Use Contributor for draft-only writers, Author for people who publish their own posts, and Editor for staff who must manage and publish other users’ content. Reserve Administrator for site configuration and Super Admin for Multisite network control. Then test the account in the real screens and workflows; a role name is only a bundle of capabilities, and capabilities are what WordPress actually checks.
Roles and capabilities: the distinction that prevents over-permissioning
A WordPress role is a named collection of permissions. A capability is an individual authorization such as editing posts, publishing content, uploading files, or changing theme options. When a user opens a screen or submits an action, WordPress checks the relevant capability rather than making a decision from the role label alone. The official role reference describes the predefined roles and their capabilities in detail: WordPress roles and capabilities.

This matters for collaboration because “writer,” “designer,” and “manager” are job descriptions, not security boundaries. Two writers may need different access: one may submit drafts only, while another may publish their own posts. Start with the work the person must perform, map it to capabilities, and avoid granting a more powerful role merely because its name sounds convenient.

WordPress includes six predefined roles. Their exact capability sets can vary with the installation and with customizations, so treat the table as a starting point and verify the actual account on your site.

| Role | Typical collaboration use | Important boundary |
|---|---|---|
| Subscriber | Read the site and manage a profile | No editorial capabilities by default |
| Contributor | Write and manage drafts of the contributor’s own posts | Cannot publish posts by default |
| Author | Write, manage, and publish the author’s own posts | Does not manage other users’ posts by default |
| Editor | Manage and publish content from multiple authors | Broad editorial powers, including management of other users’ content and comment moderation |
| Administrator | Configure a single site and its users | Extensive administrative reach, including plugin and theme management on a single-site installation |
| Super Admin | Manage a WordPress Multisite network | Network-level role; a site Administrator does not automatically have every network capability |
WordPress’s security guidance is concise: “Only grant the capabilities required for the tasks the role is intended to perform.” Read the Developer Handbook guidance on roles and capabilities when you need to reason about individual checks rather than labels.
Choose a starting role from the actual collaboration task
Before creating an account, write down the actions the person must take. Include both positive requirements (“can submit a draft”) and boundaries (“cannot publish,” “cannot edit another author’s work,” or “cannot change settings”). This turns a vague request for “access to WordPress” into a testable permission set.
Draft-only writer
Use Contributor when a writer should create and manage their own drafts while another person reviews and publishes them. This is the usual fit for an editorial pipeline in which an editor checks accuracy, style, media, and search settings before publication. Confirm whether the writer also needs to upload media; file-upload access is a separate capability and should not be assumed from the role name.

Use Author when the collaborator can publish and manage their own posts without a separate approval step. An Author is not, by default, a manager of other authors’ posts, pages, or editorial queues. If the person must edit somebody else’s content, move to an Editor-style arrangement or design a narrower custom capability set.
Managing editor or content lead
Use Editor when a collaborator needs to edit and publish posts from multiple users, manage the editorial queue, and moderate comments. This is a powerful content role, but it is not a substitute for administration: do not give Administrator simply because someone needs to supervise writers.
Site administrator
Use Administrator only when the person must configure the site itself—for example, manage users, install or manage plugins and themes, or change broad site settings on a single-site installation. Such access can alter the entire site and should be limited to trusted operators.

Network operator
Use Super Admin for network-level work in Multisite, such as managing the network and its sites. A site Administrator operates within an individual site and does not automatically receive every network capability. Decide first whether the account is for one site or for the network.

The following questions expose the boundary between the common built-in roles. If a row does not describe the required workflow, document the missing capability rather than guessing at a higher role.
| Question | Contributor | Author | Editor | Administrator |
|---|---|---|---|---|
| Can create and manage own drafts? | Yes | Yes | Yes | Yes |
| Can publish own posts? | No by default | Yes | Yes | Yes |
| Can edit or manage other users’ posts? | No by default | No by default | Yes | Yes |
| Can moderate comments? | Not by default | Not by default | Yes | Yes |
| Can install or manage plugins and themes on a single site? | No | No | No | Yes |
| Can manage the whole Multisite network? | No | No | No | No; use Super Admin |
These are default boundaries, not a promise that every installation is identical. Plugins, themes, and deliberate role changes can add or remove capabilities. Test the account after assignment.
Add a collaborator and assign the role
You need an account with permission to manage users. The labels can differ slightly by WordPress version, language, or configuration, but the workflow is consistent.
- Inventory the required actions. Record whether the person must draft, edit their own posts, publish their own posts, edit other users’ posts, moderate comments, upload media, edit pages, access the Site Editor, or change site settings.
- Choose the least powerful built-in role. Start with Subscriber, Contributor, Author, or Editor for content work. Select Administrator or Super Admin only when the documented task genuinely requires site-wide or network-wide control.
- Open the user management screen. In the dashboard, go to Users. Choose Add New to create an account, or open an existing user to change its role. The official Users screen documentation explains the available fields and actions.
- Enter the account details. Use a unique username and the collaborator’s work email. Follow your organization’s password and account-recovery policy. Do not share one account among multiple people; individual accounts make role reviews and activity attribution possible.
- Select the role. In the Role selector, choose the role you mapped in step two, then save the new user or update the existing profile. If the site permits public registration, review the default role under Settings > General; set it to the least powerful role that is safe for untrusted registrations.
- Communicate the boundary. Tell the collaborator what they can do and what requires review. For example, a Contributor can submit a draft but should not expect a Publish button; an Editor can manage other authors’ posts.
- Run a workflow test. Have the user sign in and perform the exact actions they need. Check both successful tasks and forbidden tasks, such as attempting to publish a Contributor draft or open a settings screen. Record any unexpected access and adjust deliberately.
When a collaborator’s duties change, edit the existing account rather than creating a second account with extra privileges. Remove access that is no longer required, especially after a person leaves a project.
Test permissions as a complete workflow, not just a menu
A visible menu item is not proof that every related operation is authorized, and a hidden menu item is not proof that a capability is absent. Editors, customizations, and REST API requests can apply additional checks. Test the actions that matter to the person’s job.

Draft and approval test
- Sign in as the proposed writer.
- Create a new post and save it as a draft.
- Confirm the writer can reopen and edit that draft.
- Attempt to publish it and verify that publication is blocked when the account is meant to be draft-only.
- Sign in as the reviewing Editor or Administrator and verify that the draft is visible, editable, and publishable by the reviewer.
Own-content versus other-content test
- Create one post owned by the collaborator and one owned by another user.
- Check which posts appear in the collaborator’s list and whether each can be edited.
- Do not infer ownership behavior from a role label after a plugin or custom role has been installed; test the real posts.
Media, pages, and comments test
Uploading files, editing pages, and moderating comments are separate capabilities from writing a post. If the job needs one of these, test it directly. Grant the smallest additional capability that satisfies the requirement, and retest the screens that could be affected.
Document the result
Keep a simple record of the account, role, business purpose, date assigned, reviewer, and any custom capabilities. This makes later access reviews practical and gives you a clear rollback plan.
When a built-in role is not enough: custom roles and capabilities
A custom role is appropriate when the built-in boundaries are either too broad or too narrow—for example, a production assistant who needs to upload media and edit selected content but must not publish or change site settings. Customization creates maintenance work: you must define the capability set, test it after WordPress and plugin updates, and remove obsolete access.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsWordPress documents add_role() and remove_role() for creating and removing roles. Role objects also provide add_cap() and remove_cap() for changing capabilities. The relevant references are the Plugin Handbook on roles and capabilities and the Common APIs Handbook.
Design the role around actions
- Write the exact tasks in plain language: “create drafts,” “edit assigned posts,” “upload images,” or “moderate comments.”
- Map each task to the capability WordPress checks for that action. Do not assume a capability’s name describes only one screen.
- Start from a minimal set instead of copying every capability from Editor or Administrator.
- Apply the role in a controlled environment first, then test every required workflow and several prohibited workflows.
- Record why each capability exists and who owns the review when the site changes.
Capabilities can have broader effects than their names suggest. A capability that opens one interface may also unlock related administrative operations. The safest check is the actual screen and action under the intended account, not the label in a role editor.
For protected code paths, developers should check capabilities directly rather than assuming that a role name is the correct authorization test. This keeps custom code working if an administrator later renames a role or assigns the same capability to a different role.

Give access to the Site Editor without handing over the whole site
The Site Editor is available when a block theme is active. WordPress identifies edit_theme_options as the primary capability for access to the Site Editor and its navigation. Depending on what the user must do, the account may also need edit_posts, edit_pages, edit_others_posts, read, or upload_files.
Important: edit_theme_options is not a narrow “templates only” permission. It also grants broader theme-related administrative functionality. Giving it to a collaborator can therefore expose more than the Site Editor screens you had in mind. Review the full effect in your installation before assigning it.
Site Editor access checklist
- Confirm that a block theme is active; the Site Editor is not available with every theme type.
- Define whether the collaborator needs to edit templates, navigation, styles, pages, posts, or media. Each may involve different capabilities.
- Use a custom role if a built-in role would grant unnecessary publishing or administrative power.
- Sign in as the collaborator and open the Site Editor. Test loading, editing, and saving the specific section they own.
- Check the browser’s network response if the interface opens but a section will not load or save.
Diagnose REST API errors
The Site Editor uses REST API endpoints. A custom role may be able to open the interface but receive a 401 or 403 response when loading or saving a section. Read the REST error message, identify the capability required by that endpoint, and add only that capability. Do not add Administrator or a collection of broad capabilities just to make an error disappear. The official role and capability reference is the starting point for tracing those checks.
Single-site and Multisite permissions are not interchangeable
On a single-site installation, Administrator has extensive site powers, including plugin and theme installation and management. In Multisite, network-level capabilities are reserved for Super Admins. A user can be an Administrator of one site in the network while lacking the ability to configure the network or other sites.
Before assigning a high-level role, answer two questions:
- Is the account operating one site or the entire network?
- Does the person need content authority, site configuration authority, or network authority?
Assign the role in the correct scope, then test in that scope. A request to “manage WordPress” is incomplete until the site boundary is explicit.

Common permission problems and precise fixes
“The writer can see a post but cannot publish it.”
That is expected for a default Contributor. Keep the role if the workflow is draft-and-review. If the writer must publish their own posts, use Author instead and retest whether access to other users’ content remains blocked.
“The author cannot edit another writer’s post.”
That is the normal Author boundary. Use Editor when the person truly needs broad editorial management, or design a custom role if Editor would expose too much.
“The collaborator can access settings they should not touch.”
Inspect the assigned role and any custom capabilities. A role may have inherited a broad capability from a plugin, theme, or previous customization. Remove the unnecessary capability, save the role, and repeat the prohibited-action test.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
“The Site Editor opens, but saving fails.”
Inspect the REST request for a 401 or 403 status and read its error message. Determine which capability the specific endpoint requires. Check that the user also has the content or media capability needed for the object being edited, then add the narrowest missing capability and test again.
“A menu item is missing even though the user should have access.”
Check the active theme, the account’s role, and the capability required by the screen. Plugins can change menus and authorization. Test the underlying action directly and review server or REST errors instead of granting a higher role blindly.
“A user’s access changed after their job changed.”
Update the existing account to the new least-powerful role, remove obsolete custom capabilities, and run the workflow tests again. Keep the access record current so a later review does not preserve permissions for work the person no longer performs.
Operate collaboration permissions as an ongoing control
At account creation
- Use an individual account with a unique email and strong authentication practices.
- Record the business purpose and approving owner.
- Assign the least-powerful role that covers the documented tasks.
- Test both allowed and denied actions.
At every role change
- Compare the new duties with the current capability set.
- Remove capabilities that are no longer required.
- Retest publishing, ownership, media, comments, pages, and settings as applicable.
- Update the access record with the date and reason.
During periodic reviews
- List all Administrators and Super Admins separately from editorial users.
- Check dormant accounts and remove or downgrade them according to your retention policy.
- Review custom roles after WordPress, theme, and plugin updates.
- Verify that public registration still assigns the intended default role under Settings > General.
A decision framework for the final assignment
| If the collaborator must… | Start with… | Escalate only when… |
|---|---|---|
| Read content and maintain a profile | Subscriber | A documented editorial capability is required |
| Submit drafts for review | Contributor | They must publish their own posts or perform extra tasks |
| Publish their own posts | Author | They must manage other users’ content |
| Manage and publish multiple authors’ work | Editor | They also need site configuration or network control |
| Install plugins, manage themes, or change site settings | Administrator on a single site | The task is network-wide, in which case Super Admin may be required |
| Edit Site Editor content | A carefully scoped role including the required Site Editor and content capabilities | The REST endpoint identifies an additional, justified capability |
The reliable pattern is simple: define the work, assign the smallest capability set, test the complete workflow, and revisit access whenever the work changes. That approach protects publishing integrity without blocking legitimate collaboration.
