How to Compare Payment Gateway Charges and Settlement Times Before Signing Up

There is no universally cheapest or fastest payment gateway. The right choice depends on your country, sales channels, average order value, card and payment-method mix, currencies, payout bank, and cash-flow requirements. Compare providers with one identical merchant profile, calculate the complete cost of a representative month, and separate payment processing from the date money becomes usable in your bank account.

What you are actually comparing

“Settlement time” is used loosely. A customer’s successful payment and your bank deposit are separate events:

As an Amazon Associate I earn from qualifying purchases.

  1. Authorization: the gateway asks the issuer to approve the payment.
  2. Capture and processing: the transaction is completed and included in the provider’s records.
  3. Payable batch: the provider places cleared funds into a payout batch according to its payout model and frequency.
  4. Payout initiation: the provider sends the batch to your nominated bank account.
  5. Bank availability: the receiving bank posts the deposit and makes it usable.

A provider can process a payment immediately while your standard payout arrives days later. Adyen says bank arrival can take up to two days after payout initiation, depending on currencies and banks. Cut-off times, weekends, public holidays, risk reviews, and your bank’s own processing can extend the elapsed time.

Fees also apply at several layers. A percentage plus a fixed transaction fee may be joined by payment-method, international-card, cross-border, currency-conversion, refund, dispute, chargeback, failed-payment, recurring-billing, or expedited-payout charges. Compare the complete path rather than the largest number in a pricing banner.

Use precise timestamps

For a real test transaction, record the authorization time, capture time, time it appears in a payable batch, payout-initiation time, and bank-posting time. This shows which delay belongs to the gateway and which belongs to the bank. It also prevents a sales promise such as “daily payouts” from being mistaken for guaranteed same-day bank availability.

Define one merchant profile before requesting quotes

Use the same assumptions for every provider. Otherwise a low quoted rate may simply reflect a different country, payment method, or transaction size.

  • Account and bank location: record the merchant-account country and the country where payouts will land.
  • Sales channels: separate online checkout, in-person payments, invoices, manually keyed transactions, subscriptions, and marketplace or platform payments.
  • Volume and ticket: estimate monthly transaction count, total sales, and average ticket. Fixed fees have a much larger effect on small purchases.
  • Payment mix: estimate domestic and international cards, debit and credit cards, wallets, bank payments, buy-now-pay-later products, and any local methods you need.
  • Currencies: list presentment currencies, settlement currencies, and where conversion occurs.
  • Risk events: estimate refunds, partial refunds, disputes, chargebacks, failed payments, voids, and failed payouts.
  • Cash-flow target: specify the latest acceptable bank-arrival date, desired payout frequency, and whether instant or same-day access is worth a separate fee.
  • Commercial terms: ask about monthly or setup charges, additional products, minimums, negotiated rates, reserves, rolling holds, and contract or termination requirements.

Keep the provider’s written quote separate from your assumptions. Ask whether a quoted price includes interchange, card-network assessments, taxes, or other pass-through costs. A flat blended rate and an interchange-plus quote are not directly comparable until every component is included.

Also state whether your forecast is gross sales or net of refunds. A provider may calculate a payout batch after deducting refunds, chargebacks, and transaction costs. Modeling only gross sales can make both fees and expected cash receipts look too low.

Calculate effective cost instead of comparing headline rates

For each transaction type, use:

Transaction cost = (transaction amount × percentage rate) + fixed fee + method or cross-border fee + currency-conversion fee.

Then add monthly, setup, product, dispute, refund, and payout-acceleration charges. Divide total monthly charges by total processed volume to obtain an effective percentage:

Effective rate = total monthly gateway cost ÷ total monthly processed volume × 100.

Run the calculation on your own representative month, not on a single domestic-card example. A provider with the lowest percentage can cost more when your orders are small, international, or paid with methods carrying higher fees.

Illustrative ticket-size effect

Suppose a domestic card price is 2.9% plus $0.30. On a $50 order, the charge is $1.75, or 3.5% of the sale. On a $10 order, it is $0.59, or 5.9%. The percentage did not change; the fixed component changed the economics. Treat this as arithmetic illustrating the effect, not as a recommendation or a universal rate.

Model a representative month

Build a line for each combination of channel, card origin, payment method, currency, and ticket band. Multiply the number of transactions in that line by its average value and applicable fee formula. Add expected refunds and disputes as separate rows, then add any recurring, account, or payout fees. Finally, calculate the net payout you expect after all deductions. Re-run the sheet with a high-volume month and a low-volume month: fixed charges and minimum instant-payout fees can change the result when volume shifts.

Separate refunds and disputes

Record whether the original processing fee is returned when you refund a customer, whether a separate refund fee applies, and what happens after a chargeback is won or lost. A low initial rate can be offset by frequent refunds or disputes. Include expected event counts in the monthly model rather than treating them as exceptional.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check currency and cross-border treatment

Identify whether the provider converts the customer’s currency, your settlement currency, or both. Confirm the exchange-rate methodology, conversion spread or fee, and any additional charge for a card issued outside the account’s region. Never compare a domestic-only quote with a quote that already includes international acceptance.

Check what “fixed fee” means

Some schedules attach the fixed amount to a successful payment; others may describe separate treatment for failed, authorized, captured, refunded, or voided transactions. Ask for examples covering partial refunds and retries. The distinction matters for subscriptions and businesses that authorize payments before a later capture.

Published examples: useful benchmarks, not a league table

The following figures are market-specific examples from official pricing pages. They cannot establish which provider is cheapest for an unspecified business.

Provider and scope Published example Important qualification
Stripe, Standard example 2.9% + 30¢ per successful domestic card transaction Rates are country-specific and depend on payment method. The figure is an example from the live pricing page, not a universal or guaranteed offer.
Stripe, Instant Payouts 1.5% of Instant Payouts volume, with a 50¢ minimum Applies to eligible instant-payout transactions; verify country, account eligibility, and current terms.
Adyen, cited UK information Fixed processing fee plus a fee determined by payment method Adyen states that other products are priced separately. The cited UK page describes no setup or monthly fee; market and method terms vary.
Square, UK schedule updated 2 February 2026 1.4% + 25p for online UK-card transactions; 2.5% + 25p for online non-UK-card transactions The schedule is for the UK. It separately lists a 1.5% international transaction fee and a 1.5% instant-transfer fee. Check the current schedule and applicability.
PayPal, US merchant page last updated 1 October 2026 2.99% + fixed fee for standard credit and debit card payments; 3.49% + fixed fee for PayPal Checkout These are US domestic examples by payment type. The fixed fee and eligibility depend on the applicable merchant terms.

Adyen’s Interchange++ model passes variable interchange fees through to the merchant. A flat blended rate and Interchange++ therefore require different inputs; compare the underlying components, not just the displayed percentage.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Quote the country and date beside every figure in your spreadsheet. Stripe states that its rates are country-specific and payment-method dependent. Square’s cited schedule distinguishes UK and non-UK cards, while PayPal’s cited page is for US accounts and separates rates by payment type. None of these examples is a promise that the same rate applies to your legal entity or negotiated account.

How to compare payout schedules and bank-arrival time

Record the payout model

Ask whether the provider uses a sales-day model, a pass-through model, a rolling schedule, or another batching rule. Adyen documents payout models and frequencies in which payable batches are net of refunds, chargebacks, and transaction costs. Its documentation states: “The funds you get are calculated on a net basis.”

Find out whether a payment must first become eligible for a batch because of risk or verification rules. A dashboard may show a payment as successful while the amount remains unavailable for payout. Ask how reserves, rolling holds, and account reviews alter the normal schedule.

Record frequency and the clock’s starting point

Write down whether payouts are daily, weekly, monthly, or manually initiated, and whether the clock starts at authorization, capture, the end of a sales day, or entry into a payable batch. Stripe describes rolling, weekly, and monthly payout options and provides expected deposit dates and payout history in its dashboard. Square’s US terms explain that a custom close-of-day changes the 24-hour period grouped for payout.

“Daily” can mean one batch created each business day, not money in the bank every calendar day. Ask whether the first payout after signup follows a different schedule and whether changing frequency resets a waiting period.

Check cut-off times and non-business days

Obtain the cut-off time for each relevant currency and payout priority. A payment or payout instruction submitted after the cut-off may be processed on the next business day. Weekends and bank holidays can delay both provider processing and bank posting. Ask for the calendar or service-level wording that applies to your account, not a sales representative’s generic “next-day” description.

Test a sale made shortly before and shortly after the cut-off. The two transactions can fall into different batches even when they occur minutes apart. Record the time zone used by the provider and whether daylight-saving changes affect the displayed deadline.

Separate provider timing from bank timing

Request two estimates: the time from a payable batch to payout initiation, and the time from initiation to funds available at your bank. Confirm supported payout currencies, intermediary banks, minimum payout amounts, rejected-account handling, and whether a reserve or verification review can pause funds.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Adyen’s payout service documentation says payout priority affects speed and higher priority can incur higher fees. It gives cut-off times by region, currency, and priority; payments sent after a cut-off are processed the next business day within the specified delay. Do not turn that conditional rule into a universal next-day guarantee.

Price faster access separately

Instant or same-day access may be optional and charged on top of ordinary processing. Stripe lists a 1.5% Instant Payouts charge with a 50¢ minimum in its cited example. The cited Square UK schedule lists a 1.5% instant-transfer fee. Compare the cost of acceleration with the value of avoiding a cash shortfall; do not assume instant availability is included in the standard rate.

Check limits and eligibility as carefully as the percentage. An instant option may apply only to selected balances, currencies, account types, or payout destinations. Include the minimum fee in small-transfer scenarios, because it can materially raise the effective cost.

A practical comparison worksheet

Create one row per provider and one column for every cost or timing condition. Populate it with the same monthly transaction file or a clearly documented forecast.

Category What to enter Why it changes the decision
Account and payout countries Merchant country, bank country, supported currencies Pricing, eligibility, and bank routes are geographic.
Transaction mix Count and value by channel, method, card origin, and currency Each method or region can have a different fee.
Variable charges Percentage, fixed fee, method fee, international or cross-border fee, conversion charge These determine the cost of each order.
Event charges Refund, dispute, chargeback, failed or void transaction treatment High-return or high-risk businesses can see a materially higher effective rate.
Payout terms Frequency, batch rule, cut-off, weekend and holiday treatment, bank-arrival window Determines when revenue becomes usable.
Acceleration Instant or same-day eligibility, fee, minimum, limits Shows the price of improving cash access.
Commercial conditions Monthly or setup fees, reserves, minimums, negotiated terms, contract requirements Headline transaction pricing may omit these obligations.
Evidence and date URL or written quote, update date, account representative, expiry Lets you verify that a changed schedule has not invalidated the model.

Use scenarios, not one average

Run at least seven scenarios: a small domestic order, a large domestic order, an international card, a non-card payment method, a currency conversion, a refund or dispute, and a weekend sale just before the payout cut-off. Add an instant payout scenario if cash speed matters. Report both dollars charged and effective percentage for each case.

Questions to ask before signing up

  1. Which legal entity and country will contract with me, and which pricing page governs that account?
  2. What exact rate applies to each payment method, card origin, channel, and currency in my forecast?
  3. Are interchange, network assessments, taxes, or other pass-through costs included?
  4. Is the fixed fee charged on successful, failed, authorized, captured, refunded, or voided transactions?
  5. Is the processing fee returned on a full or partial refund?
  6. What is the dispute or chargeback fee, and is it reversed when I win?
  7. What payout model and frequency apply by default, and can I change them?
  8. What event starts the payout clock, what is the daily cut-off, and which time zone is used?
  9. How are weekends, bank holidays, reserves, verification reviews, and rejected payouts handled?
  10. How long does the bank transfer take after payout initiation for my bank and currency?
  11. Which instant or same-day options are available, what do they cost, and what limits apply?
  12. Can the provider change rates, hold funds, or require additional verification, and how will notice be given?
  13. What settlement currencies are supported, and where is currency conversion performed?
  14. Can I export payout, fee, refund, and dispute data in a format that reconciles with my accounting system?

Common comparison mistakes and their fixes

Choosing the lowest percentage

Problem: the percentage ignores fixed fees and your average ticket. Fix: calculate total dollars and effective percentage for your actual order distribution.

Comparing different countries

Problem: a US quote, UK schedule, or another market’s card assumptions are treated as interchangeable. Fix: label every figure with account country, card origin, channel, currency, and date.

Calling authorization “settlement”

Problem: a successful checkout is assumed to mean money is in the bank. Fix: document capture, payable-batch, payout-initiation, and bank-availability timestamps separately.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ignoring small-print payout conditions

Problem: “daily” or “instant” is read as guaranteed. Fix: verify cut-offs, eligibility, limits, holidays, reserves, and bank posting windows in the account terms.

Mixing pricing models

Problem: an all-in blended rate is compared with an interchange-plus quote that excludes variable components. Fix: model every pass-through charge or obtain an all-in equivalent.

Using a promotional or stale figure

Problem: an old screenshot or introductory rate is used for a long-term forecast. Fix: save the current official schedule, note its update date, and request written confirmation for your account.

Ignoring reconciliation effort

Problem: a provider appears cheaper but produces payout reports that are difficult to match to orders, refunds, and fees. Fix: test a sample export and include staff reconciliation time in the integration decision.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Make the final decision

Rank providers on six separate axes: effective monthly cost, predictability of payout initiation and bank arrival, required card and payment-method coverage, settlement currencies and conversion treatment, extra fees and conditions, and integration fit for your checkout, subscriptions, reporting, and reconciliation workflow.

Use a representative transaction file and test high-impact scenarios: a small domestic order, a large order, an international card, a currency conversion, a refund, a chargeback, a weekend sale before cut-off, and an instant payout. The winner is the provider whose documented terms fit those scenarios—not the provider with the most attractive headline rate.

Pricing and payout availability change. Recheck the official terms immediately before signup, confirm your country and account type, and retain the written quote and payout schedule that formed your decision.

Frequently Asked Questions

How are payment gateway fees calculated?

Apply the percentage to each transaction, add the fixed fee, then add any payment-method, international, conversion, refund, dispute, or other applicable charges. Sum monthly and optional payout fees, then divide by processed volume for the effective rate.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does a successful card payment mean the money is settled?

No. Authorization and capture can occur before a provider places funds in a payable batch, initiates a payout, and the bank posts the deposit. Ask for each stage and its expected timing.

What does a daily payout schedule guarantee?

Usually only that the provider creates or initiates payouts according to its stated daily rule. Cut-off times, weekends, holidays, reserves, and bank processing can move the actual availability date.

Are instant payouts included in standard processing fees?

Not necessarily. Stripe’s cited example lists a separate 1.5% Instant Payouts charge with a 50¢ minimum, and the cited Square UK schedule lists a 1.5% instant-transfer fee. Verify eligibility and current local terms.

Should I compare a blended rate with Interchange++?

Only after modeling every component. A blended rate may include more costs, while Adyen’s Interchange++ approach passes variable interchange through. Compare all underlying fees on the same transaction mix.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Which payment gateway is cheapest or fastest?

There is no universal answer. Country, card mix, average ticket, currencies, payout bank, transaction volume, risk events, and account eligibility determine the result. Use your own representative month and written account terms.

The Bottom Line

Compare payment gateways with identical assumptions, calculate every fee on a representative month, and treat payout initiation and bank availability as separate clocks. Label country and date for every quoted rate, test cut-offs and non-business days, price instant access separately, and choose the provider whose documented costs and cash-flow timing fit your business.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
