Microsoft documents PDF export for Word, Excel, and PowerPoint. The exact export controls differ by application and version, so follow the documentation for the application you use rather than assuming one menu path fits all.

Export a chart from Excel or PowerPoint
Excel workbook
- Prepare the workbook using accessibility practices, including meaningful chart titles and clear labels.
- Use Excel’s PDF export workflow to save the workbook or the relevant sheets as a PDF.
- Open the exported PDF and check that the chart is on the expected page, that labels and legends are readable, and that nothing is clipped.
Microsoft’s Excel accessibility guidance describes PDF content with tags for workbook ranges and tables, and graphics marked as artifacts. PowerPoint presentation
- Apply accessible presentation practices before export, including meaningful chart titles and legible labels.
- Export the presentation to PDF using the options available in your PowerPoint version.
- Inspect the resulting PDF for layout changes, legibility, and accessibility tags.
Microsoft documents the Presentation.ExportAsFixedFormat3 method and says PDF/UA tags are included only when DocStructureTags=True. Export settings matter: verify the output rather than assuming all PDF exports include equivalent tags. See Microsoft’s method documentation.

Generate a chart in a PDF with ReportLab
For repeatable reports, ReportLab Graphics lets you build chart and drawing objects for rendering to PDF. Its chart examples include line charts; the drawing approach gives control over chart geometry and placement. Consult the ReportLab User Guide for the library’s drawing and chart APIs.
At the lower-level pdfgen canvas, a page is a coordinate surface. Coordinates are measured in points from the lower-left origin by default. Specify the page size and reserve space for the chart title, axes, tick labels, and legend; otherwise, an otherwise valid drawing can be clipped or crowded. The guide also notes that inline bitmaps can be inefficient when the same image is repeated.

A practical layout sequence is:
- Choose a page size and orientation appropriate for the chart.
- Set chart dimensions and position with enough room for titles, axis labels, and legends.
- Render the drawing into the PDF, preferably as vector output when it needs to stay sharp at different scales.
- Open the PDF and verify the chart at its actual page size.
Choose vector output or a chart image
Prefer vectors when the chart may be resized or printed: ReportLab describes its charts as drawable as vectors in PDF, supporting sharp lines and small file sizes. A bitmap can be convenient when the chart already exists as an image, but its legibility depends on the source image and its final display or print size. The cited documentation does not establish a universal DPI threshold, so judge the actual output rather than relying on a single resolution rule.
Check legibility, layout, and accessibility
- Use a meaningful chart title and ensure labels and legends are readable at the PDF’s intended page size.
- Inspect for clipped labels, missing fonts, color changes, and unwanted page breaks.
- For Office files, apply accessibility practices before export, then check the PDF’s tags and reading structure. Export documentation describes tagging and settings, but does not guarantee that every chart is accessible automatically.
- If the chart carries a central point, explain the essential takeaway in nearby text and consider providing a data table or equivalent explanation. A chart’s visual presentation alone may not make its data available to every reader.
