Use NYC Open Data’s official Citywide Payroll Data (Fiscal Year) dataset to look up New York City employee payroll records by fiscal year, agency, employee, or job title. It is an annual, fiscal-year dataset—not a live view of current paychecks—and its salary, gross-pay, overtime, and other-compensation fields measure different things.
What the NYC payroll dataset is—and is not
The Citywide Payroll Data (Fiscal Year) listing on NYC Open Data is the primary public source for this lookup. The Office of Payroll Administration (OPA) is identified as the data provider, while the records are entered into the City’s Personnel Management System by the respective agencies. Each row represents an employee salary record for a particular fiscal year. It is therefore useful for examining reported compensation in a completed fiscal-year context, but it is not a live payroll register or a current-paycheck calculator.

The dataset is updated annually. Its metadata showed a latest update of April 16, 2026 when accessed on October 4, 2026. That date and the set of fiscal years can change, so check the live listing whenever you conduct a lookup or describe a year as the newest available. A record from a listed fiscal year should not be presented as the employee’s present salary unless you have separate, current confirmation.
NYC Open Data describes the public purpose of the file this way: “Data is collected because of public interest in how the City’s budget is being spent on salary and overtime pay for all municipal employees.” That purpose explains why the file includes several compensation measures rather than one simplified salary number.

Find the official NYC payroll dataset
- Search NYC Open Data for Citywide Payroll Data (Fiscal Year). Use the listing published by NYC Open Data, which identifies OPA as the data provider. A community-created view may be convenient, but the official dataset page is the authoritative listing for the fields, notes, update date, and fiscal-year coverage.
- Open the dataset and review its description, metadata, field names, update information, and disclosure notes before searching. At the time of access, the page listed 6.78 million rows and 17 columns. Those counts are volatile metadata, not a permanent total; they may change as new fiscal years or corrections are added.
- Search or filter by fiscal year, employee name, agency, or another listed field. Useful fields include first name, last name, agency, civil-service title description, work-location borough, and leave status as of June 30.
- Confirm the fiscal year shown on every result. The fiscal-year value is part of the record’s meaning, and a name or agency match without the year can lead to the wrong conclusion.
- Note the listing’s latest update date and available fiscal years. If you need the newest available data, rely on those live metadata values rather than an older article, screenshot, or search result.
Search by person, agency, title, or year
For an individual lookup, enter the available first- and last-name values and then verify the agency, title description, fiscal year, and work-location borough. Names can be shared by more than one employee, and an employee can have records in multiple fiscal years. A matching name by itself is not enough to identify the intended person.
For an agency lookup, filter on the agency field and select the fiscal year you want to study. The agency label is the useful comparison key when you are asking how compensation was recorded for employees associated with one department or office. Do not combine records from different fiscal years unless your comparison explicitly accounts for the year.
For a job-title lookup, use the civil-service title description. Title wording may differ from an everyday job label, so read the exact value displayed in the dataset. Compare like titles within the same fiscal year when possible, and retain the agency and pay basis so that similar-looking records are not treated as equivalent.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsThe work-location borough and June 30 leave-status fields can add context to a result. They are descriptive fields, not substitutes for the compensation fields. Agency start date, payroll number, and regular hours can also help distinguish records and explain why two otherwise similar entries differ.
Read the pay fields correctly
The most common error is treating every dollar field as “salary.” The dataset separates the listed salary amount from amounts actually recorded as regular gross pay, overtime, and other compensation. Use the field that answers your question and quote its exact label.
| Field | What it represents | How to use it |
|---|---|---|
| Base Salary | The salary amount listed for the employee record. | Check Pay Basis and fiscal year. It is not automatically the amount paid during the year. |
| Pay Basis | Whether pay is hourly, per diem, or annual. | Interpret the salary amount and compare records with the same basis where possible. |
| Regular Hours | The regular-hours value listed for the fiscal-year record. | Use it as context for regular pay; do not substitute it for a dollar amount. |
| Regular Gross Paid | Regular gross pay recorded for the fiscal year. | Keep it distinct from Base Salary. It reflects recorded gross pay, not necessarily the listed salary rate. |
| Overtime Hours | Overtime hours recorded for the fiscal year. | Review with Total OT Paid when examining overtime activity. |
| Total OT Paid | Overtime pay recorded for the fiscal year. | Do not add it to Base Salary unless your calculation clearly states that you are combining separate fields. |
| Total Other Compensation | Other compensation described by the dataset as lump-sum and/or retroactive payments. | Keep it separate from regular gross pay and overtime. Explain the field when reporting a total. |
Pay Basis is essential. An annual, hourly, or per-diem value is not directly comparable without understanding that basis. A base salary amount can also differ from Regular Gross Paid because the record covers a fiscal year and records what was paid, while the base field is a salary value. Hours, leave status, an agency start date, and the fiscal-year boundary can all provide context for a difference.

How to calculate or compare amounts without misleading readers
Start by deciding what question you are answering:
- “What salary is listed for this employee?” calls for Base Salary, together with Pay Basis and fiscal year.
- “How much regular pay was recorded?” calls for Regular Gross Paid.
- “How much overtime was recorded?” calls for Total OT Paid, ideally alongside Overtime Hours.
- “Were additional lump-sum or retroactive payments recorded?” calls for Total Other Compensation.
If you present a combined figure, show the components and explain the calculation. For example, a reader should be able to tell whether a number consists only of Regular Gross Paid or combines regular gross, overtime, and other compensation. Do not label a combined amount “base salary,” and do not imply that the dataset’s separate fields are interchangeable.
Recommended Free Tools
For year-to-year comparisons, compare Base Salary with Base Salary, Regular Gross Paid with Regular Gross Paid, overtime hours and pay with overtime hours and pay, and other compensation with other compensation. Keep the fiscal-year labels attached to every value. Differences in Pay Basis, hours, agency, leave status, or the period represented can make a simple dollar comparison misleading.
For agency or title comparisons, use the same fiscal year and, when practical, the same Pay Basis. State whether you are comparing an individual record, a set of records, or a summary you calculated. The dataset page establishes the rows and fields, but it does not by itself establish a citywide salary total or an external statistical estimate. A row count is a count of records, not a payroll total.
Understand the fiscal-year context
A fiscal-year record is not a live snapshot of the employee’s current paycheck. The annual update schedule means the newest available fiscal year may still describe a period that ended earlier. Before writing “latest,” “current,” or “today’s salary,” inspect the available fiscal-year values and the page’s latest update date.
Keep the fiscal year in notes, spreadsheets, screenshots, and citations. If you copy a dollar figure without its year, a later reader may mistake an older record for current compensation. The same caution applies to comparisons across years: a change may reflect the period covered, a different pay basis, hours, overtime, or other compensation rather than a change in the employee’s stated base rate.

A masked or missing name does not show that no payroll record exists. It means the public listing does not disclose that identifying information in the affected record. Do not try to infer a person’s identity from a redacted entry, and do not treat the absence of a visible name as evidence that the agency made no payment.
When comparing agencies, disclose that these redactions can affect what a reader can identify. A visible-name search may understate the number of records that exist in a covered office because some names are not displayed. Retain the agency, fiscal year, field labels, and the redaction note when describing such results.
Data provenance and verification
OPA says the respective agencies enter the data into the City’s Personnel Management System. That provenance matters when a value is consequential, unusually high or low, or likely to be quoted outside its original context. Preserve the exact fiscal year, agency, employee fields, title description, Pay Basis, and dollar-field label, then seek confirmation from the responsible agency or OPA if the value needs authoritative clarification.

Verification does not mean replacing the official listing with an unofficial salary site. Use the NYC Open Data page as the starting record, document what you found, and identify any separate agency confirmation as a separate source. If a later update changes a row, your notes should make clear which version and access date you examined.
Optional spreadsheet or Tableau workflow
NYC Open Data documents an OData connection for working with the dataset in a spreadsheet or Tableau. The connection can refresh on demand, which is useful when you want to repeat a filter or maintain an analysis while the dataset changes. Tableau users should select the OData v2 endpoint option specified in NYC Open Data’s OData documentation.
This is an optional workflow, not a requirement to buy software. The portal itself can be searched and filtered without a paid product. If you use another tool, carry over the same safeguards: retain fiscal year and field labels, check the update date, distinguish Base Salary from paid amounts, and account for redacted records. A refreshed connection does not turn an annual dataset into a real-time payroll system.

Practical checklist for a defensible lookup
- Start at the official NYC Open Data listing and confirm that OPA is named as the provider.
- Record the access date, the page’s latest update date, and the fiscal year selected.
- Identify the employee, agency, title description, borough, or other fields used to narrow the result.
- Write down the exact compensation field: Base Salary, Regular Gross Paid, Total OT Paid, or Total Other Compensation.
- Check Pay Basis and review regular or overtime hours where relevant.
- Check for redaction notes, especially for the listed NYPD and District Attorneys’ Offices records.
- When comparing records, match fiscal year, field, and Pay Basis as closely as possible.
- Keep payroll number, agency start date, leave status as of June 30, and title information when they help distinguish records.
- If a number is surprising or consequential, preserve the record details and request confirmation from the responsible agency or OPA.
- When publishing a result, state that the data is annual and fiscal-year based rather than current-paycheck data.
Dataset size and metadata to quote carefully
NYC Open Data’s metadata listed 6.78 million rows and 17 columns when accessed on October 4, 2026. The page’s last update was April 16, 2026 at that time. Both figures are useful descriptions of what a reader could see then, but neither is permanent. New annual records, corrections, or metadata changes can alter the count and update date. If you quote them, include the access date and identify them as dataset metadata rather than a citywide payroll total.
Common mistakes to avoid
- Calling Base Salary an employee’s actual fiscal-year earnings without checking Regular Gross Paid.
- Calling Regular Gross Paid a salary rate.
- Adding overtime or other compensation to base salary without showing the components.
- Comparing an hourly or per-diem record directly with an annual record.
- Using a community-created view as if it were the official dataset page.
- Calling the annual listing a real-time payroll system.
- Assuming a masked name means no payroll record exists.
- Dropping the fiscal-year label when copying a figure into a story or spreadsheet.
- Interpreting the 6.78 million row count as total dollars paid.
- Suggesting that paid software, a book, or a physical product is needed to access the public data.
Frequently Asked Questions
Is NYC payroll data a current salary lookup?
No. Citywide Payroll Data (Fiscal Year) is updated annually and organized by employee and fiscal year. Check the listing’s latest update date and fiscal-year values, and do not present an annual record as a live paycheck or automatically as the employee’s current salary.
Which NYC Open Data fields should I use for salary?
Use Base Salary for the listed salary amount, after checking Pay Basis. Use Regular Gross Paid for regular pay recorded during the fiscal year, Total OT Paid for overtime pay, and Total Other Compensation for lump-sum and/or retroactive payments. These fields should not be conflated.
What does Pay Basis mean?
The dataset says Pay Basis indicates whether pay is hourly, per diem, or annual. Check it before interpreting a salary value or comparing it with another record.
Why does Base Salary differ from Regular Gross Paid?
They measure different things. Base Salary is the listed salary amount, while Regular Gross Paid is regular gross pay recorded for the fiscal year. Fiscal-year timing, hours, leave, agency start date, and Pay Basis can provide context for the difference.

Best Value
Why is an employee name masked?
The dataset notes redactions for some NYPD records and records for the Manhattan, Kings, Queens, Richmond, Bronx, and Special Narcotics District Attorneys’ Offices. The notes cite public-safety and law-enforcement exemptions under New York Public Officers Law § 87. A masked name does not mean that no payroll record exists.
How often is the dataset updated?
NYC Open Data describes it as an annual dataset. The metadata showed April 16, 2026 as the latest update when accessed October 4, 2026; check the live page for the current date and available fiscal years.
Can I analyze the data in Tableau or a spreadsheet?
Yes. NYC Open Data documents an OData connection that can refresh on demand. Its documentation directs Tableau users to select the OData v2 endpoint option. This is optional; paid software is not required to search the portal.
Who supplies and enters the payroll data?
The listing identifies the Office of Payroll Administration as the data provider. OPA says the respective agencies enter the data into the City’s Personnel Management System. For a consequential or surprising value, preserve the fiscal year and exact field label and seek confirmation from the responsible agency or OPA.
How large is the dataset?
The page listed 6.78 million rows and 17 columns when accessed October 4, 2026. These are changeable metadata counts, not a permanent total and not a citywide salary total.
The Bottom Line
For a New York City public-employee salary lookup, start with the official NYC Open Data Citywide Payroll Data (Fiscal Year) listing, confirm the fiscal year and update date, and record the exact employee, agency, title, and Pay Basis details. Read Base Salary, Regular Gross Paid, Total OT Paid, and Total Other Compensation as separate measures. Treat the file as annual—not real time—account for redactions, and seek agency or OPA confirmation when a value has important consequences.
