Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Before booking air-conditioning work, get at least two written, itemized estimates; verify each provider’s license where required, insurance, local reputation, HVAC credentials and EPA Section 608 refrigerant certification; and require an onsite inspection or a clearly explained diagnostic basis. A useful proposal identifies the fault, labor, parts, refrigerant, maintenance tasks, timing, permits, payment schedule, change-order process and warranty coverage. Do not choose on the lowest headline price alone.
Start with comparable written estimates
A phone quote is rarely comparable with an estimate based on measurements and an inspection. Ask two or more local companies for written proposals that describe the same problem and the same requested maintenance. The Federal Trade Commission advises comparing prices from multiple companies and checking what each service includes before signing a contract. ENERGY STAR likewise says a reputable contractor should inspect the equipment onsite and provide a detailed bid.

Describe the problem consistently
Give every company the same information: equipment type, model numbers if available, symptoms, when the problem began, rooms affected, recent repairs, filter condition and whether the system runs continuously, trips a breaker, leaks water or blows warm air. Consistent information makes the estimates easier to compare. Do not ask one company for a tune-up and another for a repair diagnosis unless you intend to compare different scopes.

Require the technician to explain what was inspected or measured before recommending a repair. A proposal should identify the suspected failed component, the evidence supporting that conclusion and any tests still needed. If an exact repair cannot be known until a diagnostic visit, the company should state the diagnostic fee, what it covers and how that fee is credited, if at all. An estimate that lists only a total price without a finding, scope or assumptions cannot be evaluated fairly.

Use one comparison sheet
Copy each proposal into a side-by-side worksheet. Keep the wording and units unchanged so that a lower number does not conceal a smaller scope. These are the fields to compare:
| Item | What the proposal should state | Why it matters |
|---|---|---|
| Diagnostic charge | Fee, included tests, visit duration or limit, and any credit toward approved work | Separates the cost of finding the fault from the cost of correcting it |
| Repair price | Labor rate or flat price, expected labor scope and whether disposal is included | Prevents a low labor figure from being paired with undisclosed add-ons |
| Parts | Brand, model or part number when relevant, quantity, condition and lead time | Lets you compare equivalent components and delivery risk |
| Refrigerant | Refrigerant type, amount, recovery or charging work and environmental handling | Different refrigerants and quantities affect the work and its legal handling |
| Maintenance tasks | Every cleaning, adjustment, inspection and measurement included | A “tune-up” is not a standardized package; the task list defines its value |
| Urgency charges | Emergency, evening, weekend or holiday surcharge and the hours it applies | Allows a normal-hours estimate to be compared with an after-hours call |
| Schedule | Earliest start date, expected duration and conditions that could delay completion | Important when a failed system affects health, pets or a business |
| Payment terms | Deposit, progress payments, payment methods and final-payment trigger | Shows when money is due and limits disputes over unfinished work |
| Permits | Required permits, who obtains them and whether fees are included | Permit responsibility can vary by jurisdiction and equipment change |
| Workmanship warranty | Length, covered labor, exclusions, claim process and response method | A parts warranty may not pay for the labor to replace a failed part again |
| Manufacturer warranty | How registration, proof of purchase and warranty claims will be handled | Clarifies whether the contractor or homeowner contacts the manufacturer |
| Cancellation | Cancellation window, charges and refund terms | Protects you if the scope or timing changes before work starts |
| Additional faults | Required approval method and pricing rule for work outside the original scope | Prevents unapproved change orders after the system is opened |
Spoken promises should be added to the document. FTC warranty guidance emphasizes putting coverage, exclusions, claims procedures and labor responsibility in writing. Save the proposal, terms, messages and invoices together.
Verify the company and technician
License and insurance
Check the contractor license with the relevant state, county or city authority wherever licensing is required. Confirm that the legal business name on the license matches the name on the estimate and invoice. Ask for proof of general liability insurance and, where applicable, workers’ compensation coverage. A license does not by itself prove good workmanship, but an inability or refusal to verify basic credentials is a reason to stop.

EPA Section 608 certification
Technicians who service equipment containing regulated refrigerants need EPA Section 608 certification. Ask whether the person who will recover, charge or otherwise handle refrigerant holds the appropriate credential. This is separate from a general HVAC certificate or a company’s business license. If a salesperson makes the diagnosis but a different technician performs refrigerant work, verify the credential of the person doing that work.
Other HVAC training
Ask about recognized HVAC certification, manufacturer training and experience with your equipment type, especially heat pumps, variable-speed systems, communicating controls or older refrigerants. Treat credentials as one decision factor rather than a guarantee. The proposal should still show the diagnostic method and measurements.
Reputation and complaint checks
Look for recent, local references that describe work similar to yours. FTC guidance recommends searching a company or product name together with words such as scam or complaint. Read how the company responds to unresolved complaints, not just its star rating. A long history of vague estimates, pressure to replace equipment or refusal to provide a written warranty deserves more weight than a single low review.

What a proper AC maintenance visit includes
A real cooling-system maintenance visit is a set of inspections, measurements, cleaning and adjustments, not merely a quick visual check. ENERGY STAR’s maintenance checklist includes the following work when applicable to the equipment:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Check thermostat settings and operation.
- Tighten electrical connections and measure voltage and current.
- Lubricate moving parts when the equipment requires lubrication.
- Inspect the condensate drain and address blockages or drainage problems.
- Check controls and verify startup and shutdown sequence.
- Clean the evaporator coil and condenser coil as needed.
- Check and adjust refrigerant to the manufacturer’s specifications.
- Clean and adjust blower components to support correct airflow.
Ask the company to mark each task as completed, not applicable or requiring a separate repair, and to record relevant readings. A package that promises “full tune-up” but lists none of these activities is difficult to value.
Why airflow and cleanliness matter
ENERGY STAR reports that airflow problems can reduce efficiency by up to 15%. Dirt and neglect are identified by the program as leading causes of heating and cooling system failure and inefficiency. Cleaning a coil or blower can be worthwhile, but only when the technician explains the condition found and the method used. Be wary of chemical-cleaning charges that appear without a documented need.
What homeowners should do between visits
Inspect the air filter monthly. Clean or replace it when it is dirty, using the size and type specified for your system. A filter that is too restrictive, installed backward or left clogged can reduce airflow. Keep supply and return grilles unobstructed and note unusual noises, odors, water or temperature changes before the appointment.
Leave refrigerant charging, leak repair, electrical measurements and invasive diagnostics to qualified technicians. A homeowner thermometer can document a basic observation, but it cannot establish refrigerant charge, airflow, electrical safety or compressor condition.
Best time to schedule maintenance
Schedule cooling maintenance in spring, before peak summer demand. ENERGY STAR recommends an annual pre-season check-up and monthly filter inspection. Booking before the first heat wave generally gives you more scheduling choice and time to obtain a second opinion if the technician recommends major work.

How to judge whether an estimate is fair
There is no reliable national AC-repair price benchmark that can make a quote fair or unfair by itself. Cost varies with location, equipment, fault, parts, refrigerant and urgency. Compare the documented scope and local written estimates instead of applying a nationwide number to your home.
Separate diagnosis from correction
A diagnostic fee can be reasonable when it pays for a skilled inspection and measurements. Compare what each company actually does for that fee. One provider may include electrical testing and a written finding while another may charge only for travel. If the company cannot identify the failure until a component is opened, the estimate should say so and explain the approval process.
Check the parts and refrigerant description
Equivalent-looking parts may have different capacities, controls, warranties or compatibility. Ask for the part number or a precise specification. For refrigerant work, require the refrigerant type and amount, whether existing refrigerant will be recovered, and whether leak testing is included. A charge that simply says “add refrigerant” leaves important work undefined.

Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallLook for complete labor assumptions
Confirm whether labor includes access panels, brazing, evacuation, testing, cleanup, disposal and a return visit. Ask what happens if a seized fastener, inaccessible coil or unsafe wiring adds time. A written change-order rule should require your approval before work outside the original scope begins.
Evaluate maintenance plans by tasks and frequency
Annual service may be sensible for many homes, but the value depends on the included checklist, visit timing and response benefits. Compare whether the plan includes filter reminders, priority scheduling, repair discounts, coil cleaning or only an inspection. Do not pay for a recurring plan whose “tune-up” is less detailed than a one-time service you could book elsewhere.
Read the warranty in operational terms
Identify who pays labor if a covered part fails, how long coverage lasts, exclusions for improper installation or lack of maintenance, and how to submit a claim. Check whether the warranty applies only to the original purchaser or address. Manufacturer coverage and contractor workmanship coverage are different; the estimate should explain how they interact.

Refrigerant and leak decisions
EPA guidance advises asking technicians to locate and repair an air-conditioner leak instead of simply topping off refrigerant. A top-off may temporarily restore cooling while allowing the leak and environmental release to continue. Ask what leak test will be used, where the leak is located, whether repair is possible, and how the system will be evacuated and recharged afterward.
Recommended Free Tools
Do not attempt to connect gauges, recover refrigerant or add refrigerant yourself. These tasks involve pressure, electrical hazards and regulated substances. Your written authorization should identify the refrigerant and the quantity to be handled, with the final invoice recording what was actually done.
Red flags before you sign
- A technician demands immediate authorization for replacement without inspecting the equipment or explaining a failure.
- The company will not provide a written scope, license information, insurance proof or warranty terms.
- The estimate uses a low headline price but excludes diagnostic work, permits, refrigerant, disposal or return visits.
- A salesperson insists that only one brand, part or payment method is acceptable without an equipment-based explanation.
- The provider proposes topping off refrigerant without locating or discussing the leak.
- The company refuses to identify the EPA Section 608 credential of the person handling refrigerant.
- You are pressured to sign before comparing another written estimate or given a contract with blank fields.
- Additional work is performed without the approval method stated in the proposal.
Pressure is especially concerning when combined with a same-day replacement demand, a large deposit or a claim that a discount disappears immediately. Pause, keep the written documents and obtain another opinion unless there is a documented safety emergency.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. When two providers remain, use four decision axes
1. Technical competence
Give priority to the provider that can demonstrate required licensing, insurance, EPA Section 608 certification, relevant HVAC training, an onsite inspection and a sound diagnostic method. A clear explanation of measurements is more useful than a long list of badges.
2. Scope and transparency
Compare how precisely each proposal defines labor, parts, refrigerant, maintenance tasks, timing and change orders. The more complete document is usually easier to enforce because you can see what is included and what requires approval.
3. Protection and accountability
Consider workmanship warranty, manufacturer-warranty handling, references, complaint history and cancellation rights together. A slightly higher estimate can provide better protection when it includes a meaningful labor warranty and a documented response process.

- HIGH-PRESSURE FOAMING SPRAY PENETRATES DEEP- Unlike wide-spray HVAC coil cleaners that foam on contact, Foam Blaster uses a higher-speed, higher-pressure, focused spray pattern that drives cleaner into the AC coil before foaming. This delayed foaming action is designed to reach buildup hidden below the surface to thoroughly clean dirty coils and deodorize drain pans.
- POWERFUL ACTIVE EXPANDING FOAM LIQUIFIES GRIME - Other air conditioner coil cleaners foam up right away like shaving cream, making their cleaning ability more topical and superficial. Foam Blaster’s heavy-duty chemical formula activates after penetration, expanding through the coil to liquify dirt, grime, and buildup. It helps restore system efficiency while leaving behind a mild fresh scent.
- FOR EVAPORATORS (NO-RINSE) AND CONDENSERS - The Foam Blaster AC coil cleaner foam is made for both your AC evaporator (no rinsing required) and AC condenser (light rinsing with water required). When cleaning evaporators, the condensate water from the ac unit in operation will rinse off the dirt, debris, and product.
- CLEANS MORE THAN AC COILS - Designed for use on all HVAC units, refrigeration systems, automotive radiators, fan blades, metal filters, and more. Works great as a mini split cleaning kit, car AC cleaner, radiator cleaner, HVAC coil cleaner, refrigerator coil cleaner, evaporator coil cleaner, and condenser coil cleaner.
- 100% SATISFACTION, TRUSTED BY HVAC TECHS - Our company is owned and operated by EPA card-holding HVAC technicians. These are the same products we use on our own jobs, and we stand behind them 100%. If you are not completely satisfied, please reach out to us directly and we will gladly make it right.
4. Lifecycle value
Ask how the recommendation affects future maintenance, airflow and efficiency. Nearly half of household energy use goes to heating and cooling, according to ENERGY STAR, so a diagnosis that corrects airflow or installation problems may matter beyond the immediate repair. ENERGY STAR also reports that improper installation can reduce system efficiency by up to 30%. Require the contractor to distinguish a measured installation problem from a general sales claim.
Repair or replacement: questions for older equipment
ENERGY STAR recommends professional evaluation when equipment is more than 10 years old or is not keeping the home comfortable. Age alone does not prove replacement is the best choice. Ask for the failed component, repair cost, expected remaining service considerations, refrigerant availability, efficiency implications and the cost and scope of a properly sized replacement. Request the repair estimate separately from any replacement proposal so the options are not blended.
If replacement is discussed, ask how the contractor calculated capacity, checked duct airflow, verified electrical service, handled permits and documented startup measurements. Improper installation can reduce efficiency by up to 30%, so a new unit is not automatically an efficient unit. The proposal should identify equipment model numbers and installation tasks rather than offering only a capacity or brand name.
A practical booking procedure
- Record the symptoms. Note temperatures, noises, leaks, breaker trips, odors, filter condition and when the problem occurs.
- Collect equipment information. Photograph model and serial plates, thermostat settings and accessible wiring without opening electrical panels.
- Contact at least two providers. Ask for an onsite inspection and a written, itemized estimate for the same requested scope.
- Verify credentials before the visit. Check required licensing, insurance and the EPA Section 608 status of the technician who will handle refrigerant.
- Ask the diagnostic questions. Find out what measurements will be taken, what the diagnostic fee includes and how additional faults will be handled.
- Compare documents line by line. Review labor, parts, refrigerant, maintenance tasks, schedule, permits, payment terms, warranties and cancellation rules.
- Check the complaint record. Search the company name with scam or complaint terms and read responses to unresolved issues.
- Approve only the defined work. Sign after the scope, price, timing and warranty are complete. Require written approval for any change order.
- Keep the service record. Save measurements, part numbers, refrigerant details, invoices, warranty documents and filter recommendations.
During and after the service visit
Observe the diagnostic explanation
Ask the technician to show the failed or dirty component, explain the measurement and state whether the condition is unsafe, inefficient or simply cosmetic. You do not need to handle energized equipment; ask for a safe explanation and written readings instead.
Confirm completion before final payment
Check that the invoice matches the approved scope, lists parts and quantities, records refrigerant work, identifies completed maintenance tasks and includes the agreed warranty. Confirm that the system starts, shuts down and drains normally before the technician leaves, subject to the limitations of the repair.
Document unresolved conditions
If a repair restores operation but another issue remains, have the invoice state the limitation and recommended next step. A clear record prevents a later technician from repeating tests unnecessarily and helps determine whether a warranty claim applies.
Questions to ask on the phone
- Will a qualified technician inspect the equipment onsite before pricing a repair?
- What does the diagnostic fee include, and is it credited toward approved work?
- Who will handle refrigerant, and do they hold EPA Section 608 certification?
- Which maintenance tasks and measurements are included in the tune-up?
- Will you locate and repair a refrigerant leak rather than only topping off the charge?
- Are permits, disposal, return visits and after-hours charges included?
- What workmanship and manufacturer warranties apply, and who handles a claim?
- How must I approve additional faults or changes to the scope?
The best booking decision is the provider whose written proposal makes the work, evidence, cost, timing and accountability clearest—not necessarily the provider with the lowest initial number.
