If you need to move a few documents or photos, copy them from Finder to a separate external drive. If you want a recurring recovery history for files you change or delete, set up Time Machine. A disk image is useful for specific imaging or packaging tasks, but it is not a universal substitute for a Mac backup.
Choose the right kind of copy
“Export” can mean copying selected files somewhere else, while “back up” usually means keeping a recovery copy you can return to later. Pick the method that matches what you need to recover.

Apple describes Time Machine, iCloud Drive, manual copies, and third-party utilities as different backup-related options in its Mac backup overview. For a separate copy that can remain disconnected from the Mac, use external storage rather than relying on syncing alone.

For macOS Ventura 13 or later, Apple’s current setup route is in System Settings. If your Mac shows different screens, use Apple’s version-specific instructions rather than assuming the labels are identical.

- Connect an external USB or Thunderbolt storage device, or prepare a supported network destination.
- Open System Settings → General → Time Machine.
- Choose Add Backup Disk or the add button, select the destination, and follow the setup prompts.
- Let the first backup finish. It can take longer than later backups, and you can continue using the Mac while it runs.
- Before physically disconnecting the drive, eject it or shut down the Mac.
Apple recommends a Time Machine device with at least twice the storage capacity of the Mac. That is a sizing recommendation, not a guarantee that every backup history will fit. Apple’s setup steps and capacity guidance are in Back up your Mac with Time Machine.
Time Machine is for restoring backed-up files, not a promise of a bootable, byte-for-byte clone of the installed Mac. Apple says it does not back up system files or apps installed as part of macOS installation. Apple states: “You can use your Time Machine backup to restore any or all of your files to the same Mac or a different Mac.” See the Time Machine user guide for the restore scope and details.
Copy selected files with Finder
For a one-time export, connect an external storage device, open it in Finder, and drag the files or folders you want to keep onto it. Apple specifically describes manually copying items such as photos, videos, and documents to external storage in its backup overview.

- Copy to a device separate from the Mac’s internal disk; a copy on the same disk will not help if that disk fails.
- Keep the originals until you have checked the copied files. Open a sample of the copied items, and confirm that important folders and files are present. This is a prudent check, not a guarantee that every file is intact.
- To restore, drag the files from the external device back to the Mac or another destination.
Choose and prepare the destination carefully
Apple supports directly attached storage, a Mac shared on the network, and compatible NAS devices as Time Machine destinations. The right choice depends on whether you want a drive you can disconnect and store separately or a network destination that remains available at home.
External drives and formatting
Apple’s cited guidance prefers APFS or APFS Encrypted for Time Machine disks; some older Mac OS Extended formats remain supported for certain configurations. The destination may need to be erased or reformatted during setup. Reformatting removes existing contents, so do not approve an erase prompt until you have checked the selected device and moved any files you need elsewhere. Apple says the entire APFS volume is reserved for Time Machine. If you want the same physical device to hold other files, add another APFS volume; both volumes still draw from the device’s shared available space.

Network and NAS destinations
For a NAS, confirm in the manufacturer’s instructions that the model supports Time Machine over SMB, and follow its setup steps. Apple’s destination guidance says AFP is not supported for NAS backup or transfer in macOS 27 or later, so SMB is the appropriate protocol to check for a current or future-facing setup. A disk image is a file that contains files and folders. Disk Utility can create a blank image, create an image from a folder, or create an image from a connected device. This can be useful when you need a packaged image of specific contents, but it should not be treated as a blanket way to back up every Mac.
Disk Utility offers encryption options for images. If you encrypt one, preserve its password securely: Apple warns that a forgotten password means you cannot open the image to view its files. Eject a secure mounted image when finished, because anyone with access to the Mac can access its contents while it remains mounted. Apple documents specific limits for imaging devices: the described method cannot create an image of an individual APFS volume, and it cannot create an image of an APFS container on Apple silicon or a Mac with a T2 Security Chip. Apple also cautions: “Important: Don’t create a disk image of a disk that you believe to be failing or that contains corrupted information. The disk image may not serve as a reliable backup.”
Confirm that your backup can help you recover
After setup, check that Time Machine has completed a backup and learn the restore process before you depend on it. Apple’s troubleshooting guidance identifies issues such as insufficient space, connection problems, cloud-sync delays, and protected files that may require an unlocked Mac. If a backup stalls or does not include expected files, consult Apple’s Time Machine troubleshooting steps rather than assuming the destination is current.
Restore compatibility also matters when moving to another Mac: Apple notes that backups created on macOS 12 or later can only be restored to a Mac running macOS 11 or later. Review Apple’s Time Machine user guide for the applicable restore instructions.
