To embed fonts when exporting from desktop Word, turn on File > Options > Save > Embed fonts in the file, save the document, then export it as a PDF. Some fonts cannot be embedded because of their permissions. You can check the finished PDF’s font details in a PDF reader that exposes document properties.
Embed fonts in desktop Word before exporting

Open the document in the desktop version of Word.

Go to File > Options > Save.

Under the sharing or fidelity settings, select Embed fonts in the file. Depending on the Word version, you may also see options to embed only the characters used or to exclude common system fonts.

Save the Word document with that setting enabled.

Choose File > Save As or File > Save a Copy, select PDF as the file type, and save. Depending on the desktop version, PDF settings may be under More Options > Options.

Choose between full embedding, a character subset, and bitmap text
Embedding choices affect file size, later editing, and how the PDF looks on another device.
| Choice | What it means | When it may fit |

| Embed all characters | Includes the font characters needed for broader editing. Embedding font data can increase file size. | Use when someone may edit the Word document and need characters that are not already in it. |
| Embed only characters used | Embeds a subset of the font, which can reduce file size but may leave out characters needed for later editing. | Use when reducing size matters and the document is not expected to need substantial editing with that font. |
| Do not embed common system fonts | Leaves common system fonts out; Microsoft says this may increase file size, but can be preferable when others need to edit while retaining the same fonts. | Consider it when preserving fonts for editing is more important than minimizing file size. |
| Bitmap text fallback | For a font that Word cannot embed, text can be saved as bitmap imagery to preserve its appearance. It is not embedded font data. | Consider it when visual fidelity matters more than having text represented with an embedded font. |
Microsoft describes the PDF bitmap-text setting in its Office PDF export guidance. If bitmap text is not selected and a font cannot be embedded, a PDF reader may substitute another font.

Font permissions can prevent embedding
Word’s embedding setting does not override a font’s permissions. Some font vendors restrict embedding, so a font may not be saved into the document or PDF. Microsoft explains these limits in Benefits of embedding custom fonts; Adobe also notes that embedding depends on the font vendor’s settings in its guidance on font embedding and substitution in PDFs.

Exporting from Word for the web
Word for the web supports PDF export through File > Export, followed by a PDF download choice with or without comments. Microsoft’s web instructions describe this export flow, but do not document the desktop Embed fonts in the file control in the web interface. For the documented font-embedding setting and more PDF options, use desktop Word. See Microsoft’s Word for the web PDF export instructions.

Review the font entries and whether they are identified as embedded or embedded subsets. Adobe describes checking PDF font information in its font embedding and substitution help.

Troubleshoot common problems
A font changes in the PDF
Check whether that font permits embedding. If it does not, choose an embeddable alternative or use Word’s bitmap-text fallback when appearance matters more than text remaining as font data.
The file is larger than expected
Embedded fonts add data, and some fonts are large. Limit the fonts used in the document, or consider embedding only characters used if recipients do not need to edit with characters outside the embedded subset. Microsoft discusses these trade-offs in its font embedding guidance.
The recipient needs to edit the Word document
When the font permits it, embedding all characters avoids the limitation of a subset that may omit characters needed later. Microsoft advises against the “only characters used” option when recipients may edit the document.
An online conversion substitutes a custom font
Microsoft says embedding custom fonts in the document can help online conversion use those fonts, subject to the font’s embedding restrictions. Check the embedding setting in desktop Word before relying on that workflow.
