Before you invite anyone, make sure the notebook is saved in OneDrive or SharePoint. A notebook saved only under This PC cannot be shared until you move or copy it to cloud storage.
The steps below cover the current OneNote desktop app for Windows, OneNote for Mac, and OneNote for the web. The older OneNote for Windows 10 app reached end of support in October 2025 and is not used for these instructions.

Before you share: check where the notebook is stored
Saving a notebook to OneDrive or SharePoint does not automatically share it. Cloud storage makes collaboration possible, but the notebook remains private until you send an invitation or create a sharing link.
To check the storage location in OneNote, open the notebook and look at its account or location information. If it is listed under This PC, move or copy it to OneDrive or SharePoint before attempting to share it.

Create a notebook in OneNote for Windows
These instructions apply to OneNote for Microsoft 365, OneNote 2024, OneNote 2021, and OneNote 2016 for Windows.
- Select File > New.
- Choose OneDrive or another available cloud location.
- Select the Microsoft account or folder where the notebook should be stored.
- Type a name for the notebook.
- Select Create Notebook, or complete the prompts shown for the selected location.
OneNote creates the notebook with one section and one blank page. You can add more sections later for subjects, projects, clients, or teams.
Create a local notebook instead
If you need a notebook to remain on the computer, select File > New > This PC, choose a local folder, enter a name, and complete the prompts. This notebook will not be shareable until you use OneNote’s file commands to move or copy it to OneDrive or SharePoint.
Move an existing Windows notebook to OneDrive
Do not drag a local OneNote notebook folder into a synchronized OneDrive folder in File Explorer. That can create synchronization problems. Use the appropriate command inside OneNote.
OneNote for Microsoft 365
- Open the notebook.
- Select File > Save a Copy.
- Select a recent folder, or choose Browse.
- Select a folder in OneDrive.
- Enter the notebook name.
- Select Save.
OneNote 2016, 2021, or 2024
- Open the notebook.
- Select File > Share.
- Select a OneDrive or SharePoint location.
- Complete the prompts to move or save the notebook there.
The result is a cloud copy that can be opened from supported devices and shared with other people. Check that you are working in the new cloud copy before inviting anyone.

- Sign in to the Microsoft account or work/school account that should own the notebook.
- From the macOS menu bar, select File > New Notebook.
- Choose a notebook color.
- Enter a name in the Name field.
- In Where, select the OneDrive account that should store it.
- Select Create.
To create it under another account, sign out of the current account and sign in to the desired one before selecting File > New Notebook.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesCreate a notebook in OneNote for the web
- Open OneNote in your browser and select the Notebook List button in the upper-left corner.
- At the bottom of the notebook pane, select Add Notebook.
- Enter a notebook name.
- Select Create Notebook.
The notebook opens with a section and a blank page. You can also create one from OneDrive or a SharePoint site by selecting Create > OneNote notebook and entering a name.
OneNote for the web saves changes automatically and does not have a Save button. Wait for changes to finish synchronizing before closing the browser or moving to another device.
Share the entire notebook
Current OneNote sharing is notebook-level. You cannot share one live page privately. Giving someone access through a notebook or section link may allow that person to see the rest of the notebook, depending on the permissions and link settings.

If OneNote says “Please upload your notebook to share it,” the notebook is not in a shareable OneDrive or SharePoint location. Select an account and upload or move the notebook, then repeat the sharing steps.
Share from OneNote for Mac
- Open the notebook.
- From the macOS menu bar, select File > Share.
- Choose Invite People to Notebook.
- Enter the recipients’ email addresses.
- Select Can Edit if they should be able to modify the notebook.
- Select Share.
OneNote sends the invitation through the Mac’s default email application.
Mac users can also select File > Share > Copy View and Edit Link to Notebook. Paste the resulting link into an email, document, or message. The link’s permissions determine whether recipients can view or edit.
Share from OneNote for the web
- Open the notebook.
- Select File > Share > Share with People.
- Enter one or more email addresses in the To box.
- Open the permission control and choose Recipients can edit or Recipients can only view.
- If the option is available, choose whether recipients must sign in with a Microsoft account.
- Select Share.
Create and copy a sharing link
A link is convenient for a group, but it is less restrictive than an invitation to named recipients. Anyone who receives or forwards a link may be able to open the notebook under that link’s permissions.

Windows
- Select Share in the upper-right corner.
- Select Copy Link to Notebook.
- Select Link settings if you need to change access.
- Select Copy link.
- Paste the link into a message, email, document, or website.
Depending on your Microsoft account and organization’s settings, link permissions may allow viewing or editing.
OneNote for the web
- Select File > Share > Share with People.
- Select Get a link.
- Under Choose an option, select Edit or View only.
- Select Create link.
- Copy and distribute the link.
- Select Close.
Change permissions or stop sharing
OneNote for the web
- Select File > Share > Share with People.
- Under Shared with, select the person whose access you want to change.
- Select the current sharing method on the right.
- Choose another permission or select Stop sharing.
To disable link-based access, delete or disable the relevant sharing link in the sharing controls. Removing one person’s direct permission does not necessarily disable a separate link that also grants access.
Windows and Mac
Open the notebook’s Share controls to change permissions or stop sharing. In Windows, use More beside an existing invitee. On Mac, manage access through the notebook’s File > Share commands.
What OneNote sharing cannot do
- Share one live page privately: Microsoft removed individual-page sharing. Exporting a page as a PDF is not the same as sharing a live OneNote page.
- Share directly from the phone app: The iOS and Android apps can open shared notebooks, but sharing must be started from a computer or OneNote for the web. Android can send a page as a PDF attachment.
- Share a local notebook: A notebook stored only on the computer must first be moved or copied to OneDrive or SharePoint.
- Assume a section link is limited to that section: A section link may expose the entire notebook to the recipient. Treat it as notebook access unless you have verified the permissions.
Fix common sharing and synchronization problems
| Problem | Likely cause | What to try |
|---|---|---|
| “Please upload your notebook to share it.” | The notebook is local or not in a supported cloud location. | Use File > Save a Copy or File > Share to place it in OneDrive or SharePoint. |
| “We’re sorry. We can’t sync this section because you don’t have write permissions” and error 0xE4010071 | The SharePoint site or OneDrive location is read-only, permissions changed, or the wrong account is signed in. | Confirm the account, request write permission, or ask the site administrator to restore access. |
| Notebook appears read-only or shows “Please refresh this notebook to continue syncing.” | Synchronization has failed. | Install available OneNote updates and use Refresh now when OneNote displays it. |
| A recipient cannot open the notebook. | They are signed in with a different Microsoft account, or their access was revoked. | Have them sign in with the invited account, or resend the invitation and check permissions. |
| Changes do not appear on another device. | Synchronization is delayed or blocked. | Keep OneNote open until syncing completes and check the notebook’s connection and account. |
| Sync creates a conflict page. | Two versions of the same content could not be merged. | Compare the conflict page with the main page, copy needed content into the correct page, then delete the conflict page. |
| Notebook stops syncing after it grows large. | OneDrive has a documented 2 GB notebook file-size limit, or the storage quota is full. | Check the notebook size and available Microsoft or organizational storage. |
Best choice: invitation or link?
Use an email invitation when you want access limited to specific people and need to manage them individually. Use a sharing link when distribution is more important than identity-based control, but review the link settings first because forwarding the link can extend access beyond the original recipients.

FAQ
Can I share a OneNote notebook saved on my computer?
Not directly. Move or copy it to OneDrive or SharePoint using OneNote’s File commands. Do not drag the notebook folder into a synchronized OneDrive folder in File Explorer.

Can I share only one page in OneNote?
No. Current OneNote versions do not support live sharing of an individual page. You can export a page as a PDF, but that creates a separate file rather than a shared, editable OneNote page.
Does saving a notebook to OneDrive share it automatically?
No. OneDrive storage only makes the notebook available for sharing. You must send an invitation or create a sharing link.
Can I share a notebook from the OneNote mobile app?
No. Start sharing from OneNote on Windows or Mac, or from OneNote for the web. Mobile apps can open notebooks that have already been shared.

The notebook may not be syncing, your account may lack write permission, or you may be signed in with a different account from the one that was invited. Check the account, refresh the notebook, and verify OneDrive or SharePoint permissions.
How do I stop sharing a OneNote notebook?
Open the sharing controls, select the person under the shared-with list, and choose Stop sharing. Also disable or delete any separate sharing link, because removing a person does not automatically invalidate a link.
The Bottom Line
Create the notebook in OneDrive or SharePoint, then use Share to invite people with view or edit permission. A local notebook cannot be shared directly, and OneNote no longer supports sharing a single live page. For tighter access control, invite named recipients instead of distributing a general link.
