How to Configure DMARC, SPF, and DKIM to Reduce Email Spoofing

A practical DMARC rollout: inventory every sender, align SPF and DKIM with your visible From domain, monitor aggregate reports, and enforce policy only when legitimate mail is understood.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

To reduce spoofing without interrupting legitimate email, first identify every service that sends mail using your domain, then configure aligned SPF and DKIM, publish DMARC in monitoring mode, and review aggregate reports before moving to quarantine or rejection. DMARC is the policy and evaluation layer: a message passes when either SPF or DKIM both authenticates and aligns with the domain in the visible From address.

What SPF, DKIM, and DMARC each do

These standards address different parts of an email’s identity. They work together, but publishing one does not replace the others. DMARC evaluates the visible author domain—the domain in the message’s RFC5322.From field—against the identities authenticated by SPF and DKIM. For DMARC to pass, at least one of those authentication results must also align with the visible From domain. The current DMARC standard used in this guide is RFC 9989, published in May 2026.

Standard What it checks or establishes What matters for DMARC
SPF Authorizes sending hosts for specified email identities, including MAIL FROM or HELO. DMARC uses the RFC5321.MailFrom identity for its SPF route. That identity must authenticate and align with the visible From domain.
DKIM Uses a domain identifier to sign a message; a receiving system can check the signature using the corresponding public key. The signing domain, identified by d=, must authenticate and align with the visible From domain for DKIM to contribute a DMARC pass.
DMARC Evaluates SPF and DKIM in relation to the visible RFC5322.From author domain and publishes a domain owner’s requested handling policy. It passes if either SPF or DKIM both passes authentication and aligns. Its policy can request no special handling, quarantine, or rejection for messages that fail.

The alignment requirement is why a message can pass SPF or DKIM yet fail DMARC: the authenticated identity may belong to a different domain from the one readers see in From. Conversely, DMARC does not require both SPF and DKIM to pass; one passing, aligned route is sufficient. The underlying specifications are RFC 7208 for SPF and RFC 6376 for DKIM.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Think of authentication and alignment as two distinct checks. SPF asks whether a sending host is authorized for the relevant envelope identity. DKIM lets a receiving system check a signature associated with a signing domain. DMARC then relates those authenticated identities to the author domain that recipients see. A setup is not complete just because a sender authenticates; the identifier used by that method also has to align for the result to count toward DMARC.

This distinction matters when choosing what to fix. If an SPF result passes but the MAIL FROM domain does not align with From, changing the SPF authorization alone may not produce a DMARC pass. If DKIM is enabled but its d= domain is unaligned, the signature may likewise fail to provide the aligned route DMARC needs. Diagnose the identifier as well as the pass/fail result.

Before changing DNS, map your legitimate mail

Start with an inventory, not a policy record. A domain can send mail through more systems than its main mailbox provider: business applications and other third-party services may also use the domain in their visible From address. If a legitimate service is missed, its messages may fail authentication or be affected after enforcement begins.

For every sending system or service, record the visible From domain, the envelope sender domain used for RFC5321.MailFrom, the DKIM signing domain, and how the source is authorized in DNS. Confirm those identities with the team or provider responsible for the system; do not assume that a service’s display name or the visible From address tells you which domains it uses for SPF and DKIM.

  • Include internal mail systems and business applications, as well as third-party senders.
  • Identify which service controls each sender’s SPF authorization and DKIM signing configuration.
  • For each source, note whether SPF and DKIM authenticate and whether their respective identifiers align with the visible From domain.
  • Mark any sender whose configuration or identity is still unknown. Resolve those gaps before relying on DMARC enforcement.

This inventory is also the reference for interpreting aggregate reports later. If a report shows a source you do not recognize, investigate it rather than automatically authorizing it; if it shows a known sender with failed or unaligned authentication, correct that sender’s configuration before increasing enforcement.

Make the inventory specific enough that someone else can use it during a later review. Record who owns each sending system, which visible From domain it uses, and where its SPF and DKIM settings are managed. The operational goal is not merely to have a list of vendors: it is to be able to trace an observed source to a responsible owner and a concrete configuration.

Include less obvious business mail, not only person-to-person email. An application that sends notifications, a business platform that sends on behalf of a team, or an outside provider may use the same visible domain even though it does not send through your normal mailbox service. Ask teams that operate customer-facing or business systems which services send mail as your domain. An incomplete inventory is a common reason to see legitimate traffic only after monitoring begins.

Configure SPF for the MAIL FROM identity

Publish a valid SPF TXT policy for the domain used in the message’s RFC5321.MailFrom identity, authorizing the actual outbound sources you identified. For DMARC’s SPF route, a successful SPF result counts only when that MAIL FROM identity also aligns with the visible author domain. SPF can authenticate a sender without providing an aligned DMARC result if the domains differ.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep the SPF policy within RFC 7208’s limit of ten DNS-querying terms per evaluation. As services are added, review the complete policy and validate its DNS-querying terms; a policy that exceeds the limit can undermine the result you intend to rely on. The limit applies to an evaluation, so adding senders should prompt a check of the combined policy rather than a review of each provider’s instructions in isolation.

SPF alone is not a dependable route through indirect delivery. Forwarding can disrupt the SPF result, so a deployment that relies only on SPF is vulnerable to legitimate forwarded messages failing that route. This is one reason to configure aligned DKIM as well as SPF.

For each source in the inventory, verify which domain it actually uses for MAIL FROM before editing DNS. A provider’s sending instructions may identify the domain it expects to use, but the relevant question for DMARC is whether that envelope domain aligns with the visible From domain. If not, the source may still have an SPF result, but that result will not supply DMARC’s aligned SPF pass for the author domain.

Revisit SPF whenever a sending service is added, removed, or reconfigured. Keep track of which sources the policy is intended to authorize, and check the full evaluation against RFC 7208’s ten DNS-querying-term limit as the set of senders changes. Counting only one provider’s contribution is not enough if the complete policy combines terms from multiple services. Do not treat an SPF pass as proof that DMARC passes: alignment remains a separate requirement.

Enable DKIM signing for each sender

Turn on DKIM signing for every mail system or provider that sends using your domain. Publish the public key for the selector in DNS according to that sender’s instructions, and confirm that the message signature uses a signing domain (d=) aligned with the visible From domain. The precise selector name, DNS record value, and provider controls vary by sender; use the service’s current setup instructions rather than assuming a universal record.

Check alignment per sender, not merely whether the provider says that DKIM is enabled. A signature can exist but use a domain that does not align with the message’s author domain, in which case it will not provide an aligned DKIM result for DMARC. RFC 9989 also advises domains that choose p=reject not to rely solely on SPF, making aligned DKIM especially important before that policy is considered.

DKIM is particularly important because SPF can be disrupted when mail is forwarded. An aligned, valid DKIM signature can provide the other authentication route DMARC evaluates, although it should not be assumed to solve every indirect-delivery problem. Confirm that each service signs the messages it sends and that its signing domain is the one you expect. When a provider offers configuration instructions for a selector and public key, follow those instructions for that provider rather than copying a record pattern from a different service.

Maintain a sender-by-sender view of DKIM status. If one service signs with an aligned domain and another signs with a provider’s unrelated domain, they do not have the same DMARC outcome, even if the provider dashboard labels both as DKIM-enabled. Check the signing domain in the actual configuration or reports, and resolve unaligned signatures before treating that source as ready for stricter policy.

Publish DMARC in monitoring mode

Set up an address or reporting workflow that can receive and review aggregate reports, then publish a DMARC TXT record under _dmarc for the Author Domain with p=none and a rua reporting URI. The following is an illustrative record from RFC 9989:

v=DMARC1; p=none; rua=mailto:[email protected]

Replace [email protected] with an address that is configured and monitored. Publishing an address that no one can access or process defeats the purpose of requesting reports. Add the record at the DNS provider authoritative for the domain, using its TXT-record interface; the host/name is _dmarc beneath the relevant domain. Exact field labels in DNS dashboards differ, so verify the resulting DNS record rather than relying on a particular interface’s wording.

When the Author Domain differs from the Organizational Domain, RFC 9989 says a DMARC record also needs to be published for the Organizational Domain. Account for both domains in the DNS plan rather than assuming a record at one name automatically covers the other.

p=none is monitoring mode, not an instruction to quarantine or reject failing messages. Its role in rollout is to gather visibility while you identify legitimate traffic and correct authentication or alignment gaps. Aggregate reports are a feedback mechanism; their availability, format, and completeness depend on receiving systems, so do not assume every receiver will provide the same information.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check the record at the actual DNS name where it is published and make sure the requested reporting address is usable. Think of publishing DMARC and receiving reports as two separate tasks: the TXT record expresses the policy and reporting destination, while your organization still needs a process to access, interpret, and act on what arrives. Assign responsibility for that review rather than assuming a mailbox alone will make the reports actionable.

Do not begin with p=quarantine or p=reject simply because SPF and DKIM records have been added. Monitoring lets you compare observed sending activity with the inventory while the policy is not asking receivers to quarantine or reject failures. It is the safer point to discover forgotten applications, unaligned service configurations, and indirect mail flows before policy escalation affects recipients.

Use aggregate reports to close gaps

Review reports against the sender inventory. For each source represented, determine whether SPF or DKIM passed, whether the passing identifier aligned with the visible author domain, and whether the source is legitimate. These are separate questions: authentication alone does not establish alignment, and a report entry that is unfamiliar is not by itself proof of either a legitimate sender or an attacker.

  1. Match sources to your inventory. Identify services you already expect to send with the domain and investigate unexplained sources.
  2. Separate authentication from alignment. Check whether SPF or DKIM passed, then whether that method’s identity matches the visible From domain closely enough to count as aligned for DMARC.
  3. Find legitimate streams without an aligned pass. Determine whether the cause is missing SPF authorization, a DKIM setup issue, or an identity mismatch. The report indicates where to investigate; the sending provider’s configuration determines the correction.
  4. Correct and observe. Update the responsible sender’s configuration, then continue reviewing reports to see whether legitimate traffic has an aligned authentication path.
  5. Keep unresolved or indirect traffic visible in your decision. Forwarding, role-based aliases, and mailing lists can create interoperability problems; consider how your users actually receive and redistribute mail before changing policy.

Do not increase enforcement just because a record exists or because some sources pass. The relevant readiness question is whether the reports explain the legitimate traffic, including the failures and indirect-delivery cases that could affect users.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use reports as operational feedback, not as a substitute for asking who owns a sender. A report can help identify which sources use your domain and whether SPF or DKIM passed and aligned; it does not automatically tell you whether an unfamiliar source belongs to your organization. Trace an unexplained source through your mail and application owners before making a DNS change that authorizes it. That keeps the goal focused on enabling legitimate mail, not simply making every observed sender pass.

Likewise, investigate known sources that appear with failures rather than assuming the sender is malicious. A legitimate service may have an SPF authorization gap, a DKIM signing problem, or a mismatch between the authenticated identity and the visible From domain. Fix the sender at the system or provider responsible for it, then use subsequent reports to confirm that the source has an aligned authentication route. Report formats and completeness differ by receiving system, so allow for incomplete visibility and do not infer that no report means no mail or no problem.

Keep notes on decisions made during report review: which sources were recognized, who confirmed them, what configuration was changed, and whether later observations showed improvement. This creates a practical record for the next policy decision and helps distinguish a corrected configuration from a source that remains unexplained. The standard’s rollout approach depends on using aggregate-report data to understand likely impact before requesting stronger treatment.

Choose an enforcement policy deliberately

DMARC provides three policy values: none, quarantine, and reject. They express progressively stronger requested treatment for messages that fail DMARC, but the receiving system determines how it handles mail. A policy is not a guarantee that every receiver will make an identical disposition.

Policy Role in rollout Decision to make
p=none Monitoring without requesting quarantine or rejection. Use while building visibility and correcting legitimate senders before enforcement.
p=quarantine Requests suspicious treatment for failing messages. Use as a measured intermediate step after reports and sender configuration are understood.
p=reject Requests rejection of failing messages. Consider only after weighing report evidence and the effect on forwarding, aliases, and mailing lists.

For domains that choose p=reject, RFC 9989 recommends at least one month at p=none, followed by an equally long period at p=quarantine, comparing message disposition results before moving to rejection. These are rollout intervals specified by the standard, not a prediction that every domain will be ready after two months. If reports still show unresolved legitimate traffic or a quarantine phase reveals unacceptable disruption, continue investigating instead of advancing on a calendar alone.

Before choosing rejection, assess whether legitimate mail is forwarded, sent to role-based aliases, or distributed through mailing lists. Indirect mail can break SPF and lead to DMARC failure, while rejection can create interoperability problems for those flows. Aligned DKIM can provide another authentication path, but it does not eliminate the need to evaluate real delivery patterns and report evidence.

The sequence is a decision process, not just three DNS edits. First establish what sends mail. Then give each source a usable SPF and DKIM path that aligns with the From domain. Next observe how receiving systems report that traffic under p=none, repair legitimate failures, and assess the consequences of indirect mail. Only after that evidence is understood should you request progressively stronger treatment.

Readiness has several dimensions. Can you account for every legitimate sender? Does each legitimate stream have at least one authenticated, aligned route? Do aggregate reports explain failures well enough to distinguish expected traffic from unknown sources? Would rejection disrupt users who depend on forwarding, role-based addresses, or mailing lists? A strong answer on one dimension does not cancel a gap on another. If you cannot explain a failure or its likely effect, continue monitoring and investigation rather than treating a calendar milestone as approval to advance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

During the recommended quarantine interval, compare dispositions and investigate whether legitimate messages are being affected. The point of the interval is to observe the impact of a stronger policy before rejection, not to assume that quarantine is harmless or that one month resolves every issue. RFC 9989’s recommendation is specifically for domains choosing rejection: at least a month at p=none, then an equally long period at p=quarantine, with message disposition results compared before rejection.

Readiness checklist and common failure points

  • A sender is missing from the inventory: revisit business applications and third-party systems that use the visible From domain. Resolve ownership and identity before enforcement.
  • SPF passes but DMARC does not: inspect whether the authenticated MAIL FROM domain aligns with the visible From domain. A passing SPF result alone is insufficient for DMARC.
  • DKIM is enabled but not helping DMARC: verify that the signing domain in d= aligns with the Author Domain and that the selector’s public key is published as instructed by the sender.
  • SPF becomes unreliable after adding services: validate the combined policy against the ten DNS-querying-term limit in RFC 7208.
  • Forwarded or mailing-list messages fail: consider the indirect path and the possible impact of the selected policy; do not treat every failure as an unauthorized sender.
  • Reports are not useful or do not arrive: check that the rua address is configured and monitored, and account for differences in report availability, format, and completeness across receiving systems.
  • Quarantine or rejection causes delivery problems: review message disposition results and legitimate indirect flows. Pause policy escalation while you correct configuration or reassess the effect on users.

Before moving beyond monitoring, be able to explain each legitimate source in the reports, show that it has at least one authenticated and aligned route, and understand the likely effect of failures on forwarding and other indirect mail. If those conditions are not met, keeping the domain at p=none while you close the gaps is a more controlled choice than enforcing an unexplained failure rate.

As a final pre-escalation review, verify the DNS and mail configuration together rather than treating them as independent checkboxes:

  • Confirm that the SPF policy covers the actual outbound sources for the relevant MAIL FROM identity and remains within RFC 7208’s ten DNS-querying-term limit.
  • Confirm that each legitimate sending system signs messages with DKIM and that its d= signing domain aligns with the visible From domain.
  • Confirm that the DMARC record is published at the Author Domain, includes a monitored aggregate-report destination, and accounts for the Organizational Domain when it differs.
  • Confirm that reports show a known explanation for legitimate traffic and that unresolved sources or failures are not being overlooked.
  • Review forwarding, role-based aliases, and mailing-list use with the teams responsible for those workflows before moving to a policy that could disrupt delivery.

None of these checks guarantees identical treatment by every receiver. DMARC publishes the domain owner’s requested policy, while receiver behavior and the availability of reports can vary. The practical aim is to reduce opportunities for unauthorized use while understanding and protecting legitimate mail as the policy becomes stricter.

Standards behind the configuration

DMARC’s current deployment guidance here comes from RFC 9989 (May 2026). SPF’s authorization model and evaluation limit are specified in RFC 7208 (April 2014, with updates noted by the RFC Editor), while DKIM’s signing framework is specified in RFC 6376. The earlier DMARC specification, RFC 7489 (March 2015), is historical context; this rollout follows RFC 9989.

Frequently Asked Questions

Does DMARC require both SPF and DKIM to pass?

No. DMARC passes when at least one method both authenticates and aligns with the visible RFC5322.From author domain. A passing SPF or DKIM result with an unaligned identifier is not enough.

Why can SPF pass while DMARC fails?

SPF authenticates a sending host for an identity, but DMARC’s SPF route uses the RFC5321.MailFrom identity and requires that identity to align with the visible From domain. A pass for an unaligned MAIL FROM domain does not count as an aligned DMARC SPF pass.

Why should I configure DKIM if SPF is already set up?

Forwarding can disrupt SPF, and RFC 9989 says domains choosing p=reject should not rely solely on SPF. Configure DKIM for each sender and ensure its d= signing domain aligns with the visible From domain.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What DMARC policy should I publish first?

Start with p=none and a monitored rua aggregate-report address. Use the reports to identify legitimate sources and repair authentication or alignment gaps before considering quarantine or rejection.

How long should I monitor before using p=reject?

RFC 9989 recommends that domains choosing rejection publish p=none for at least one month, then p=quarantine for an equally long period, and compare message disposition results before rejection. These are recommended rollout intervals, not a guarantee that a domain is ready after two months.

What should I do if legitimate messages fail DMARC after forwarding or passing through a mailing list?

Investigate the indirect delivery path and assess its impact before escalating policy. Forwarding can disrupt SPF, and forwarding, role-based aliases, and mailing lists can create interoperability problems. Check for an aligned DKIM route and use report evidence to guide any configuration changes.

How many DNS-querying terms can an SPF evaluation use?

RFC 7208 sets a limit of ten DNS-querying terms per evaluation. Review and validate the combined policy whenever sending services are added.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do DMARC aggregate reports always show every sender and failure?

No. Report availability, formats, and completeness depend on receiving systems. Use reports as important feedback, but do not assume every receiver supplies identical or complete information.

The Bottom Line

Inventory every legitimate sender, align its SPF and DKIM identities with the visible From domain, and begin DMARC at p=none with aggregate reporting. Use report evidence to fix gaps and assess forwarding, aliases, and mailing lists; for domains moving to rejection, RFC 9989 recommends at least a month each at monitoring and quarantine before comparing dispositions and proceeding.
