How to Collaborate on a Google Doc Drafted With ChatGPT

Use Google Docs as the collaboration home for a ChatGPT draft: share with the right permissions, gather comments or suggested edits, and keep version history available.

Draft in ChatGPT, then use Google Docs as the shared workspace for permissions, comments, suggested edits, and version history. For a basic handoff, paste the ChatGPT draft into a new Google Doc; if your ChatGPT account supports a connected Google Workspace app, you may be able to create or edit a native Doc directly. In either case, collaborators need access to the Google file itself.

Move the ChatGPT draft into Google Docs

Copy and paste the draft

  1. Ask ChatGPT to draft the content, then copy the text you want to keep. Depending on feature availability, ChatGPT writing blocks may also be editable or revisable in the chat. See OpenAI’s overview of ChatGPT capabilities.

  2. Create a Google Doc and paste in the draft. Check headings, lists, links, and spacing after pasting; formatting can need a quick cleanup.

  3. Give the file a clear name so collaborators can identify the current working copy.

Create or edit a Doc from ChatGPT, if available

Some ChatGPT Work configurations support creating or editing native Google Docs through a connected Google Workspace app. Connect the app, choose the Google account or file if prompted, authorize the action, and review the result in Google Workspace. Availability depends on the ChatGPT plan, workspace settings, account permissions, file type, and enabled actions; an organization administrator may control app access. Open the original in Drive for Google collaboration features that are not available through ChatGPT. See OpenAI’s Google Drive app documentation and its guidance on using Google Drive with ChatGPT.

Share the Google Doc with the right permissions

  1. In Google Drive or the open Doc, select Share.

  2. To share with particular people, enter their email addresses. Alternatively, review the general-access setting, which may be restricted or link-based.

  3. Choose the lowest role that lets each person do what you need: Viewer can read, Commenter can comment, and Editor can make direct changes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  4. Send the invitation or copy the document link, then confirm that the intended people can open it.

For feedback without direct rewriting, Commenter access is usually sufficient: people with comment or edit permission can suggest changes. Use Editor access when direct edits are wanted. Work or school administrators can restrict external sharing. Google’s file-sharing help states a limit of up to 600 individual email addresses per shared file; this is a documented service limit, not a recommendation for distributing access broadly. Check Google’s current file-sharing guidance for applicable settings and restrictions.

Collect feedback with comments or suggested edits

Use comments for questions and discussion

Select the relevant text and add a comment to ask a question, flag an issue, or assign a follow-up. Comments keep discussion attached to the passage in question. See Google’s instructions for adding and managing comments.

Use Suggesting mode to propose wording changes

Suggested edits show proposed changes without replacing the original text until someone accepts them. A reviewer can suggest text changes when they have comment or edit permission. The document owner or another person with edit access can accept or reject suggestions individually or in batches. See Google’s guide to suggesting edits.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose comments when reviewers need to explain or discuss an issue; choose suggestions when they have specific replacement wording. If direct changes are appropriate, give Editor access and agree on who will resolve conflicting edits.

Review changes and keep a recovery point

Google Docs saves online changes automatically as people type. Editors can open version history to inspect earlier versions and restore one if needed. Named versions help label milestones; Google documents a maximum of 40 named versions per document. That is a limit on named checkpoints, not on all automatic revision records. See Google’s version-history instructions.

For offline editing, offline access must be enabled first. Changes made offline sync to Drive after the device reconnects. See Google’s offline editing guidance.

Google Workspace’s Learning Center says up to 100 people can work on a Docs, Sheets, or Slides file at the same time. At 100 or more access instances, only the owner and some users with edit permissions can edit. This threshold is relevant to large group sessions; it does not change the role choices for ordinary sharing. See Google Workspace’s collaboration guidance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep ChatGPT sharing separate from Doc sharing

A ChatGPT conversation link does not grant Google Doc access, and sharing the Doc does not share the ChatGPT conversation. Personal-account ChatGPT shared links can be opened by anyone who has the link; in managed workspaces, shared links may be limited to eligible workspace members. A shared conversation reflects content available when the link is created or updated, so review it before sharing and avoid including sensitive personal information. Set and verify the Google Doc’s permissions separately. See OpenAI’s shared-links guidance and Google’s file-sharing guidance.
