting rule.
Use a stable, unique transaction key for every retry, protect payment calls with idempotency, and keep voids and corrections as explicit states instead of deleting rows. This approach resolves most “missing yesterday,” “duplicate sale,” and “POS total does not match the Z report” incidents without creating a second payment or destroying the audit trail.

What a missing, duplicate, or delayed POS transaction usually means
A transaction can disappear from a report even though the register accepted it. The record may still be in local register memory, waiting in an offline queue, blocked in a channel-synchronization job, rejected by an integration endpoint, or filtered from the analytics model because it was voided or superseded. Conversely, two rows do not always mean two sales: split tenders and corrected versions commonly produce multiple records for one receipt.

- Did the register complete the sale? Check the receipt, local journal, and payment result.
- Is the completed sale waiting locally? Check offline, pending, or delayed queues.
- Did the integration deliver it? Check synchronization jobs, webhook or API responses, and destination status.
- Did analytics ingest and classify it? Check the warehouse or reporting store, transaction status, and aggregation filters.
Do not re-enter a sale merely because it is absent from a central report. First determine which checkpoint is missing and whether a payment already succeeded.
Capture a transaction identity that survives every hand-off
Write down the identifying fields before changing anything. SAP’s transaction-gap check uses the business date, store ID, POS ID, and transaction sequence number to detect a missing record in a register’s sequence. Add the receipt number and the platform’s transaction and payment references when available.
| Field | Why it matters | Where to obtain it |
|---|---|---|
| Business date | Separates trading days from calendar timestamps and supports Z-report reconciliation. | Register journal and end-of-day report. |
| Store ID | Prevents a valid sale from being searched in the wrong location. | POS configuration or receipt header. |
| POS or register ID | Identifies the workstation whose sequence and local queue must be checked. | Receipt, register settings, or device log. |
| Receipt or transaction sequence | Reveals gaps and distinguishes an amended version from a different sale. | Receipt and POS transaction journal. |
| Global transaction ID | Provides one key for ingestion, deduplication, and reconciliation across systems. | POS transaction record or integration payload. |
| Payment reference | Lets a connector determine whether authorization already succeeded before retrying. | Payment response, gateway log, or tender record. |
| Event or upload timestamp | Separates a late arrival from a late sale and exposes queue latency. | POS, connector, and analytics ingestion metadata. |
Never use a timestamp alone as the deduplication key. Two registers can transact at the same second, and a single sale can generate several tender events. In event analytics, a unique transaction ID is required for deduplication; Google Analytics states that it will deduplicate and reconcile purchase data when a unique transaction ID is supplied. Reusing one ID can undercount legitimate events.

1. Verify the register completed the sale
- Search the register journal by business date, register ID, receipt or sequence number, and amount.
- Confirm whether the sale reached a completed, suspended, voided, or failed state. A printed receipt alone is not proof that central posting finished.
- Inspect each tender line and capture its payment reference. A card approval or other authorization may exist even if the POS crashed before displaying the response.
- Compare the register’s local total with the transaction detail. If the sequence has a gap, record the missing number rather than creating a replacement receipt.
If there is no local journal entry and no payment reference, the sale may never have completed. Follow your payment and customer-service procedure before attempting a new sale. If a payment reference exists, treat the payment as potentially successful until the connector proves otherwise.
2. Inspect offline, pending, and delayed queues
Interrupted connectivity can stop posting to a central back office while the register retains the sale. Lightspeed documents Pending Queue and Delayed Queue diagnostics for this condition, and Salesforce documents that offline orders synchronize after the POS returns online.

- Check the register’s network state and the queue count at the time of the sale.
- Open the pending or delayed queue and search by the captured transaction identity.
- Read the queue error, attempt count, and next retry time. Export or screenshot the entry before clearing it.
- Restore connectivity and allow the documented synchronization process to run. Do not repeatedly press “send” if the queue has no idempotent protection.
- Confirm that the queue item changes to sent or acknowledged, then continue to the integration checkpoint.
A queue entry proves that the register retained work; it does not prove that headquarters or analytics received it. Conversely, an empty queue after a crash does not prove that the transaction is absent: it may already have been delivered before the device lost its response.
3. Check the integration or synchronization job
If the register contains the sale but the central POS or headquarters does not, inspect the channel job, connector log, and destination response.
Recommended Free Tools
- Search the integration log using the global transaction ID and payment reference, not only the receipt amount.
- Classify the result as acknowledged, rejected, timed out, retried, or unknown. An unknown result requires a lookup before another payment request.
- Check whether the destination rejected a schema, tax, currency, store, or date field. Preserve the original payload and response for replay.
- Run the platform’s documented synchronization process. In Dynamics 365 Commerce, Microsoft instructs administrators to check whether the POS transaction reached headquarters and, when it is missing, run the P-0001 channel transactions job.
- After the job completes, verify the transaction in central transaction detail before checking the report.
Do not mark a failed message as successful merely because a retry was accepted. Record the attempt that succeeded and link all attempts to the same transaction key.
4. Verify analytics ingestion and reporting rules
Once the central transaction exists, the problem may be downstream. Check ingestion logs, warehouse arrival time, transformation status, and the filters used by the report.
- Search the analytics store by the transaction ID and by the receipt and business date.
- Compare the raw record with the modeled record. Look for status, store, currency, tax, tender, and posting-date transformations.
- Check whether a void, reversal, or superseded version is intentionally excluded from sales aggregates.
- Review the report’s date definition. A sale made before midnight but posted after midnight can appear under a different posting date.
- Re-run or refresh the affected partition only after confirming that ingestion is complete.
If the raw record is present but the dashboard is not, the issue belongs to the model, filter, or refresh schedule—not the register. Fix that layer instead of replaying the POS transaction.

Tell a true duplicate from a legitimate multiple-row sale
Split tenders
A split-tender sale has one receipt but multiple payments. Lightspeed notes that a transaction-tender export can therefore show apparently duplicate rows because one sale has multiple payments. Group tender rows by the parent transaction or receipt before counting revenue. The expected pattern is one sale total with tender amounts that add to that total.
Payment retry after a POS crash
A payment connector may have processed the payment just before the POS crashed. Microsoft’s duplicate-payment recovery flow queries the prior transaction reference and recovers the existing payment before sending another request. A second authorization is unsafe unless that lookup proves the first attempt did not succeed.
Modified, posted, or corrected versions
Some systems retain an original transaction and a later modified or posted version. These records are related states, not necessarily duplicate revenue. Reconcile the versions using the transaction reference, revision or posting status, and effective amount. Do not delete one row until you know which version the accounting and analytics rules require.
Actual duplicate ingestion
Suspect a true duplicate when two records share the same unique transaction ID, represent the same tender, have no revision relationship, and both contribute to the aggregate. Quarantine the later copy, preserve its payload and ingestion metadata, and repair the deduplication rule before replaying data.
| Observed rows | Likely explanation | Validation | Correct treatment |
|---|---|---|---|
| Several tender rows, one receipt | Split tender | Tenders sum to the receipt total. | Aggregate by parent transaction; retain tender detail. |
| Two payment attempts, one authorization | Crash or timeout after payment success | Payment reference lookup shows one completed authorization. | Recover the existing payment; do not authorize again. |
| Original plus revised record | Modification, posting, or correction | Revision/status links connect the records. | Apply the platform’s status logic and keep the audit trail. |
| Identical unique ID counted twice | Non-idempotent replay or duplicate ingestion | Same key and no legitimate revision. | Quarantine the duplicate and enforce uniqueness. |
Retry safely with idempotency
Every connector operation that can create a payment or sale needs an idempotency key. Use a deterministic key derived from the platform transaction identity, such as the immutable transaction ID or a documented combination of store, register, business date, and sequence. A retry carrying the same key must return the original result or a clearly recorded “already processed” response.

- Generate the key before the first outbound attempt and persist it with the transaction.
- Send the key and payment reference on every retry.
- If the response is unknown, query the destination by that key or payment reference before issuing a new request.
- Store the final status, response code, authorization reference, and attempt history.
- Alert when a connector receives a different key for the same POS transaction.
Idempotency is not the same as deduplication after the fact. It prevents a second side effect at the point of retry; a warehouse uniqueness constraint and a transaction-level model protect reporting later.
Keep voids and corrections as explicit states
Deleting a voided sale erases evidence needed for cash control, tax review, and incident analysis. Keep the original transaction and attach a void, reversal, return, or correction status. SAP Customer Activity Repository uses the DISTVOID flag so voided transactions and line items can be excluded from analytics calculations without removing the audit record.
- Store the original transaction ID and the correcting transaction ID.
- Record who or what caused the change and when it was posted.
- Exclude the voided amount from net-sales measures through status logic.
- Keep gross, void, return, and net measures separate so reconciliation can explain the difference.
- Prevent a corrected version from being counted in addition to the original unless the business rule explicitly requires both events.
Reconcile POS totals with the Z report and bank deposit
Reconciliation is a three-way comparison, not a search for one matching number. Use the register’s Z report for the business date, the detailed transaction and tender data, and the bank or payment-settlement deposit for the relevant settlement window.
- Freeze the scope. Record store, business date, register, currency, and settlement batch. Note whether the bank settles by calendar day or by a later cutoff.
- Rebuild register totals. Sum completed sales, subtract voids and returns according to the POS rules, and separate each tender type.
- Reconcile tender detail. Confirm that split-tender lines roll up to one sale and that every tender has a transaction or payment reference.
- Compare central transactions. Identify register entries missing from headquarters, headquarters entries missing from analytics, and late-posting records assigned to another date.
- Compare settlement. Match payment references and processor batch totals to the bank deposit. Account separately for fees, tips, refunds, chargebacks, and settlement timing.
- Resolve exceptions. Classify each difference as missing, duplicate, voided, delayed, timing-related, fee-related, or an expected tender adjustment. Attach evidence and the corrective action.
A deposit can legitimately differ from the Z report because settlement is delayed or fees and refunds are netted. Do not “fix” a timing difference by editing the original sale.

Monitor latency and failure signals
Instrument the path from register to analytics with timestamps and correlation IDs. Monitor integration HTTP errors, response latency, queue age, retry counts, and the time between POS completion and warehouse availability. Salesforce documents both error and latency checks, while warning that a latency monitor may not fire if the POS times out first; capture client-side timeout events as well.
Best Value
| Signal | Useful dimension | Action |
|---|---|---|
| Pending or delayed queue age | Store, register, oldest item | Contact the store or restore connectivity before the queue grows. |
| Synchronization failures | Job name, error code, transaction key | Correct the payload or dependency, then replay idempotently. |
| Unknown payment outcomes | Payment reference and timeout time | Query the payment provider before retrying. |
| Warehouse freshness | Business date and ingestion partition | Check job completion and report refresh state. |
| Duplicate-key violations | Transaction ID and source attempt | Quarantine the replay and investigate the producer. |
There is no universal POS latency or duplicate-rate benchmark established by the cited platform documentation. Set alert thresholds from your POS operating requirements, settlement deadlines, and customer-service tolerance; document them per store and integration.
Platform-specific checks to include in a runbook
| Platform evidence | Check or procedure | What it helps distinguish |
|---|---|---|
| SAP POS and Customer Activity Repository | Use business date, store ID, POS ID, and transaction sequence for gap checks; retain void status such as DISTVOID. | Sequence gaps versus intentionally excluded voids. |
| Dynamics 365 Commerce | Confirm whether the transaction reached headquarters; run the P-0001 channel transactions job when documented as missing. | Register success versus channel synchronization failure. |
| Lightspeed | Inspect Pending Queue or Delayed Queue diagnostics and account for multiple tender rows. | Offline backlog versus split-tender detail. |
| Salesforce POS integrations | Verify offline orders synchronize after reconnection; monitor endpoint errors and latency, including client-side timeouts. | Offline completion versus transport or timeout failure. |
| Google Analytics purchase events | Send a unique transaction ID for each purchase and never reuse it for a separate sale. | Legitimate purchases versus event deduplication or undercounting. |
Menus and job names vary by edition and deployment. Use the platform’s current administrator documentation for permissions, scheduling, and replay limits, but preserve the identity and idempotency principles across systems.
Build a durable data model
A transaction-integrity model separates the sale, its tenders, its lifecycle, and its delivery attempts.
- Sale table: one immutable transaction ID, business date, store, register, receipt sequence, gross amount, currency, and current lifecycle status.
- Tender table: one row per payment component, linked to the sale, with tender type, amount, and payment reference.
- Revision table: links returns, voids, reversals, and corrected versions to the original transaction.
- Delivery-attempt table: records idempotency key, destination, attempt time, response, and final disposition.
- Ingestion metadata: source event time, received time, modeled time, and batch or partition identifier.
Enforce uniqueness on the immutable transaction ID at the sale level and on the payment reference where the payment provider guarantees uniqueness. Permit multiple tender rows and delivery attempts without treating them as duplicate sales.
Quick Recap
Incident checklist for operators
- Capture business date, store, register, receipt or sequence, transaction ID, and payment reference.
- Check the local journal and payment result before touching queues.
- Inspect offline, pending, and delayed queues and preserve error details.
- Search integration logs and destination records by stable identity.
- Run the documented synchronization job when the central record is missing.
- Classify multiple rows as split tender, retry recovery, revision, or true duplicate.
- Retry only with the original idempotency key and query unknown payment outcomes first.
- Keep voids and corrections with explicit status fields.
- Reconcile register, central POS, analytics, and settlement totals using the same business-date scope.
- Record the root cause and add a monitor for the failed checkpoint.
