How to Choose a Time Clock for an HVAC Company

An HVAC time clock should handle shop and field work, tie hours to jobs, and make payroll review practical. Compare mobile, kiosk, location, and job-coding workflows before choosing.

For an HVAC company, a useful time clock needs to capture hours wherever technicians work, let them connect time to service calls or work orders, and give managers a clear review before payroll. The right setup may combine mobile clock-ins for field staff with a shared kiosk for employees at the shop; GPS, geofences, job coding, and payroll connections are options to verify rather than features to assume.

What an HVAC time clock needs to handle

HVAC teams do not all start and finish in the same place. Technicians may begin at the shop, travel to customer calls, or spend extended time on an installation. A system should fit those movements without making time entry cumbersome.

  • More than one clock-in method: Consider employee phones for field work, plus a shop tablet or browser option if staff clock in at a fixed location. Some providers also describe telephone clock-ins.
  • Job-level time records: Look for a way to associate hours with a service call, customer, work order, or cost code, then review labor by job.
  • Review and payroll workflow: Managers should be able to find missing punches, correct records, approve time, and transfer it through a supported payroll connection or export.
  • Controls that match policy: Scheduling, overtime alerts, location checks, and exception history can help, but not every business needs every control.

Choose the clock-in workflow first

Mobile clock-ins for technicians

With a mobile workflow, technicians use phones to record time as they move between the shop and job sites. Vendor descriptions vary: some associate location with a punch, while others offer geofences that can flag or block a clock-in outside a defined area. Do not assume that a punch-time location check means continuous GPS tracking. Confirm when location is collected, who can see it, and what happens when a punch falls outside a permitted zone.

Chronotek describes its own feature this way: “GPS Smart Tracks™ verify the location of every punch.” That is the vendor’s description of its system, not an independent assessment. Chronotek also describes job-site geofences and telephone or landline clock-ins on its Chronotek Pro features page.

A shared kiosk at the shop

A shared tablet or kiosk can suit employees who clock in at the shop, while technicians in the field use phones. OnTheClock describes mobile, shop-kiosk, and browser clock-ins for HVAC businesses; Aptora describes mounting a tablet in the shop as a punch-clock replacement. These are vendor-described options, not confirmation that every tablet works with every kiosk setup. Check device compatibility and the software’s kiosk requirements before installing a station.

Telephone or computer alternatives

Telephone clock-in can be useful when an employee lacks a smartphone or job-site internet is unreliable. Chronotek describes telephone and landline clock-ins, while Clockspot describes phone dial-in alongside field, computer, and shared-kiosk options for home-services teams. Check current availability and operating details with the provider rather than treating these alternatives as universal.

Compare job coding, location, and payroll

Before comparing product names, map the records your office needs after a technician clocks in. A time entry that cannot be tied to the right customer or work order may be less useful for labor review than a simpler entry that carries the correct job detail.

Decision area What to confirm
Job detail Can employees select a service call, customer, work order, or cost code? Can managers report hours by that identifier?
Location controls Is location captured at punch, or is a geofence also available? Does an out-of-zone punch get flagged or blocked? Can location sharing be optional?
Payroll Does the current plan connect to your payroll provider, or provide an export you can use? What is the process for correcting and approving time before payroll closes?
Management Are scheduling, overtime-threshold alerts, exception review, and an audit history available if your workflow requires them?
Hardware Can staff use existing phones or a tablet you already own? What device, mounting, charging, and kiosk-mode requirements apply?

Payroll readiness is not a guarantee of compatibility with every payroll system. Verify the exact integration or export, and walk through how corrections and approvals reach payroll. Likewise, do not equate GPS context at clock-in with all-day location tracking, or timekeeping with a full dispatch platform.

Examples of HVAC-relevant vendor features

The following are vendor-described capabilities, not independent product tests or endorsements. Feature availability can depend on the current product configuration, so confirm details directly before choosing.

Provider Features described for this use case What to verify
Chronotek Pro GPS-linked punches, job-site geofences, telephone or landline clock-in, scheduling, payroll preparation, and job costing. See Chronotek Pro features. How location is captured, how geofence exceptions work, and whether the payroll workflow fits your provider.
OnTheClock Mobile, shop-kiosk, and browser clock-ins; job or site reporting; scheduling; GPS checks; and payroll connections. See OnTheClock’s HVAC time-tracking page. Which payroll connections and kiosk devices are supported for your account.
Aptora A mounted tablet shop clock, time tracking tied to work orders, and a separate GPS app for remote job sites. See Aptora’s time-tracking page. How the work-order workflow and separate GPS app fit your field process and devices.
CKZ Time Clock Mobile HVAC timekeeping, optional geofences, job or client codes, and overtime-threshold alerts. CKZ says geofencing is off by default. See CKZ’s HVAC page. Whether geofences should be enabled under your location policy and how outside-zone punches are handled.
Clockspot Field, phone, computer, and shared-kiosk timekeeping for home-services teams including HVAC; GPS is described as clock-in context when location is shared. Clockspot presents time tracking separately from dispatch and other field-service systems. See Clockspot’s home-services time clock page. What happens when location is not shared, and whether separate dispatch tools are needed for your operation.

Set up a shop kiosk only if it solves a real workflow

A fixed tablet station is optional, not a prerequisite for field timekeeping. It can make sense when employees regularly clock in at the shop and a shared device is easier than individual phones. If you choose one, confirm kiosk software compatibility, tablet dimensions and orientation, charging access, and whether the device can remain securely mounted. Aptora describes mounting a tablet for shop time-clock use; the right mount depends on the tablet and the selected software.

A practical selection checklist

  1. Map the workday. Identify who starts at the shop, who goes directly to jobs, and whether staff need a phone, browser, kiosk, or telephone option.
  2. Define the job record. Decide whether hours must attach to a service call, customer, work order, or cost code, and what labor reports managers need.
  3. Set a location policy. Specify whether location is needed at punch, whether geofences should flag or block punches, and how exceptions will be handled.
  4. Test the payroll handoff. Confirm the exact integration or export, then review how employees fix missed punches and how managers approve records.
  5. Check devices and controls. Verify kiosk compatibility if using a shared tablet, and confirm scheduling, overtime alerts, and audit features only where they matter to your process.
  6. Walk through real cases. Ask the vendor to demonstrate a shop start, a field punch, a job change, an out-of-zone punch if relevant, and a correction before payroll.
