To shrink a PDF while keeping it usable, preserve the original, start with moderate compression, and check the result at the size and in the medium where it will be used. The right settings depend on what makes the file large: a text document, scanned pages, photographs, and diagrams do not respond alike. There is no setting that guarantees a large reduction with no visible change for every PDF.
Choose settings for the kind of PDF you have
Before compressing, consider what the document contains and what you need the smaller copy to do. A PDF’s size can come from images, embedded fonts, or other document data, so a simple preset may have little effect on one file and noticeably soften another. Adobe says its web compressor can remove embedded fonts, compress images, and eliminate unnecessary items, but it does not promise a particular reduction for an individual file. Adobe’s online compression guide explains its current workflow.

| PDF type or use | What to try | What to inspect |
|---|---|---|
| Text-first document with few images | Begin with basic or moderate compression. Aggressive image reduction may accomplish little if images are not the main source of size. | Searchable text, fonts, links, and page layout. |
| Scanned pages | Use conservative image settings first; scanned pages are raster images, so resolution and image compression can affect legibility. | Small print, stamps, handwriting, and fine details at normal reading size. |
| Photographs or image-heavy reports | Compare moderate settings before trying stronger lossy image compression. | Photographs at the likely viewing size; keep a higher-quality original for printing or archiving. |
| Line art, charts, or flat-color diagrams | Prefer settings suited to crisp edges. Adobe identifies ZIP compression as suitable for illustrations with flat-color regions. | Thin lines, labels, and text embedded in graphics. |
| Print or production PDF | Use a controlled optimizer rather than assuming an online “smallest size” preset meets production requirements. | Ask the print provider about required resolution, fonts, and PDF compatibility. |
Downsampling reduces image resolution by combining original pixels into larger pixels, which can remove fine detail. For photographic content, JPEG or JPEG2000 can reduce size by discarding image data; ZIP is lossless and often better suited to flat-color illustrations. Adobe’s PDF Optimizer settings guide describes these choices. Adobe’s archived Acrobat 8 help also explains the general lossy-versus-lossless distinction, but its interface details are historical: Adobe Acrobat 8 Standard Help, p. 105.

- Open Adobe’s current online compression instructions and go to Convert > Compress a PDF.
- Select or upload the PDF, then choose High, Medium, or Low compression. Start with a moderate option when preserving detail matters more than reaching the smallest possible file.
- Select Compress, then review the resulting PDF before sending or replacing anything.
Adobe says this web workflow saves the compressed file to Adobe cloud storage. Its product page states a service limit of up to 2 GB, but that is a vendor-stated limit and can change; check Adobe’s current product page before relying on it. For confidential files, use a workflow approved by the document owner or your organization and consider the service’s terms before uploading. The cited feature information does not establish a specific retention period or deletion control.

Use Acrobat desktop when you need more control
Acrobat desktop’s advanced optimizer offers controls beyond a single compression preset. Adobe describes it as available in Acrobat Pro, Premium, or Studio on desktop; confirm current plan access and interface labels before starting. The path in Adobe’s help is Save as Other > Optimized PDF, then choose Standard or adjust the options before saving. The exact interface can vary by operating system and version. See Adobe’s advanced size-reduction guide and Adobe Experience League’s optimization walkthrough.
- Images: Adjust downsampling and compression. Lower resolution can reduce size but may erase fine detail.
- Fonts: Options include unembedding or subsetting fonts. Check that the document still displays as intended on the systems where it will be opened.
- Transparency and objects: Optimizer controls can address transparency and discard objects such as thumbnails or search indexes.
- User data: Options can discard comments, forms, multimedia, or private data. Remove these only if they are not needed in the delivered copy.
- Cleanup and compatibility: Cleanup options can remove unnecessary data. The compatibility target affects which PDF features can be retained; selecting an older Acrobat version can limit compression features.
Advanced optimization can change more than file size. Before sharing the output, verify that the document opens in the intended software and retains any required searchability, links, forms, signatures, and accessibility features. Adobe’s documentation describes the available controls, but it does not establish that every setting preserves every document function in every file.

Check the compressed copy before you use it
- Compare at the intended viewing size. Review ordinary pages at normal screen size, then inspect small text, fine lines, handwriting, and photographs more closely.
- Check document functions. Search for a word, follow important links, and test forms or other interactive features you need.
- Check the output context. A PDF acceptable for screen sharing may not meet print or production requirements. Ask the print provider rather than relying on a universal resolution threshold.
- Keep the original until the compressed file is approved. If detail or functionality is missing, return to the original and try a less aggressive setting.
There is no universally safe DPI cutoff for scanned documents established by the cited guidance. Judge scans by whether their smallest important details remain readable in the intended use.
