To control who can open an AI-assisted Google Doc, use the document’s Share dialog: invite named people with the least-privileged role they need, check General access, and review folder permissions if access persists after removal. Gemini source selection does not grant access to a file; the user must already have permission to view it. Google says private Workspace files are not scanned to train foundational AI models, while prompts and generated suggestions are processed to provide requested assistance.
Check who can access the document
- Open the document and select Share.
- In General access, check whether the file is Restricted or available to Anyone with the link.
- Review the people listed in the dialog and their roles.
Google says newly created Docs, Sheets, Slides, Vids, and Drive files are Restricted by default. Restricted means only people who have been given access can open the file. Do not assume an existing document is still restricted: its owner or an editor with permission to share may have changed the setting.

Anyone with the link is broader than invitations to named people: anyone holding the specific URL can use the file with the role assigned to link access. Google says these link-access files are not crawled or indexed by Google Search unless the link is published on a publicly searchable web page. Link access is not the same as publishing a public listing, but sharing the URL publicly can expose it to a much wider audience. See Google’s privacy basics for Docs, Sheets, Slides, and Vids and Google’s Drive sharing instructions.
Choose the right sharing role
In the Share dialog, enter a collaborator’s email address and choose a role. Use the least access that lets the person do the work:

|---|---|---|
| Viewer | View the document | Reading without feedback or edits |
| Commenter | View and comment | Giving feedback without changing document text |
| Editor | Edit the document | Making changes collaboratively |
Google’s permissions guidance notes that editors may be able to change permissions and share the file unless the owner changes the relevant sharing setting. For work or school accounts, an administrator may restrict external sharing, so an invitation to someone outside the organization may not be available.
Remove access, including access inherited from a folder
- In the document’s Share dialog, find the person whose access you want to remove.
- Open the control beside their name, choose Remove access, then save the change.
- To stop link-based access, change General access to Restricted.
- If the person can still open the file, inspect the containing Drive folder’s sharing permissions.
Drive folder permissions can be inherited by files inside the folder. Removing someone’s direct permission on a document will not necessarily remove access they receive from its parent folder. If access comes from that folder, change the folder-level permission. Google explains the available controls in Stop, limit, or change sharing.
Limit resharing, copying, printing, and downloading
Owners can adjust sharing settings to prevent editors from changing permissions or sharing, and can control whether viewers and commenters may download, print, or copy a file. These settings reduce some ways recipients can distribute or reuse a document, but Google cautions that they cannot stop people from sharing its contents in other ways. They are not a guarantee against screenshots, transcription, or onward disclosure. For files in a shared folder, folder permissions remain an important part of the access picture.
What Gemini access means for the document
Gemini features depend on eligibility
Google describes Gemini in Docs as a way to draft content, improve writing, and summarize content. It requires an eligible Google Workspace or Google AI plan; availability can depend on the account and administrator settings. Google’s current feature overview is at Gemini in Docs, Sheets, Slides, Vids, and Forms.

Selected sources do not bypass file permissions
To add a Drive file as a Gemini source, a user must have permission to view it. Google’s help page says Gemini searches selected sources, while administrator-enabled app data and Workspace activity may also help prioritize relevant information. Users can manage source settings. If Gemini shows the alert “You need access to some files,” the user lacks permission to at least one selected source; ask its owner or administrator for view access rather than treating source selection as an access request. See Google’s guidance on using sources with Workspace with Gemini.
Google’s stated policy on Workspace files and AI
Google says private Docs, Sheets, Slides, Vids, and Drive files are not scanned to train foundational AI models, including Gemini. It also says prompts and generated suggestions are processed securely to provide the requested generative-AI assistance under Workspace privacy commitments. These are Google’s stated policy claims; distinguish that processing needed to deliver an AI feature from using private files to train foundational models. Details are in Google’s privacy overview.

- Google’s Drive sharing help says a file can have up to 100 open tabs or devices before editing availability is limited to the owner and some users with edit permissions.
- The same help page says a single file can be shared with up to 600 individual email addresses.
- For eligible work or school accounts, an access expiration date can be set within one year of the current date.
These are limits stated in Google’s help pages; eligibility and controls can vary by account type and administrator policy. Check the relevant sharing dialog and Google’s current Drive sharing guidance for the options available to your account.
