For a conference tote that carries a brand clearly, make one logo the focal point, keep supporting text brief, and design for the fabric and color of the actual bag—not just a screen mock-up. Put important artwork on the flat front panel, give the printer exact size and placement details, and request a physical proof when color or fine detail matters.
Start with one clear message
Make the logo or brand mark the first thing a person notices. European Commission visual guidance recommends emphasizing the logo as the focal point on promotional fabric items such as tote bags. Add only secondary information that serves the event, such as a short conference name or URL. A panel crowded with sponsor names and small copy can make the main mark harder to recognize, especially when someone is viewing the bag at a distance.
Design for the fabric and bag color
Fabric texture, ink absorption, and the bag’s own color all affect how artwork looks once printed. Textured or heavy material can soften edges and obscure fine lines or small lettering. Bag Printing UK advises using bold artwork and keeping lines at least about half a millimetre thick, with heavier lines for materials such as thick canvas or jute. Treat that figure as the printer’s rule of thumb, not a universal production standard.

- For screen printing, keep the palette to a few solid colors where practical. Ask whether white or another underbase ink will be needed on a dark bag, and include it in the print specification.
A full-size paper proof held beside the actual bag or an unprinted sample is a practical way to judge whether the logo and text are large enough to read at arm’s length. No universal minimum text size for tote bags is established by the cited guidance.
Choose the print method with the material and artwork
There is no single method that is best for every tote. Match the process to the fabric, the artwork, the desired appearance, and how the bag is expected to be used. The European Commission guide identifies serigraphy for cotton and thermal transfer for polyester in its promotional-material guidance; confirm suitability with the printer for the exact bag and process.

Keep the artwork on the flat print area
Seams, handle attachments, gussets, and folds can interrupt the image or make consistent application more difficult. Place critical content on the broad, flat panel instead of letting it cross a seam or fold. In the production brief, state which side is being printed, the intended print width, and how far the artwork should sit from the bag’s edges.

Prepare the handoff and approve a proof
- Set the use case. Tell the printer whether the tote is a quick event giveaway or intended for repeat use, and discuss expected wear and washing before choosing a process. The guidance links intended lifespan to method choice but does not provide tested lifespan figures.
- Supply production-ready artwork. Send vector artwork if available, outline fonts, list color references, and identify any elements that must not be resized or recolored.
- Specify size and placement. Give the intended print width and exact panel and edge placement. Keep key content clear of seams and folds.
- Check the design at full size. Print a paper proof at the intended dimensions and compare it with the actual bag or an unprinted sample to assess scale and readability.
- Review a physical print when it matters. A digital preview cannot fully show how ink interacts with the fabric and its color. Request a printed sample or production proof if accurate brand color or fine detail is important.
