The exact labels and options vary. Some help centers require sign-in, some accept requests without an account, and some do not expose a customer-facing form at all. The steps below use Zendesk’s documented customer-portal workflow as a concrete example, then show how Intercom and other systems can handle tickets through chat, workflows, email, or agent-created requests.

What a customer support ticket is
A support ticket is a trackable record of a question, fault, account issue, or service request. It normally receives an identifier and status so the customer and support team can refer to the same conversation. A ticket may begin in a web form, email, Messenger-style chat, a workflow, or an agent-created request, depending on the company’s support software.

Before you submit: gather the information support will need
- A short description of the problem or question.
- The product, service, plan, device, or model involved, if applicable.
- The account email or order/reference number requested by the form.
- When the issue started and whether it happens consistently or intermittently.
- The steps that lead to the problem and any error message shown.
- Relevant screenshots, recordings, logs, or documents that the form accepts.
- The correct organization or account, when a form offers an organization selector.
Collect only information that is relevant and safe to share. Never put passwords, full payment-card numbers, authentication codes, or private keys in a ticket.
How to create a customer support ticket
1. Open the company’s official support channel
Use the company’s website, app, or account area to find Help Center, Contact Support, Submit a request, or an equivalent link. Avoid sending sensitive information to an unverified address found in a search result or social-media post.
Whether you must sign in depends on the company’s configuration. A help center may allow an anonymous or email-based request, require an authenticated account, or provide information without offering a request form at all.
2. Choose the request or contact form
In Zendesk’s documented customer-portal flow, the customer selects Submit a request. The form can also expose CC fields and an organization selector when the support team has enabled them. Other companies may call the same function Contact us, Open a case, or Get help.
If you cannot find a form, check the help center’s contact page, account menu, or live-chat entry point. The absence of a form can be an intentional configuration choice rather than a browser error.
3. Write a specific subject
Make the subject identify both the affected product or feature and the problem. For example, “Android app crashes when uploading a profile photo” is more useful than “It does not work.” A support agent should be able to understand the request’s topic from the subject alone.
4. Describe the issue in the first comment
Zendesk describes the description as the first comment on the ticket. Include the facts an agent needs to reproduce or route the request:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- What you expected to happen.
- What actually happened.
- The exact steps that produced the result.
- When it began and how often it occurs.
- The device, operating system, browser, app version, or model when relevant.
- Any error text, transaction reference, or troubleshooting already attempted.
- The outcome you need, such as an explanation, correction, replacement, or account change.
Write in chronological order and separate observations from guesses. If the problem affects only one account, say so; if several users or devices are affected, say that instead.
5. Complete the fields the form requests
Ticket fields collect information used to organize and route requests. A form may ask for product type, model number, category, order details, urgency, or organization. Complete required fields accurately and use optional fields when they add useful context. Selecting the wrong organization or product can send the request to the wrong queue.
6. Attach relevant evidence safely
Attach a screenshot, short screen recording, log, invoice, or other evidence only when it helps explain the issue and the form permits it. Remove unrelated personal information before uploading. If a screenshot contains another person’s email address or an internal document, crop or redact it.
The Zendesk help-center workflow documented on July 21, 2026, states a 50 MB attachment limit for that workflow. That figure applies to the documented Zendesk portal process; it is not a universal limit for all companies or ticket systems. If a file is rejected, use a smaller file or follow the company’s stated alternative, such as an approved secure-upload link.
7. Submit and preserve the reference
Review the subject, description, fields, and attachments, then select the form’s submit button. Save the confirmation page, email, and ticket number. Keep the original subject in your records so you can recognize replies and avoid opening duplicate requests.
In Zendesk, customers who meet the account and verified-email requirements can use the Requests area of the customer portal to see a ticket’s subject, ID, creation and update dates, status, and requester. Your company may expose different information.
Use this ticket description format
You can adapt the following structure to the fields your company provides:
Subject: [product or feature] – [specific problem]
What I expected: [expected result]
What happened: [actual result and exact error text]
Steps to reproduce:
1. [first step]
2. [second step]
3. [result]
Environment: [device, operating system, browser/app version, model]
Started: [date/time and frequency]
Reference: [order, account, or transaction ID if requested]
Requested resolution: [what you need from support]
Do not include a password or one-time security code in this template.
How to track and update the ticket
Check the company’s portal or the confirmation and reply emails for status changes. Reply to the existing thread or add a portal comment rather than creating a second ticket for the same issue, unless the company instructs you to start a new request.
Zendesk permits comments on requests that are not closed through the customer portal. Its documented email follow-up process has ticket-ID and permission requirements, so follow the instructions in the message you received. A different platform may require a portal comment, a reply to a specific address, or a new contact form.
When adding information, state what changed since your last message. For example, report whether the error still occurs, provide a newly requested log, or explain that the issue is resolved. Avoid sending repeated “any update?” messages that add no new information.
Zendesk status terms (and why they are not universal)
Zendesk documents these statuses:
| Status | Meaning in Zendesk’s documented workflow | What you should do |
|---|---|---|
| New | The request has been submitted and has not yet been opened by an agent. | Wait for the initial review unless the company gives a different instruction. |
| Open | The ticket is being worked by an agent. | Reply in the same request if the agent asks for information. |
| Pending | The agent needs a follow-up from the requester. | Provide the requested information in the ticket. |
| On-hold | The ticket is waiting on an external dependency or other action. | Watch for the next update; do not assume the request is closed. |
| Solved | The agent has marked the request solved. | Reopen or comment while the system permits it if the problem remains. |
| Closed | The ticket cannot be reopened in Zendesk. | Create a follow-up request if more help is needed. |
These definitions are Zendesk-specific. Another company can use the same words differently or use an entirely different status model.
How other support systems create tickets
Not every ticket starts with a standalone web form. Intercom documents several routes: a customer can open a ticket from Messenger; a support teammate can convert an existing conversation; a teammate can send a ticket form for the customer to complete; a teammate can create a standalone ticket on the customer’s behalf; a workflow can collect information first; or an API can create the ticket. Intercom also explains that ticket types define the data fields and category.
| Workflow characteristic | Help-center form (Zendesk example) | Conversation-based system (Intercom examples) |
|---|---|---|
| Starting point | Customer portal and Submit a request form | Messenger, an existing conversation, a sent form, workflow, teammate action, or API |
| Who can start it | Usually the customer, subject to portal configuration | Customer or teammate, depending on the route |
| Fields | Subject, description, and configured fields such as product or model | Fields defined by the selected ticket type or workflow |
| Attachments | Supported in the cited Zendesk workflow; 50 MB limit there | Limits and accepted files depend on the configured route |
| Follow-up | Portal comments and documented email methods for eligible requests | Replies through the conversation or ticket path configured by the company |
This comparison describes documented options, not a promise that every Zendesk or Intercom installation enables all of them. Administrators can change forms, fields, permissions, and channels.

When the ticket form is missing or fails
You cannot see “Submit a request”
- Sign in if the help center offers an account option, then return to the contact page.
- Look for a chat, email, or account-support route instead.
- Confirm that you are using the company’s official domain and not a help article that only provides self-service information.
- If no customer-facing route exists, use the company’s published contact method; do not guess an internal address.
The form rejects a field or attachment
- Read the inline error and correct the named field.
- Reduce an attachment below the stated size or file-type limit.
- Remove sensitive or unnecessary material and try again.
- Copy your description before refreshing so you do not lose it.
You receive no confirmation
Check spam, promotions, and the account’s message center. Verify that the email address was entered correctly. If there is still no reference, contact the company through another official route and explain that the first submission produced no confirmation; do not send payment or password information to “verify” the request.
You created duplicate tickets
Tell support the ticket IDs and ask them to keep one request as the primary record. After that, reply to the active ticket rather than opening another one for each update.

| Need | Usually useful channel | Information to include |
|---|---|---|
| General question or non-urgent issue | Help-center request form | Clear subject, context, and requested outcome |
| Issue requiring a screenshot or model details | Form that accepts fields and attachments | Product/model, reproduction steps, and safe evidence |
| Conversation already open with an agent | Continue that conversation or use its ticket form | The existing conversation or ticket reference |
| Account-specific request | Authenticated portal or the company’s verified account channel | Only the account identifiers the form requests |
| Urgent safety, fraud, or security concern | The company’s designated urgent or security channel | Concise facts; never include secrets or credentials |
“Urgent” labels do not automatically change a company’s response time. Use the route the company identifies for emergencies or security incidents.
Frequently Asked Questions
Do I need an account to submit a support ticket?
Not always. Some companies allow unauthenticated requests, while others require sign-in to show account data and ticket history. The help center’s configuration determines the rule.
What if the company has no ticket form?
Use its official chat, email, phone, or in-app support route. Some systems create a ticket behind the scenes from a conversation, while others may provide only self-service articles.
Can I send a second ticket to speed up a response?
Usually that creates duplicate work. Keep the original ticket and add a concise follow-up unless the company specifically tells you to open a new request.

Can I reopen a closed Zendesk ticket?
No. Zendesk’s documented behavior allows a solved request to be reopened until it is closed; a closed ticket requires a new follow-up request.
Best Value
What should I do if my screenshot contains private information?
Crop or redact unrelated personal data before attaching it. Never share passwords, full card numbers, authentication codes, or private keys in a ticket.
Can a support agent create a ticket for me?
Yes, some systems allow a teammate to convert a conversation, send a ticket form, or create a standalone ticket on your behalf. Intercom documents each of these routes, but the company must enable them.
Frequently Asked Questions
How long should a support ticket description be?
Include every fact needed to understand or reproduce the issue, but remove unrelated history and repeated messages. A structured description with steps, environment, timing, and requested outcome is easier to process than a long unstructured narrative.
Recommended Free Tools
Should I mark a ticket as urgent?
Use an urgency field only when the impact meets the company’s stated criteria. If the company provides a separate emergency, safety, fraud, or security channel, use that route instead of relying on a label in a normal form.
What is the difference between a ticket number and an order number?
A ticket number identifies the support conversation. An order, transaction, or model number identifies the product or event involved. Provide both when the form requests them.
The Bottom Line
A successful support ticket is specific, complete, safe to share, and easy to track. Start with the company’s official channel, follow its fields and attachment rules, save the reference, and continue the same request until the issue is resolved or the system requires a follow-up.
