How to Differentiate Your MSP From Low-Cost Competitors

MSPs can move beyond price comparisons by showing buyers exactly what is covered, how service is measured, what security work can be verified, and how the offer fits their needs.

Differentiate your managed service provider (MSP) by making it easier for a buyer to judge fit, risk, service scope and accountability—not by claiming that a higher price automatically means better service. Show what the offer covers, how work is handled, what security practices can be verified, and how you will report performance. Then connect those details to the prospect’s requirements and support them with relevant references.

Start with the buyer’s requirements

A low-cost quote is not necessarily a poor fit, and a more expensive offer is not automatically better. Begin by asking what the organization needs its provider to do, what constraints it faces, and what service expectations matter most. NIST notes that evaluating provider capability and reliability—and navigating security service agreements—can be difficult for organizations. A useful comparison therefore starts with the prospect’s requirements rather than a standard pitch or package (NIST resources; NIST Cybersecurity Framework).

Translate the answers into a short list of decision criteria: covered services, customer responsibilities, incident handling, security and recovery needs, reporting, contract terms, and any third parties involved. This keeps the conversation tied to the buyer’s business and risk instead of a contest over tool counts.

Make scope and accountability explicit

Write down what is included and excluded, who is responsible for each task, how incidents are reported, and how suppliers or other third parties are handled. Ambiguity about ownership can matter as much as the service list: a buyer should be able to see who acts when a problem crosses organizational or vendor boundaries. The UK National Cyber Security Centre (NCSC) puts the principle plainly: “A reputable MSP should clearly articulate the services, policies, and responsibilities they offer.” Its guidance is written for UK small and medium-sized organizations, so adapt its examples to local requirements (NCSC guidance on outsourcing IT security).

Define service levels in measurable terms

Do not use “fast support” as a substitute for commitments. Distinguish response—when investigation begins—from resolution—when a fix or workaround is delivered. State how priority is assigned, what hours the commitment covers, how progress is communicated, and how performance will be reported.

For UK SMEs, the NCSC gives contextual examples: a response within one business day for general or minor requests, under one hour for urgent issues, and two to three business days as a starting point for resolving routine medium-priority issues. These are guidance examples, not universal benchmarks or contract promises. Set commitments that match the customer’s needs and your actual operating model, then report results against the terms you agreed (NCSC service-level guidance).

Show security evidence, not just a tool list

Explain the practices behind the service and make them verifiable. Depending on the prospect’s needs, describe relevant staff credentials, patching, security monitoring, access controls, incident procedures, off-site backups, tested restores, and the reporting the customer receives. Be precise about what is performed, how often, and what evidence is available.

A credential or product name alone does not establish that a customer is protected, nor does it guarantee a particular outcome. Describe how controls fit together and what happens when an issue is found. For a provider relationship involving security services, the Canadian Centre for Cyber Security also advises customers to examine provider capabilities, responsibilities, and contract considerations; its guidance can help structure questions, while buyers should account for their own jurisdiction and obligations (Canadian Centre for Cyber Security guidance).

Substantiate claims with relevant proof

Offer references, testimonials, or case studies from customers whose needs resemble the prospect’s. Explain the situation, the work your team took responsibility for, and what changed in operational terms. Avoid implying that one customer’s result is guaranteed for another.

The NCSC specifically recommends checking references, particularly from SMEs, as part of MSP diligence. A prospective customer can also ask how long the relationship has lasted, what the provider handles, and whether the reference can speak to communication and follow-through—not only whether the technology works (NCSC buyer guidance).

Package services around a customer outcome

When it fits the buyer’s problem, present related services as a coherent service rather than a pile of tools. For example, connect monitoring, incident escalation, backup oversight, and recovery procedures to the operational problem they address. Explain what burden or risk the service is intended to reduce, what the customer still owns, and how progress will be shown.

Cisco’s guidance for MSPs discusses outcome-oriented positioning as a differentiation approach. Treat that as vendor advice, not independent evidence that an outcome-based pitch wins business or supports a particular price premium (Cisco MSP guidance).

Compare the offers on the terms that affect fit

When a prospect has competing proposals, use a like-for-like comparison. If a proposal does not state a point, mark it as unanswered and ask the provider to clarify; do not infer that a service is included.

Comparison area What to establish
Scope and responsibilities Included and excluded services, customer duties, escalation ownership, and third-party coordination.
Service levels Response and resolution definitions, priority rules, coverage hours, communication, and performance reporting.
Security and recovery Relevant controls, credentials, incident handling, backup and restore evidence, and customer reporting.
Track record References or examples relevant to the prospect’s organization and requirements.
Business fit Whether the provider’s service model meets the customer’s operational and risk needs.
Contract and accountability Flexibility, liability terms, responsibilities, and how issues involving third parties are managed.

The NCSC’s UK SME guidance and the Canadian Centre for Cyber Security’s managed-security-service guidance support examining scope, service expectations, security, provider capability, and contractual responsibility. Their advice is useful for framing questions, but neither should be presented as a universal legal checklist; contract and security obligations vary by location and organization (NCSC; Canadian Centre for Cyber Security).

Keep the price conversation honest

Do not argue that every buyer should pay more. Ask what the lower-priced proposal includes, what the customer must do itself, and which requirements are not addressed. If a difference matters, point to a specific scope item, service commitment, security practice, recovery process, contract term, or reference—not a vague assertion of superior quality.

Microsoft describes its Azure Managed Services Playbook as drawing on interviews with more than 50 cloud MSPs; the underlying playbook is labeled version July 2016, while Microsoft’s download page states a publication date of 15 July 2024. That describes input to a vendor resource, not a market statistic or proof that any positioning tactic works (Microsoft Azure Managed Services Playbook). The cited guidance does not establish a market-wide price premium or rank differentiation strategies. Let the buyer’s stated priorities and the evidence in the proposals determine whether a price difference is justified.
