How to Choose Backup Software for a Windows PC

Choose backup software based on what you need to recover: selected files, earlier versions, or the whole Windows PC. Compare destinations, retention, restore methods, and protection from ransomware.

Choose backup software by starting with what you need to recover: a few files and earlier versions, Windows and installed programs after a drive failure, or an off-site copy if the PC is lost or compromised. Then compare backup scope, restore method, destination, version retention, automation, compatibility, and how well each copy is protected from risks to the PC. Windows’ built-in backup tools cover different needs; none should be mistaken for a complete disk image unless it explicitly creates one.

How do I back up my Windows PC?

Match the method to the recovery job. File backup protects selected data; a system image is intended to restore a broader computer state; and a copy held away from the PC can help if local devices are lost or exposed. Sync, restore points, recovery media, file backup, and disk imaging are different tools, not interchangeable names for the same thing.

  • Files and earlier versions: Use a file-backup method that includes every important folder and retains versions.
  • Settings and migration to another consumer Windows PC: Windows Backup can preserve selected folders and some settings and app information through a personal Microsoft account.
  • Whole-PC recovery: Choose software that explicitly supports a full-computer or volume image and a way to boot into recovery if Windows will not start.
  • Rollback after a system change: System Protection and System Restore can help with Windows files and settings, but not replace a personal-data backup.

Before choosing, make an inventory of the folders and drives that matter, the acceptable amount of lost recent work, and whether you need to recover individual files or the entire PC.

What should I compare in backup software?

Factor What to check
Recovery scope Does it protect files and folders, preserve older versions, back up selected volumes, or create a whole-computer image?
Restore path Can you restore one file? Can you recover if Windows will not boot? Does full recovery require bootable media, and do you know how to create and use it?
Destination Can backups go to an external HDD or SSD, network storage, cloud storage, or more than one destination? Is internet access needed, and could the initial upload take too long for your connection?
Retention and versions How far back can you restore? Does deleting or overwriting a synced file also remove the cloud copy, or does the service retain recoverable versions?
Isolation and security Can a copy be kept offline, disconnected, or immutable? For cloud storage, check account security, deletion behavior, retention, and recovery options.
Automation and alerts Can you set a clear schedule? Will you know when a destination is missing or a backup fails?
Compatibility Which Windows versions, file systems, and external-drive types are supported? Does the software treat USB flash drives differently from HDDs or SSDs?
Cost and account limits What storage is included, what requires a subscription, and what happens when storage fills up?

Official product documentation describes capabilities, not a controlled comparison of backup speed or restoration success. There is no substantiated universal winner here; judge products against your recovery needs and test a restore before relying on them.

Which Windows backup options are built in?

Windows Backup: selected folders and migration information

Microsoft’s consumer Windows Backup uses a personal Microsoft account. It can sync selected Desktop, Documents, Pictures, Videos, and Music folders to OneDrive and back up some settings, app information, Wi-Fi information, and preferences for restore or migration. A free Microsoft account includes 5 GB of OneDrive storage, according to Microsoft’s current support page; more storage is available for purchase. The consumer app described by Microsoft does not work with work or school accounts. When setting up a new PC or reinstalling Windows, signing in to the same account can offer restore prompts for available backed-up information. File History: libraries and previous versions

File History backs up libraries, including the default Documents, Pictures, Videos, and Music libraries, to an external drive or network location. Other folders can be included by adding them to a library. You can browse and restore previous versions; if you do not want to replace the current file, use the “Restore to…” option and choose another destination. System Protection, System Restore, and Recovery Drive

System Protection creates restore points for Windows system files and settings, which can help troubleshoot changes. A Recovery Drive supports device recovery but does not include personal files. Use separate file backup for documents, photos, and other user data. Microsoft’s Recovery Drive guide

Legacy Backup and Restore

How should you choose a backup destination?

External drive

An external HDD or SSD can suit a large collection of data, limited internet access, or a preference for local control. Choose capacity for the data you protect and the history you want to retain; the required size depends on your files and backup settings. Disconnect the drive when it is not actively backing up where practical. CISA warns that ransomware can reach connected external drives and corrupt or delete backups. CISA’s secure backup guidance

Network storage

File History can use a network location. A share that remains writable from the PC may still be exposed to some of the same risks as the PC, so check access controls and whether the storage offers a separate, protected copy. “On the network” does not automatically mean isolated.

Cloud storage

Cloud backup can provide access across devices without buying local storage hardware, but it depends on internet access, account access, available capacity, and the provider’s retention and deletion rules. For Windows Backup’s OneDrive folder sync, the free personal Microsoft account allowance documented on Microsoft’s support page is 5 GB.

More than one copy

A local copy plus a separate off-site copy can address different loss scenarios. No arrangement should be assumed ransomware-proof: review account security, retention, deletion behavior, and how to restore. CISA recommends secure external or vetted cloud backups and discusses frequent backups and offline or cloud-to-cloud options in its ransomware guide.

What should you check in third-party backup software?

Whole-computer and volume imaging

Veeam’s documentation distinguishes entire-computer, volume-level, and file-level backup jobs. Its Windows Agent documentation says external HDD and SSD volumes can be backed up when they support Microsoft VSS, while USB flash drives are not supported for that external-drive workflow. Cloud backup and removable drives

Backblaze Computer Backup documentation says some external drives can be included, but Windows presentation matters: drives shown as removable media rather than hard disk drives are not backed up. Its help material also sets conditions for how long disconnected external drives remain covered. Check current plan rules and verify your exact drive is eligible before counting on it. Immutability and advanced storage

Veeam documents temporarily immutable backups when using supported object-storage repositories. Immutability depends on a compatible target and configuration, and provider storage or API charges may apply. How do you make sure a backup can be restored?

  1. Check coverage: Review the folders, libraries, and drives selected by the backup job; compare them with your inventory of important data.
  2. Run a backup and check its status: Confirm the job completed and the expected destination contains the backup.
  3. Test an individual-file restore: Restore a representative file, preferably to a different location, and confirm it opens correctly.
  4. Understand full recovery before an emergency: If you rely on a system image, learn how recovery media is created and how the PC boots from it. Keep the instructions and necessary credentials accessible if the PC is unavailable.
  5. Review isolation: Disconnect local media when feasible and check cloud or network access, retention, and deletion behavior.

Does backup replace Windows security updates?

No. Microsoft says Windows 10 support ended on October 14, 2025. Free Windows Update software updates, technical support, and security fixes ended with support. A backup can help recover data or system state, but it does not restore operating-system support. Microsoft’s Windows 10 support notice
