Define the result you need, the customer data the agent may use, the actions it may take, and where a person must review its work. Then confirm the feature is available in your edition, test it on representative records, and price the complete workflow, including usage and required licenses.
Start with the work you want the agent to do
“AI agent” can mean different things across CRM products. An assistant that summarizes an account or drafts an email is not necessarily able to change a CRM record or launch a workflow. For selection purposes, distinguish what the system can read, what it can draft, and what it can actually do.

Write down a specific workflow before comparing products. For example: after a sales meeting, gather the relevant account and meeting context, draft a follow-up, update selected CRM fields, and send the result to a salesperson for review. HubSpot’s agent-building guidance frames the design questions usefully: what outcome should the agent produce, what information should it use, and what should it do with the result? HubSpot’s Breeze agent guidance describes these as setup considerations, not a guarantee that every action is available in every plan.

Compare actions, context, and where the work happens
For each shortlisted CRM, establish whether the agent can perform the needed action, whether its context includes the right customer information, and where employees must work to use it. Vendor feature descriptions are useful for narrowing the list, but they are not independent evidence that an agent will complete your workflow accurately.
| Evaluation question | What to verify |
|---|---|
| Actions | Can it read, draft, update records, or initiate workflows? Which actions are built in, configurable, or unavailable? |
| Context | Which records, fields, interactions, and external knowledge sources can ground its work? Is that data current enough for the task? |
| Workflow location | Does it operate inside the CRM, across email, calendar, chat, or other apps—or some combination? |
| CRM support | Does it support the CRM and applications employees already use? |
| Human oversight | Can people review, constrain, audit, or take over an action? |
Microsoft’s documentation illustrates why product names matter. Its Sales agent in Microsoft 365 Copilot works across Microsoft 365 apps and supports Dynamics 365 Sales and Salesforce CRM. Copilot in Dynamics 365 Sales is built into the Dynamics application and supports Dynamics 365 Sales only. Microsoft describes the Sales agent as able to summarize account and meeting information, ground insights in customer data, draft sales emails, capture meeting takeaways, and update CRM fields. Confirm those capabilities against the precise product and configuration you would buy: Microsoft’s Sales agent and Copilot FAQ.

Check permissions and human controls
An agent’s access should be evaluated at the level of the user, the data, and each action—not just whether an administrator can turn on an AI feature. Ask the vendor to show how the agent behaves when it lacks permission to read a field or change a record, and how its actions can be inspected afterward.

Those are Salesforce’s descriptions of its platform behavior, so verify the requirements for the particular deployment and workflow in Salesforce’s Agentforce overview and its Agentforce security documentation.

HubSpot says creating or customizing agents requires Super Admin or agent-builder permissions, while particular goals may require additional permissions—for example, editing and publishing pages. Administrators can configure AI feature access and the data shared with AI features. Check the required permissions for your proposed actions in HubSpot’s agent-building guidance; it does not establish a complete, current plan-by-plan feature comparison.
- Ask which user identity and permissions apply when an agent reads or changes a record.
- Test whether restricted fields remain inaccessible and unauthorized actions are blocked.
- Establish which actions need approval and what employees can review or undo.
- Find out what activity history or logs administrators can inspect.
Verify availability in your edition and tenant
A feature described in product documentation may be limited by edition, geography, configuration, or preview status. Ask the vendor to confirm availability for your exact CRM product, plan, region, tenant, and intended users. Also ask which administrator settings, permissions, and adjacent licenses must be in place.

Microsoft’s overview covers AI capabilities across multiple Dynamics 365 apps and notes that some features may not appear in every model-driven app or may need to be enabled. It labels the agent feed—which shows agent activity for human-agent collaboration—as preview in the documentation. Check the status of each feature you plan to rely on in Microsoft’s Dynamics 365 AI capabilities overview; do not treat a preview feature as a settled production capability without confirming its current status and suitability.
Calculate the cost of the workflow, not just a seat
Build a quote around the complete deployment: CRM seats, agent access, expected consumption, implementation, and any additional platform licenses. Model both expected usage and a higher-usage scenario. A low seat price can be misleading if the workflow also consumes credits or requires separately licensed products.
Best Value
Salesforce’s Agentforce pricing page lists several arrangements. As listed when accessed in 2026, it prices Flex Credits at $500 per 100,000 credits, with 20 credits consumed per Agentforce action and 30 per Agentforce Voice action. It also lists an Agentforce User License at $5 per user per month, requiring Flex Credits, and certain add-ons at $125 per user per month. These are vendor-listed figures; confirm current applicability, terms, and the exact add-ons in a quote before budgeting. See Salesforce’s Agentforce pricing page.
Do not compare those figures directly with another vendor’s seat price unless the quote covers equivalent workflow access, usage, setup, and required licenses. The available product materials do not establish a comparable cross-vendor total cost.
Run a representative workflow trial
Before committing, test the proposed workflow using realistic records and the permissions employees will actually have. Include straightforward cases, incomplete information, conflicting context, and at least one case where the agent should refuse or ask for help. The goal is to learn whether it completes useful work safely—not merely whether it can produce a convincing answer in a demonstration.

- Agree on success criteria. Define what counts as a correct result, an acceptable record update, and a required handoff to a person.
- Use representative cases. Include typical records as well as missing or ambiguous data; avoid relying on a vendor-prepared example alone.
- Check the result and the changes. Compare the response with source records and inspect every field or workflow action the agent touched.
- Test boundaries. Try a restricted field, an unauthorized action, and a case where the correct outcome is to pause for human review.
- Test recovery. Find out how an employee can correct a wrong update, stop a workflow, or resume the task after a handoff.
- Record the operational effort. Note how much review, correction, and administration the workflow needs alongside its useful completed work.
Do not infer accuracy, productivity, or return on investment from vendor capability pages or a successful scripted demonstration. Your trial should show whether the workflow fits your own data, controls, and team process.
Use a decision checklist before you buy
- Is the agent doing the defined task, including the actions the team needs?
- Does it have the right customer context without access beyond what the workflow requires?
- Does it work in the CRM and other apps employees need, with your current CRM supported?
- Can people review, constrain, audit, and recover from its actions?
- Are the required capabilities available now in your edition, geography, and tenant configuration?
- Does the full quote cover seats, consumption, setup, and likely growth?
- Did a representative trial demonstrate useful completion and acceptable permission behavior?
Choose based on the workflow that performed best under your requirements, governance, and cost constraints. Vendor documentation can establish what a product says it supports; only a trial with your representative workflow can establish whether that is a good fit for your team.
