How to Document Vehicle Damage for an Insurance Claim

A practical sequence for safely documenting vehicle damage, collecting incident details, contacting your insurer and keeping claim records.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Document vehicle damage only after people are safe and immediate hazards are addressed. When it is safe, capture the scene and damage, write down the people and vehicles involved, contact your insurer promptly, and keep claim-related records. The exact documents, reporting duties, coverage and deadlines depend on your location, policy and insurer.

1. Put safety before documentation

Check for injuries and immediate hazards first. Follow emergency responders’ and police directions; do not step into traffic or delay getting help to take a picture. Photograph or record video only from a safe place. Ontario’s FSRAO guidance and Northern Ireland’s PSNI guidance both put safety and appropriate response ahead of collecting evidence.

2. Photograph the scene and the damage

When safe, take both wide views and close-ups. Wide views help show where the vehicles were and the scene around them; close-ups show the damaged areas. Include enough context to connect the damage to the vehicle and incident. Photograph or sketch the scene, as the National Association of Insurance Commissioners (NAIC) advises. Follow your insurer’s instructions for submitting images; it may specify how to upload them or what views it needs.

For example, ICBC says photos are not required to process a claim in its system, but submitting them can help it make a more accurate estimate and may shorten the wait. That statement describes ICBC’s process, not a rule for every insurer.

4. Contact your insurer and ask what to submit

Notify your insurer promptly, describe the incident accurately, and ask what it needs next. Depending on the claim, it may request photos, a police report, estimates, bills or other documents; do not assume one checklist applies to every company. Ask whether it wants to inspect the vehicle or receive an estimate before repairs, and how to send the materials. The Texas Department of Insurance and Australia’s Moneysmart both advise contacting the insurer and following its claim process.

6. Check local requirements and your policy

There is no universal accident-reporting threshold or claim deadline that applies everywhere. Police reporting duties, notice requirements, coverage, repair arrangements and submission methods depend on local law and your policy. Check your policy documents and ask your insurer what applies to your circumstances. As one jurisdiction-specific example, California’s Department of Insurance provides state-specific guidance for what to do after a collision.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If repair-shop choice becomes an issue, check the rules where you live rather than treating another jurisdiction’s guidance as universal. Texas OPIC says a claimant need not use an insurer-recommended shop in its guidance for first-party claims; that advice is specific to Texas and that claim context.
