How to Choose a Secure Remote Access VPN for a Business

The safest business VPN is the one that grants only the access each person and device needs, verifies identity and device health before connection, uses a hardened and patched gateway, and produces logs your security team can act on. Choose a traditional full-network VPN when legacy systems or broad private-network protocols require it; choose application-level Zero Trust Network Access (ZTNA) when employees need only specific applications. In either case, require strong MFA, identity-provider integration, endpoint-compliance checks, least-privilege policies, rapid revocation, telemetry, high availability and a documented operating-cost model.

What a secure remote-access VPN must protect

A remote-access VPN gateway is a high-value entry point. NSA and CISA warn that an exploited gateway vulnerability can enable credential theft, remote code execution, cryptographic weakening, session hijacking and access to sensitive data (“Selecting and Hardening Remote Access VPN Solutions,” September 28, 2021). Treat the service as security infrastructure, not merely a way to encrypt Wi-Fi.

  • Who is connecting? The account must be tied to a managed identity and protected by phishing-resistant or otherwise strong multi-factor authentication (MFA).
  • What is connecting? The endpoint should meet your security policy before broad access is granted.
  • What may it reach? Routes, applications, ports and administrative paths should be explicitly limited.
  • Can you see and stop it? User, device, session and gateway events must be logged, exported and revocable during an incident.

These controls apply whether the service is hosted by a provider, installed on a virtual appliance or run on a physical gateway at your office.

Choose the access model before choosing a product

Full-network VPN

A full-network VPN places a remote device on a private network or defined network segments. It remains useful for legacy client/server software, file shares, private databases, industrial protocols and applications that cannot be published individually. Its drawback is blast radius: a stolen credential, compromised endpoint or breached gateway can expose more internal services than the employee actually needs. Reduce that risk with segmented routes, per-group policies and short-lived sessions rather than a flat network.

Application-level ZTNA

ZTNA publishes named applications through identity-aware policy instead of extending the whole network. It is usually the better fit when users need a small, known set of web, desktop or private-cloud applications and your organization can place connectors near those applications. A policy can evaluate identity, device posture and context for each request. ZTNA does not remove the need to secure endpoints, identities or the applications themselves, and it may require changes for legacy protocols.

SSE and SASE services

Secure Service Edge (SSE) and Secure Access Service Edge (SASE) combine remote access with capabilities such as web security, inspection, policy enforcement and centralized visibility. CISA and partner agencies urged organizations in 2024 to move toward more robust approaches such as Zero Trust, SSE and SASE because they can improve visibility into network activity and address risks in traditional VPN deployments. Select these architectures when you need those additional controls; do not buy a broader platform solely for a VPN label.

Core requirements to put in the request for proposal

Area Minimum requirement Evidence to request
Protocol and cryptography Standardized IKE/IPsec for network tunnels, documented cryptographic choices and secure defaults. Protocol and cipher documentation, configuration export and independent validation. For regulated workloads, verify applicable FIPS-validated modules.
Identity SSO through your identity provider, strong or phishing-resistant MFA, role and group mapping, rapid deprovisioning. Supported identity standards, MFA policy controls, provisioning and deprovisioning workflow.
Device trust Endpoint-compliance or posture checks before full-featured access. Supported signals, fail-closed behavior, exception process and audit records.
Least privilege Per-application or per-segment policies, explicit routes and restricted administrator paths. Policy examples, segmentation model and administrative-role separation.
Operations Patch commitments, vulnerability disclosure process, backup and recovery, high availability and maintenance windows. Patch SLA, release history, recovery procedure and uptime design.
Telemetry User, device, authentication, tunnel and policy events exportable to your SIEM. Event schema, retention options, alerting rules and export test.
Clients Current Windows, macOS, Linux, iOS and Android support as required by your workforce. Supported-version matrix, update mechanism and managed/unmanaged-device behavior.
Connectivity Site-to-site tunnels, cloud or on-premises connectors, DNS controls and dedicated egress options where needed. Reference architecture, routing limits and allowlisting documentation.

A step-by-step selection process

  1. Inventory the workforce. Record user groups, device ownership, operating systems, locations, travel patterns, contractor access and whether devices are managed. Include service accounts and administrators separately from ordinary employees.
  2. Map applications and protocols. For each application, note its hosting location, protocol, ports, authentication method, sensitivity and whether it can be published individually. Mark legacy systems that require network-level access.
  3. Define the smallest acceptable access. Translate the inventory into named application policies or tightly scoped network segments. Document which roles may reach each resource and from which device states.
  4. Set identity and posture gates. Require SSO and MFA, then decide which endpoint signals are mandatory: supported operating-system version, encryption, screen lock, active security software, management enrollment or other controls your environment can reliably verify. Decide what happens when a check fails.
  5. Specify protocol and gateway controls. Prefer standardized IKE/IPsec products that document their cryptography. Require the ability to disable unused features, algorithms and exposed services. Ask how emergency patches are delivered and how quickly critical vulnerabilities are communicated.
  6. Design availability. Determine whether you need redundant gateways, multiple regions, redundant connectors, independent internet circuits or a tested offline administration path. Identify what access remains during a provider or identity-system outage.
  7. Define logging and response. List events that must reach your SIEM, retention duration, alert thresholds and the people authorized to revoke a user, device or session. Test exports rather than relying on a feature list.
  8. Model the complete cost. Include licenses, minimum seats, gateways, dedicated IP addresses, connectors, support, implementation, training, taxes and the billing term. Record the currency and date checked.
  9. Pilot with representative risk. Include a legacy application, a modern web application, a managed laptop, an unmanaged device if permitted, a mobile device and an administrator workflow. Test failure and recovery, not only a successful login.

Identity, MFA and device posture

MFA should be enforced by policy, not left to user choice. Prefer phishing-resistant methods where your identity platform supports them; otherwise require the strongest available factor and monitor unusual sign-ins. SSO reduces account sprawl and lets an offboarding action remove VPN access centrally. Confirm that disabling a user in the identity provider invalidates existing sessions or that administrators can revoke those sessions immediately.

CISA recommends endpoint-compliance checks before full-featured VPN access. A posture rule should have a clear response: deny, quarantine, or grant a narrowly limited remediation network. Do not create permanent bypass groups for convenience. Record exceptions with an owner and expiry date, and review them as part of access recertification.

Separate administrator access from employee access. Use dedicated administrative groups, stronger MFA requirements, restricted source networks or hardened jump hosts, and short session lifetimes. A VPN that protects employees but leaves its management interface broadly reachable is not hardened.

Least privilege and segmentation in practice

Start with application names and business roles, then create the minimum routes needed. A finance role might reach an accounting service and its database but not engineering repositories; a support role might reach a ticketing system without a general server subnet. Keep administrative protocols on separate segments and restrict them to named administrators.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For full-network deployments, avoid placing every remote user on one unrestricted subnet. Use group-based routes, internal firewalls and service-level authorization. For ZTNA, verify that connectors cannot become an unintended bridge between unrelated networks. In either model, review DNS behavior, service discovery and cached credentials because they can reveal or extend access beyond the intended policy.

Split tunneling: a documented policy decision

Split tunneling sends traffic for internal resources through the encrypted tunnel while sending other traffic directly to the internet. NIST describes this as a choice that can improve performance and preserve access to local networks, but it also changes what your security controls can observe and enforce (SP 800-46 Rev. 2, 2016).

Allow it only after documenting the trade-off for each user group:

  • Prefer full tunneling for highly sensitive work, unmanaged networks, or environments that require centralized web inspection and consistent egress controls.
  • Consider split tunneling when bandwidth is constrained, local devices must remain reachable, or internet traffic is already protected and monitored by another control.
  • Require safeguards such as endpoint firewall rules, DNS protection, malware defenses and clear handling of simultaneous local and corporate network connections.

Record the data-sensitivity, bandwidth and monitoring rationale in the security architecture. Revisit it when applications, offices or monitoring capabilities change.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Client and platform support

Check support for the exact operating-system versions your organization permits, not merely the platform names. Confirm whether updates are automatic, signed and controllable through your device-management system. Test sleep and wake, network changes, captive portals, IPv4 and IPv6 behavior, roaming between Wi-Fi and cellular, and removal of the client during offboarding.

Decide whether unmanaged devices are allowed at all. If they are, limit them to browser-based or application-level access, require stronger identity checks and prevent download or copy functions where the application supports that policy. A client that works on a personal laptop is not evidence that the laptop is trustworthy.

Gateway hardening and resilience

NSA and CISA recommend standardized IKE/IPsec products validated against security requirements, disabling non-VPN features and applying patches promptly. Harden every internet-facing component:

  • Expose only the ports and services required for authentication and tunneling.
  • Disable unused administration interfaces, legacy protocols, weak algorithms and sample accounts.
  • Place management access behind separate controls and record administrator actions.
  • Subscribe to the supplier’s vulnerability notifications and define an emergency patch procedure.
  • Back up configuration and keys securely; test restoration on a schedule.
  • Use redundant gateways or connectors where loss of one component would stop critical work.
  • Document certificate, key and token rotation, including who approves and verifies each change.

Ask how a provider handles a zero-day affecting its gateway, how customers are notified, and whether emergency mitigation can be applied without waiting for a normal release cycle.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Logging, monitoring and incident response

At minimum, collect successful and failed authentication, MFA outcomes, device-posture results, tunnel creation and termination, policy decisions, administrator changes, configuration exports and gateway health. Include user, device, source address, destination or application, timestamp and reason for denial where available.

Export events to your SIEM in a documented format and verify clock synchronization. Define alerts for repeated MFA failures, impossible travel, new devices, unusual geographies, privilege changes, disabled posture checks, mass session creation and configuration changes. Set retention according to legal, contractual and investigative needs; the correct period depends on your organization rather than a universal number.

Write a revocation runbook before rollout. It should cover disabling the identity, revoking active sessions and device certificates, blocking a compromised endpoint, preserving logs, rotating affected secrets and restoring service from a known-good configuration. Exercise the runbook with a tabletop scenario.

Site-to-site, cloud and allowlisting needs

If branches, data centers and cloud networks must communicate, evaluate site-to-site tunnel limits, routing support, failover behavior and monitoring separately from employee access. Confirm whether the service supports your cloud and on-premises connectors without creating unrestricted transitive routes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Some partners require a stable source address for allowlisting. Compare the cost and operational implications of dedicated egress or dedicated-IP servers, including what happens when a server fails or an address must be replaced. Pair allowlisting with identity and device controls; an approved IP address alone does not identify a safe user or endpoint.

How much does a business VPN cost per user?

Public prices are benchmarks, not universal market rates. A US pricing page checked October 20, 2026 lists the following example:

Plan Published price Minimum or qualification Other stated terms
Lite $8 per user per month Five-user minimum Billing term and taxes can change the final amount.
Core $11 per user per month Not stated beyond the published plan requirements Verify current billing term and taxes.
Premium $14 per user per month Not stated beyond the published plan requirements Verify current billing term and taxes.
Enterprise From $6 per user per month 200-user minimum Quoted starting price; confirm scope and term.
Dedicated-IP server add-on $40 per month Where required Check whether the charge is per server and whether regional taxes apply.

The same page states a 14-day money-back guarantee. Treat all figures as dated US benchmarks and recheck them before signing; prices, minimum seats, billing terms and taxes can change.

Run a pilot that exposes failure modes

A pilot should prove security and operability under adverse conditions. Use a written test matrix:

  1. Log in with a valid account and verify SSO, MFA, device posture and least-privilege routes.
  2. Attempt access from a noncompliant or revoked device; confirm the expected denial or quarantine.
  3. Disable the identity or revoke the device while a session is active; measure how quickly access stops.
  4. Break a gateway, connector or internet circuit; verify failover and the user-visible behavior.
  5. Rotate a certificate or key and confirm that old credentials no longer work.
  6. Generate each important event and confirm it arrives in the SIEM with useful fields and correct time.
  7. Test split-tunnel and full-tunnel policies, DNS resolution, local-network access and application performance.
  8. Restore configuration from backup and document the time, permissions and approvals required.

Keep test evidence with the procurement record. A feature that cannot be demonstrated should be treated as unverified.

Common mistakes and how to correct them

Buying for a flat network

Symptom: every authenticated user can scan or reach broad internal ranges. Correction: redesign routes and firewall rules by role and application, and move suitable services to identity-aware publication.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Treating MFA as the entire security control

Symptom: a valid second factor grants access from an unpatched or compromised endpoint. Correction: add posture gates, device revocation and conditional policies.

Leaving unused gateway features enabled

Symptom: an appliance exposes administration, web services or legacy protocols that the VPN does not need. Correction: disable non-VPN functions, minimize ports and review the configuration after every upgrade.

Ignoring offboarding and active sessions

Symptom: disabling an employee leaves a live tunnel or device certificate usable. Correction: test session and credential revocation and include it in the departure checklist.

Choosing split tunneling by convenience

Symptom: sensitive traffic bypasses inspection without a written rationale. Correction: document data, performance and monitoring requirements and enforce the selected mode by group.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Comparing only subscription prices

Symptom: the apparent per-user rate excludes minimum seats, connectors, support or dedicated egress. Correction: compare a dated, like-for-like five-year or contract-term model that includes implementation and operations.

Decision guide for common business situations

Situation Starting architecture Controls to emphasize
Many legacy protocols and internal systems Segmented full-network VPN, with a migration plan. IKE/IPsec, strict routes, internal firewalls, posture checks and detailed telemetry.
Employees need a few modern applications Application-level ZTNA. Identity-aware policies, connector isolation, device posture and per-application logging.
Large remote workforce needing web controls SSE or SASE plus narrowly scoped private-app access. Centralized inspection, egress policy, SIEM integration and regional resilience.
Small office connecting branches Hardened gateway with site-to-site tunnels and separate user policies. Minimal exposed services, patching, backup, failover and administrator separation.
Regulated workloads Architecture that can produce required compliance evidence. Validated cryptographic modules where applicable, retention, access reviews and change records.

Procurement checklist

  • Application and user inventory approved by owners.
  • Full-network versus ZTNA decision documented for each workload.
  • Standardized protocols and cryptographic evidence reviewed.
  • MFA, SSO, provisioning and emergency revocation demonstrated.
  • Device-posture rules, exceptions and quarantine behavior tested.
  • Least-privilege routes, segments and administrator paths reviewed.
  • Split-tunnel rationale recorded.
  • Client support verified on every required platform and version.
  • Gateway hardening, patch SLA, vulnerability disclosure and recovery tested.
  • Logs exported to the SIEM, alerts tuned and retention approved.
  • Site-to-site, connector, DNS and dedicated-egress requirements priced.
  • Total cost dated with currency, term, taxes, minimum seats and support.
  • Incident, offboarding and disaster-recovery exercises completed before broad rollout.

Bottom line

Choose a secure remote-access VPN by access need and risk, not by the vendor’s feature count or the lowest advertised rate. Use a segmented full-network design for unavoidable legacy requirements; use ZTNA when named applications can replace broad network reach; add SSE or SASE when centralized inspection and visibility are part of the requirement. In every case, make MFA, device posture, least privilege, hardened gateways, rapid revocation, useful telemetry, patching and tested recovery contractual acceptance criteria.
