OneDrive can open and print PDFs, mark them up in its iOS app, scan new pages into a PDF on mobile, and recognize text in scanned PDFs. Microsoft’s reviewed support guidance does not document built-in steps for extracting pages from an existing PDF, merging existing PDF files, setting a password on a PDF, or compressing one. For those jobs, use a separate PDF editor or converter that explicitly supports the operation you need.
What OneDrive can do with PDFs
View and print PDFs in a browser
A PDF opened from OneDrive may display in the browser’s built-in PDF reader. Microsoft documents viewing and printing there, but says the reader cannot edit PDF contents. Microsoft’s PDF guidance points to other tools for changes beyond the reader.

Mark up PDFs in OneDrive for iOS
On iPhone, iPad, and iPod touch, Microsoft documents adding notes, text boxes, images, shapes, signatures, drawings, and highlights in the OneDrive app. These are annotation features, not full page-management tools; the documented instructions are specific to iOS. See Microsoft’s iOS markup instructions.

Scan new pages into a PDF on mobile
The OneDrive mobile apps can scan multiple captured pages or images and save them as one PDF. Microsoft’s cited instructions set different maximums by platform and app version:
#1 Best Overall
- EDIT text, images & designs in PDF documents. ORGANIZE PDFs. Convert PDFs to Word, Excel & ePub.
- READ and Comment PDFs – Intuitive reading modes & document commenting and mark up.
- CREATE, COMBINE, SCAN and COMPRESS PDFs
- FILL forms & Digitally Sign PDFs. PROTECT and Encrypt PDFs
- LIFETIME License for 1 Windows PC or Laptop. 5GB MobiDrive Cloud Storage Included.
| Platform | Documented app version | Maximum pages or images in one scan | Source |
|---|---|---|---|
| Android | 6.5 or higher | 10 | Microsoft Support |
| iOS | 11.31.5 or higher | 30 | Microsoft Support |
These are version-specific limits stated in Microsoft’s support pages, accessed October 7, 2026; app behavior and limits can change. Scanning creates a new PDF from captured pages. It is not a way to extract pages from, or combine, existing PDF files.
Recognize text in scanned PDFs
Microsoft documents optical character recognition (OCR) in OneDrive for Android and iOS, enabling users to select, search for, and copy text in scanned PDFs. Microsoft says the feature is rolling out, so it may not be available in every account or app yet. Check Microsoft’s OCR guidance.

- Read & Annotate. Enjoy intuitive reading modes and powerful tools to comment, highlight, and mark up PDFs.
- Create & Manage PDFs. Create new PDFs, combine multiple files, scan documents, and compress for easy sharing.
- Fill & Sign Forms. Complete forms and digitally sign documents with secure e-signature tools.
Extract pages from an existing PDF
The reviewed OneDrive guidance does not document a feature for extracting pages from an existing PDF or rearranging its pages. Use a PDF editor that supports selecting pages and exporting them as a separate file. If you also need to change page order, confirm that the editor supports rearranging pages before choosing it.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsMerge existing PDF files
OneDrive’s documented multi-page scan workflow combines newly captured pages into one PDF; it does not establish a workflow for merging PDF files already stored in OneDrive. To combine existing files, use a separate PDF editor or converter and check that it can merge PDFs—not merely scan pages into one document.

- Create and edit PDFs. Collaborate with ease. E-sign documents and collect signatures. Get everything done in one app, wherever you go.
- Edit text and images without jumping to another app.
- E-sign documents or request e-signatures on any device. Recipients don’t need to log in to e-sign.
- Convert PDFs to editable Microsoft Word, Excel, or PowerPoint documents.
- Share PDFs for collaboration. Commenting features make it easy for reviewers to comment, mark up, and annotate.
Password-protect an individual PDF
Microsoft describes OneDrive service protections, including TLS for data in transit and a unique AES256 key for each stored file at rest. These protect data within the service; they do not mean you have added a password to the PDF itself. Microsoft’s reviewed instructions do not provide steps for setting an individual PDF password. To make a password travel with the document when it is downloaded or shared, use a PDF tool that explicitly supports password protection, then test the resulting file by opening it outside OneDrive.
OneDrive also lets users manage sharing permissions, and Microsoft says personal documents are not publicly viewable by default. Sharing permissions control access through OneDrive; they are distinct from password protection applied to a PDF. Microsoft notes that library features can differ when an organization customizes its settings. Read Microsoft’s OneDrive security guidance.

Compress a PDF
The reviewed OneDrive sources do not document a PDF compression feature. Microsoft’s general PDF guidance points to editing the original Office file when available, or using Word or third-party conversion tools for PDF changes. If you need a smaller PDF, choose a separate tool that specifically supports compression and check its output: reducing file size can affect image quality, layout, or other document elements. Microsoft’s guidance on PDF changes does not establish compression as a OneDrive feature.
Choosing a separate PDF tool
Microsoft’s support pages establish that tasks beyond its documented reader and mobile workflows may require another tool; they do not compare current products or plans. Before using a PDF editor or converter, verify the exact operation and workflow you need:
