To convert a scheduled time reliably, use the event date—not today’s date—to determine each location’s UTC offset. Convert the source time to UTC, apply the destination’s offset for that date, then check whether the result falls on a different calendar day.
Convert a time using the event date

Record the event details. Write down the calendar date, local time, and the actual city or region for both locations. A city is more precise than an abbreviation or a broad label, especially when place names repeat.

Find each location’s UTC offset for that date. Do not use the offset shown for today or rely on a remembered seasonal difference. Local rules vary by jurisdiction and may change. UTC is a stable time standard; local civil times are expressed as offsets from UTC, and UTC itself does not observe daylight saving time (DST). timeanddate.com explains UTC offsets.

Convert the source time to UTC. If the source location is UTC−5, add five hours to its local time to get UTC. If it is UTC+5, subtract five hours. Use the offset that applies to the event date.

Convert UTC to the destination’s local time. Apply the destination’s offset for the relevant date: add a positive offset or subtract the absolute value of a negative offset.

Check the destination date. If the arithmetic crosses midnight, the destination may be on the previous or following calendar day. Record the date and time together.

Verify with a date-aware converter. Enter both locations and the event date. Confirm that the tool identifies the intended cities or regions and displays the destination date as well as the time.
Why the date changes the answer
Some locations change their clocks seasonally; others do not, and the dates for any changes are not necessarily the same. As timeanddate.com’s Time Zone Converter FAQ puts it, “Every country has its own rules about when to turn their clocks forward or backward, and by how much.” A conversion made with the current offset can therefore be wrong for an event months away.
For example, New York is UTC−5 during standard time and UTC−4 during daylight time, according to timeanddate.com’s UTC offset explanation. The applicable offset depends on the event date. Even the gap between two places can change during the year if one location changes clocks before the other.

Use abbreviations carefully
An abbreviation may name a fixed offset rather than a regional rule that adjusts for DST. In the East Coast example, EST means UTC−5 and EDT means UTC−4. “Eastern Time” can be a DST-aware regional designation in a converter, but an abbreviation by itself should not be assumed to switch automatically. timeanddate.com’s time-zone FAQ discusses time-zone labels; for a scheduled event, select the city or region and enter the date rather than relying on an abbreviation alone.
Manual calculation or a time-zone converter?

A converter can make date-aware conversion easier, but its result still depends on selecting the right places and date. These methods are not a guarantee against an incorrect city selection or a rule change.
Check recurring meetings across clock changes
A recurring meeting may not keep the same local-time relationship all year. Check each relevant date range, particularly the weeks when one location has changed clocks and the other has not. For a long-running series, verify dates on both sides of each location’s seasonal transition rather than assuming one conversion applies to every occurrence.

Common mistakes to avoid

Using today’s offset for a future event: look up the offset for the event date.

Assuming the time difference never changes: compare both locations’ date-specific offsets, including transition periods.

Mixing up EST and EDT: treat them as different offsets, not interchangeable spellings.

Choosing an abbreviation instead of a place: select the intended city or region so the applicable local rule is clear.

Leaving off the destination date: check for a midnight crossing and state the resulting date.

Assuming all offsets are whole hours: some locations use offsets in 30- or 45-minute increments, as noted in timeanddate.com’s UTC offset explanation.
When future rules may need rechecking
Time-zone rules are set by jurisdictions and can change. For a future event, especially after a law change, confirm the applicable local rule close to the time you schedule or reconfirm it. timeanddate.com says its country time-zone information draws on sources including law texts, local news agencies, embassies, tourist agencies, and the IANA Time Zone Database in its time-zone FAQ.
