What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Compare the statement and your ledger in both directions, using a transaction reference where possible and date-plus-amount checks only to find candidates. Review every unmatched or multiply matched row against its source record, account for timing differences and statement-only items, then explain the remaining balance difference. A spreadsheet flag is a lead to investigate—not proof of an error.
Prepare the statement and ledger safely
- Make working copies. Preserve the original statement export and ledger before sorting, adding formulas, or correcting entries.
- Keep the two sources distinct. Put statement and ledger transactions on separate tabs or in clearly labeled tables. Remove obvious report artifacts, such as repeated headers or blank spacer rows, but do not delete transaction rows because they look alike.
- Normalize for comparison. Make sure dates are interpreted consistently and debits and credits use the same sign convention. Keep original descriptions intact; if text needs cleanup to compare it, create a separate normalized field.
Choose a reliable way to match transactions
Use a shared bank reference, check number, transaction ID, or other stable identifier when one is available. It is a stronger matching key than amount alone. If no reference is shared, compare multiple fields, commonly date and amount, and treat the result as a candidate rather than a confirmed match.

Date-and-amount combinations can repeat for unrelated transactions, while the date recorded in a ledger may differ from the bank’s posting date. The practical guide published or updated July 25, 2026, demonstrates COUNTIFS matching on date and amount and advises reviewing a limited date range for posting drift rather than loosening the criteria across the whole dataset.
Count possible matches in both directions
Suppose a statement row has its date in A2 and amount in C2, while ledger dates and amounts are in columns A and C on a tab named Books. An illustrative Excel formula is:

=COUNTIFS(Books!$A:$A,A2,Books!$C:$C,C2)
Microsoft describes COUNTIFS as counting entries that meet all specified criteria; its criteria ranges must have the same dimensions. Adapt the references to your workbook and Excel locale.
- 0: No exact date-and-amount candidate was found in the ledger. Investigate; the row may be missing, mistimed, differently described, or a legitimate timing item.
- 1: One candidate exists. Check its reference and details before treating it as matched.
- 2 or more: Multiple ledger rows share those criteria. Inspect each candidate; the count does not establish that any row is duplicated.
Repeat the comparison from ledger to statement. A statement-to-ledger check finds statement rows without book candidates; the reverse check finds ledger rows without statement candidates. These are different exception queues, and checking only one side can miss errors.

For unmatched rows that may have posting-date drift, review a narrow window around the recorded date while also comparing amount, reference, and other details. A broad date window can create ambiguous matches. Verify any proposed match against the original statement or other transaction record.
Flag duplicate-looking rows without deleting them
Excel conditional formatting can highlight repeated values, and Microsoft documents a COUNTIF rule for identifying repeated values. Use highlighting to locate rows for review, not to declare them wrong. A repeated amount alone is weak evidence: subscriptions, split purchases, and same-day payments can be legitimate.

Compare the full row—date, reference, payee or merchant, description, and amount—and verify it against the bank’s source record. Do not use Remove Duplicates as an investigative shortcut. Microsoft warns, “When you use the Remove Duplicates feature, the duplicate data is permanently deleted,” and recommends moving or copying the original data first. Preserve the export and keep a record of confirmed corrections.
Classify exceptions and reconcile the balances
Unmatched rows are not all the same kind of problem. List them by category and determine whether each is a valid timing difference, an omitted entry, a bank-only item, or an error.

- Deposits in transit and uncleared payments can cause valid differences between the statement and books.
- Bank fees or interest may appear on the statement before they have been recorded in the ledger; record them in the books where appropriate.
- Missing, mistaken, or ambiguous entries require checking the original records and correcting only what is confirmed.
A bank reconciliation worksheet commonly lays out the statement balance, deposits in transit, outstanding checks, and book balance so the adjusted balances can be compared. Wolters Kluwer provides a bank reconciliation worksheet template; a separate reconciliation template describes a zero-difference check.

Investigate a nonzero variance instead of forcing it to zero with an unexplained adjustment. A zero difference is useful, but it does not prove that every transaction was correctly entered or categorized: offsetting errors can cancel. Review the exceptions and unusual transactions as well as the total.

Decide when a spreadsheet is enough
A reusable workbook may suit a straightforward account reconciled periodically. Compare the workflow with your needs before moving to a more integrated tool:
| Consideration | Spreadsheet workflow | Integrated workflow |
|---|---|---|
| Scale | May suit occasional, straightforward reconciliations. | Worth evaluating for recurring or larger transaction volumes. |
| Matching | Stable references are best; date-and-amount formulas surface candidates for review. | Microsoft’s Business Central workflow supports automatic or manual matching. |
| Exceptions and posting | Review exceptions and record corrections in the workbook or ledger process. | Business Central documentation describes statement import, validation, and transfer of missing statement entries to a journal. |
| Controls | Preserve the source export and document corrections to keep a traceable record. | Assess whether the integrated workflow meets your exception-handling and posting-control needs. |
Microsoft’s Business Central bank reconciliation documentation describes those capabilities. This is a workflow option to evaluate, not a recommendation based on price or a performance ranking.
