To shrink a PDF while keeping it readable, first work on a copy, then use lossless compression if a modest reduction is enough. For a larger reduction, adjust image compression only as much as necessary and inspect the result against the original. Text-heavy PDFs may have little to gain from image settings; scans and photo-heavy documents are more likely to benefit.
Why some PDFs shrink more easily than others
PDF size depends partly on what the file contains. Image-heavy documents, such as scans and photo collections, can be large because of embedded image data. A text-heavy PDF is usually smaller, so changing image settings may make little difference. PDF24 explains this distinction in its official PDF compression help.

There are two broad approaches. Lossless compression reduces file size without discarding data, but PDF24 says not to expect a large reduction in its lossless mode. More aggressive compression can reduce embedded image size and quality. Adobe’s documentation also describes image downsampling and compression as optimization controls. The trade-off depends on the source file and how it will be viewed or printed.

A careful workflow for compressing a PDF
- Keep the original. Save a separate working copy so you can compare the compressed file and return to the unaltered version if needed.
- Try a quick reduction first if you use Acrobat. Adobe’s instructions, last updated September 23, 2025, document Menu > Save as Other > Reduced size PDF on Windows and File > Save as Other > Reduced size PDF on macOS. Menu labels may change between versions. Adobe also documents applying the reduced-size workflow to multiple files.
- Use advanced optimization if you need more control. In Acrobat, the advanced optimizer provides controls for image downsampling and compression, fonts, transparency, removable objects and user data, and cleanup. Adobe’s page on these options was last updated November 5, 2025. Focus on the file components most likely to be adding size, and change one relevant category at a time where possible.
- Choose the compression mode deliberately. PDF24 offers lossless compression for a potentially modest reduction and a normal mode that can reduce image size and quality for greater savings. Decide whether preserving every bit of image detail or reducing the file further matters more for this document.
- On a Mac, consider Preview. Apple’s Preview guide documents a built-in way to compress a PDF. Apple cautions that the compressed file may be lower quality, so do not replace your original before checking the output.
- Inspect the compressed copy. Compare representative pages with the original at normal reading size and at closer zoom. Look at small text and scanned characters, diagrams, thin lines, photographs, and color distinctions the document relies on. If a page has become hard to read, try a less aggressive setting or restore the original.
Which method should you choose?
| Method | Documented benefit | Quality and control |
|---|---|---|
| Acrobat reduced-size PDF | Quick workflow documented for Windows and macOS; Adobe also describes batch compression. | Offers less detail in the cited instructions than the advanced optimizer. Review the result before using it as your final copy. |
| Acrobat advanced optimization | Controls image settings and other PDF components, including fonts, transparency, removable objects and user data, and cleanup. | More control, but changes to images can affect fidelity. Adjust settings to suit the document and inspect the output. |
| PDF24 lossless compression | Offers a mode intended to preserve data. | PDF24 says large reductions should not be expected in this mode. |
| PDF24 normal compression | Can reduce embedded image size for greater file-size savings. | PDF24 describes a corresponding reduction in image quality. |
| macOS Preview | Provides a built-in Mac compression route. | Apple warns that compressed output may be lower quality. |
Protect sensitive documents when using an online compressor
An online tool may be convenient, but the product information cited here does not establish a privacy or retention policy that applies to every service. Before uploading a sensitive PDF, check the specific service’s current terms for how files are processed, stored, and deleted. If those terms do not meet your needs, use an offline desktop or built-in option instead.

Set a realistic quality target
There is no setting that guarantees both a large size reduction and unchanged quality for every PDF. If a lossless pass is not enough, make the smallest image-related changes that meet your file-size need, then check the pages and details that matter most for reading or printing. Adobe’s documentation on PDF creation settings also explains that compression outcomes depend on settings, including whether image data is recompressed or downsampled.
