How to Choose a Square Alternative for Your Small Business

By Freedom251 Team · · 11 min read

Short answer: choose the system that fits how you sell, not the one with the lowest advertised subscription. Shopify POS is the strongest starting point for online-plus-store retail; Lightspeed suits complex inventory and multiple locations; Toast is built for restaurants; PayPal Zettle keeps pop-ups and mobile selling inexpensive; Clover provides an all-in-one terminal; and Stripe Terminal is appropriate when a developer will build the checkout experience.

Before moving, compare processing charges, hardware, contracts, add-ons, offline operation, integrations, data export, and staff training. A free plan can still cost more after card fees, accessories, and required services are included.

Start with your operating model

Square is attractive because its POS software has a $0 plan and a paid Square Plus option listed at $29 per month in a June 2025 comparison. That does not make it the cheapest choice for every business. Your best alternative depends on whether you primarily sell through an online store, manage a large catalog, run a restaurant, travel to customers, or need a custom payment interface.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use this order when deciding:

  1. Identify your selling model: ecommerce, physical retail, food service, appointments, mobile sales, or a combination.
  2. List operational complexity: number of products, suppliers, purchase orders, locations, employees, menus, modifiers, and required reports.
  3. Calculate total cost, including monthly software, payment processing, hardware, contracts, add-ons, and support.
  4. Check payment and connectivity requirements, especially wallets, invoices, ACH, offline transactions, and supported readers.
  5. Plan migration before buying equipment so you know what data can be exported and what staff must relearn.

Quick recommendations by business type

Business situation First alternative to evaluate Why it fits
Online store plus in-person retail Shopify POS Combines ecommerce and store selling with inventory, customer profiles, and email capture.
Large catalog, purchasing, suppliers, or several stores Lightspeed Provides deeper inventory, automated reordering, supplier and team management, analytics, and multi-location controls.
Restaurant or bar Toast Designed around menus, kitchen communication, ticket splitting, open tabs, and online ordering.
Pop-up, market stall, or mobile seller PayPal Zettle No monthly cost in the Oklahoma State University Extension comparison and portable hardware.
General business wanting a bundled terminal Clover All-in-one terminal options with loyalty, employee management, and cloud reporting.
Custom checkout or embedded payments Stripe Terminal EMV-certified devices and cloud device management for teams able to build integrations.

These are starting points, not automatic winners. A restaurant with unusually simple service may prefer another system, while a retailer with a small catalog may not recover the cost of advanced inventory software.

  • Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
  • Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
  • Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

Compare the real cost, not just the subscription

Published prices below come from a Square comparison collected during June 2025, an Oklahoma State University Extension table published in 2025, and a Shopify comparison from 2025. Vendors can change prices, regional availability, processing terms, and hardware bundles, so confirm the current offer for your country before signing.

System Published software or plan figures Important qualification
Square POS $0 free plan; Square Plus $29/month Figures in the Square comparison were collected in June 2025 and may change.
Shopify POS $0 POS Lite plus a Shopify subscription; POS Pro $89/month/location; university table lists Shopify plans at $29, $79, and $299/month Model the Shopify subscription, POS Pro seats or locations, payment rates, and any third-party processor fee together.
Lightspeed $89–$239/month in the Square comparison; university table lists Basic $89, Core $149, and Plus $289/month Add-ons can increase the recurring total.
Clover $0 payments-only plan to $89.95/month and higher for industry plans; university table lists Starter $14.95/month and Standard $49.95/month Plan, hardware, processing, and contract terms can differ by reseller.
Toast $0 starter kit with limitations; $69/month POS plan The starter kit has higher processing fees and the cited comparison warns of a two-year contract.
PayPal Zettle No monthly cost in the university table Card-present and manually entered transactions have different rates.

Do not compare a $0 plan with a paid plan until you have included what each plan excludes. A lower subscription may require separate loyalty, employee, ecommerce, or reporting tools. A higher plan may replace several add-ons and save labor.

Processing rates can outweigh software fees

The university table lists PayPal Zettle card-present pricing at 2.29% + $0.09 per transaction and manually entered card pricing at 3.49% + $0.09. Those are materially different costs for a mobile seller who keys in numbers instead of tapping or inserting a card. Shopify’s 2025 snapshot lists Stripe Terminal processing from 2.7% + $0.05. Treat both figures as source-dated examples, not universal current rates.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For each provider, calculate a monthly estimate using your own sales mix:

  • Card-present sales multiplied by the card-present rate.
  • Manually entered or keyed sales multiplied by the keyed rate.
  • Any invoice, ACH, wallet, or online checkout charges.
  • Per-transaction fees multiplied by the number of payments, not just total revenue.
  • Monthly software, locations, employees, add-ons, equipment financing, and support.

Ask whether rates are flat, tiered, negotiated, or tied to a required processor. Also ask how refunds, chargebacks, deposits, and international cards are handled. The cheapest estimate is only useful if it matches the transactions you actually accept.

Shopify POS: best for online and omnichannel retail

Choose Shopify POS when your website and physical checkout need one product catalog, inventory view, and customer history. The cited comparisons highlight ecommerce and retail omnichannel selling, inventory management, customer profiles, email capture, and integrated payments.

What to verify

  • Whether POS Lite covers your workflows or each location needs POS Pro at the published $89/month/location figure.
  • Which Shopify subscription tier you need; the 2025 university table lists $29, $79, and $299 monthly plans.
  • Payment rates and any fee for using a third-party processor.
  • Inventory behavior when online and in-store orders arrive simultaneously.
  • Returns, exchanges, gift cards, staff permissions, and customer marketing consent.

Shopify POS is less compelling if you do not need an online store and only want a simple counter checkout. In that case, its subscription can cost more than a basic POS even before hardware.

Lightspeed: for inventory and multi-location complexity

Lightspeed earns consideration when your main problem is operational depth rather than taking a payment. The cited material describes automated reordering, supplier and team management, ecommerce integrations, analytics, purchasing, and in-depth inventory controls.

When the higher subscription can pay off

Retailers with many variants, seasonal products, purchase orders, several suppliers, or multiple stores can lose more in stockouts and manual work than they spend on software. Automated reorder points, centralized catalogs, and location-level reporting can reduce that administrative burden. Measure the hours saved and the margin protected; do not assume advanced features create value for a small, stable catalog.

Published price range

The Square comparison lists Lightspeed at $89–$239 per month plus add-ons. The Oklahoma State University Extension table lists Basic at $89, Core at $149, and Plus at $289 per month. The differing figures show why you should request a written quote that identifies edition, locations, users, and add-ons.

Toast: restaurant-specific workflows

Toast is designed for food-service operations that need more than a generic item-and-payment screen. Compare menu editing, modifiers, kitchen communication, ticket splitting, open tabs, online ordering, table service, and reporting against your service style.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Read the starter-kit terms carefully

The cited Square comparison describes a $0 starter kit with limitations, higher processing fees, and a two-year contract, alongside a $69/month POS plan. A no-cost installation can therefore create a longer commitment and higher transaction expense. Ask for the complete contract, cancellation terms, hardware ownership rules, renewal language, and the exact processing schedule before accepting the kit.

  • What You Get: Anker USB-C Hub (7-in-1), welcome guide, 18-month warranty, and our friendly customer service.

Toast is most defensible when kitchen and front-of-house coordination is central to the business. A coffee cart or counter-service operation with a tiny menu should price a simpler mobile system as well.

Clover: an all-in-one terminal, with reseller risk

Clover targets businesses that want a bundled terminal, employee management, loyalty, and cloud reporting. It can be convenient when you prefer one countertop device rather than assembling a reader, stand, receipt printer, and tablet.

Why quotes vary

The Square comparison lists a $0 payments-only plan through $89.95/month and higher industry plans. The university table lists Starter at $14.95/month and Standard at $49.95/month. Clover hardware and processing may be sold directly or through a reseller, and the reseller can affect pricing, contract length, support, and processor terms.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Get the merchant agreement and equipment terms in writing. Confirm whether you can change processors, what happens if the terminal fails, whether apps have separate fees, and how you export customer and sales data.

PayPal Zettle: low fixed cost for mobile selling

PayPal Zettle is a practical candidate for markets, fairs, classes, service calls, and other operations that prioritize portability and low recurring cost. The university comparison lists no monthly fee, 2.29% + $0.09 for card-present payments, and 3.49% + $0.09 for manual entry. A Shopify 2025 snapshot lists a $199 Zettle terminal with 2.29% + $0.09 processing and no monthly or setup fees.

Check the mobile workflow

The cited material describes portable hardware with barcode scanning, staff management, sales tracking, and reports. Confirm the device’s battery life, connection method, receipt options, supported payment methods, country availability, and what happens when your phone loses service. If you frequently key in card numbers, use the higher manual-entry rate in your cost model rather than the card-present rate.

Stripe Terminal: powerful when you can build the POS

Stripe Terminal is not a turnkey Square-style application. Shopify describes it as a customizable POS with EMV-certified hardware options and developer-focused tools. It is a fit for a company that wants embedded payments, a custom checkout, or one payment layer inside its own app and has people to build and maintain it.

What the engineering work includes

  • Creating product, cart, tax, discount, refund, and receipt workflows.
  • Connecting devices, locations, employees, inventory, and customer records.
  • Handling authentication, permissions, webhooks, retries, reconciliation, and disputes.
  • Testing offline behavior and recovering safely when a device or network fails.
  • Maintaining the integration as operating systems, APIs, and certified hardware change.

The cited Shopify snapshot lists hardware from $59 and processing from 2.7% + $0.05. Those figures do not include the cost of developing the rest of the POS. For a small business without engineering capacity, a complete retail or restaurant system is usually less risky.

Hardware you may need after leaving Square

Replacing software can also mean replacing certified equipment. List every station and accessory before you switch:

  • EMV contactless and chip card reader or countertop terminal.
  • Barcode scanner for products and stock counts.
  • Receipt printer and compatible paper.
  • Cash drawer and a stand or mounting kit.
  • Customer-facing display where customers must confirm totals or tips.
  • Tablet, phone, network equipment, charging docks, and backup power for mobile use.

Payments and connectivity questions to settle before signing

Payment methods

Write down whether you need contactless cards, chip cards, mobile wallets, keyed transactions, invoices, ACH, gift cards, recurring payments, or online checkout. Then map each method to the proposed plan and rate. “Accepts cards” does not tell you whether a specific wallet, debit routing option, or invoice workflow is included.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Offline operation

Ask exactly whether the system can continue taking payments without internet, how long offline mode lasts, transaction limits, and what happens if an offline payment is later declined. Train staff on when to stop accepting cards rather than accumulating unverified transactions.

  • Powerful Pass-Through Charging: Supports up to 85W pass-through charging so you can power up your laptop while you use the hub. Note: Pass-through charging requires a charger (not included). Note: To achieve full power for iPad, we recommend using a 45W wall charger.
  • Transfer Files in Seconds: Move files to and from your laptop at speeds of up to 5 Gbps via the USB-C and USB-A data ports. Note: The USB C 5Gbps Data port does not support video output.
  • HD Display: Connect to the HDMI port to stream or mirror content to an external monitor in resolutions of up to 4K@30Hz. Note: The USB-C ports do not support video output.
  • What You Get: Anker 332 USB-C Hub (5-in-1), welcome guide, our worry-free 18-month warranty, and friendly customer service.

Connectivity and hardware failure

Test the reader on the network used at the counter, not only in a vendor demonstration. Keep a documented fallback for a failed terminal, dead battery, damaged receipt printer, or lost phone connection. Confirm support hours and replacement-shipping terms.

Migration plan: move without losing sales or records

  1. Export your data. Download products, variants, prices, tax rules, customers, suppliers, gift cards, loyalty balances, and historical sales in an open format. Confirm what cannot be exported.
  2. Inventory and clean up. Remove duplicate SKUs, standardize tax categories, verify prices and stock counts, and label items that need barcode scans.
  3. Secure the merchant account. Obtain the new merchant agreement, processing schedule, deposit timing, chargeback rules, contract term, and cancellation language before ordering equipment.
  4. Map integrations. Check ecommerce, accounting, payroll, marketing, loyalty, booking, delivery, and API connections. Recreate only the integrations you actually use.
  5. Configure a test location. Set up taxes, permissions, discounts, refunds, receipts, tips, returns, and end-of-day reporting. Run test payments and refunds without charging customers.
  6. Train by task. Teach opening the register, taking a contactless payment, splitting a transaction, issuing a return, handling an offline warning, closing the day, and calling support.
  7. Run a controlled cutover. Switch during a quiet period, keep the old system available only as a documented fallback, and reconcile deposits from both systems.
  8. Verify the first settlement. Match the provider’s deposit to transaction totals, fees, refunds, and taxes. Investigate differences immediately.

Common mistakes and how to avoid them

Choosing the lowest monthly fee

A free plan can cost more through processing, required hardware, limited reports, contract obligations, or paid add-ons. Compare a full 12-month estimate using your actual number of transactions and locations.

Ignoring contract language

The Toast starter-kit example demonstrates why a free bundle can still involve a two-year commitment. For every provider, check auto-renewal, early termination, equipment leases, minimum processing, and ownership of purchased or subsidized hardware.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Assuming hardware transfers

Readers and terminals are often certified for a particular payment environment. Verify compatibility before reusing equipment, and include replacement costs if the new provider requires different devices.

Underestimating staff and data migration

Product cleanup, customer consent, permissions, and training take time. Schedule the change outside your busiest period and retain exported records according to your accounting and tax obligations.

Buying for a future business instead of today’s workflow

Advanced purchasing and multi-location controls are valuable only when they solve a current bottleneck. Conversely, a cheap mobile reader is a poor fit if you already need kitchen routing, supplier purchasing, or synchronized store inventory.

A practical decision checklist

  • Which channel produces most revenue: online, counter, table service, appointment, or mobile?
  • How many products, variants, suppliers, employees, and locations must the system handle?
  • What are your monthly card-present and keyed transaction counts?
  • Which payment methods, reports, integrations, and offline capabilities are mandatory?
  • What hardware is required at each station, and what is the replacement cost?
  • Can you export products, customers, inventory, gift cards, loyalty, and sales history?
  • What contract, processor, reseller, renewal, and cancellation terms apply?
  • Who will configure, train, reconcile, and support the system after launch?

Then request an itemized quote showing software, locations, users, processing, hardware, accessories, add-ons, taxes, shipping, support, and contract duration. Compare that quote with your current 12-month Square cost using the same sales volume and transaction mix.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Bottom line: match the alternative to the job

Shopify POS is the clearest Square alternative for a retailer that needs online and in-person selling together. Lightspeed is worth the additional subscription when purchasing, suppliers, inventory depth, analytics, or multiple locations are central. Toast is the specialist choice for restaurant workflows, while Clover suits businesses seeking an all-in-one terminal but requires careful reseller and contract review. PayPal Zettle is the low-overhead option for portable selling, and Stripe Terminal makes sense when a development team needs a custom payment layer.

Verify regional pricing, contract language, offline support, payment coverage, data export, and hardware compatibility immediately before migration. The right choice is the one that lowers total operating cost and risk for your actual workflow, not the one with the smallest headline fee.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
