For a market research report, capture the page in the form that fits the evidence you need: use a screenshot for its visible design and offer, an archive snapshot for dated replay, or a local web harvest when links and page structure matter. Record the original URL, the capture date and time in UTC, the method, and what the capture failed to preserve. A capture documents an observation at a particular time; it does not prove that the page was complete or continuously available in that state.
Choose the capture method for the evidence you need
Compare methods by visual fidelity, structural and link preservation, replayability, timestamp clarity, dynamic-content handling, and the effort required to inspect the result. No single method captures every aspect of a live site.

The Library of Congress explains that a web crawler starts from a seed URL and follows links to download copies of content that help make up a page. Its guidance notes that images, CSS, and JavaScript can matter to how a site looks and works. As the Library puts it, “A crawler can only capture websites that it knows about.” A sitemap can help a crawler discover pages, but discovering a URL does not guarantee a complete capture. - Define the question. Decide which competitor pages and attributes can answer it; capture relevant public pages rather than collecting pages without a purpose.
- Identify the observation. Record the competitor name, exact page URL, page title, and date and time observed in UTC.
- Select the method. Use a screenshot for visual evidence, an archive for a dated replay when one is available, or a local harvest when linked structure and navigation matter.
- Save the capture and its context together. Keep the screenshot with the source URL and capture timestamp. For an archive or harvest, record the archive URL or capture identifier and the tool or method used.
- Inspect what was captured. Note missing images, scripts, embedded or dynamic content, inaccessible sections, redirects, and interactions you could not reproduce.
- Preserve an unmodified copy where possible. Keep the original URL, date, method, scope notes, and capture together. In the report, label the capture date and distinguish what you observed from what you infer.
- Make comparisons fair. Compare like page types on the same dimensions and, where possible, capture them within a common time window.
Capture a screenshot for visible page evidence
A screenshot is useful when a reader needs to see the page’s visible layout, hierarchy, or offer. It does not retain the page’s links or let a reader reproduce interactions, so treat it as one record of what was visible—not as a complete copy of the site. Save the image without altering the evidentiary original, and keep its URL, UTC timestamp, and any relevant scope or interaction notes in the same record.

Use archives or a local harvest when structure matters
When the report needs navigable links, page structure, or later replay, a screenshot alone is insufficient. Look for a public archive snapshot or make a local web harvest, then inspect whether linked resources and dynamic parts actually replay. Library of Congress guidance describes link-following crawlers and the role of resources such as images, CSS, and JavaScript in reproducing pages; it also explains that archive replay may not behave exactly like the live site. ARC and WARC are formats used in web archiving at scale. When evaluating an archive or capture workflow, consider whether it supports URL and chronology indexing, full-text indexing, and retention of original URLs and links for examining relationships and link structure. Do not assume a particular capture tool preserves all of these features; verify the output you have.

An archive timestamp is evidence of a dated capture, not proof that every page element was available then or that the content first appeared on that date. The European Union Intellectual Property Network’s common-practice guidance on evidence in trade mark appeal proceedings describes web archives as potentially valuable for establishing when content appeared online, while noting limits such as access restrictions, blocking, partial captures, removal requests, and sporadic crawl schedules. Attribute claims to the snapshot you inspected, and state its date and limitations.

For web content records appraised as permanent, the National Archives and Records Administration says agencies must use capture methods that retain hypertext functionality, such as harvesting, under its transfer instructions. That is agency records guidance, not a universal requirement for market research. Its broader principles—reliability, authenticity, integrity, and usability—are useful when documenting a capture, but the guidance was last reviewed June 26, 2017. Report observations without overstating them
- Label each capture with its observation or archive date, source URL, and method.
- Separate directly visible facts—such as a headline or listed offer—from interpretation about positioning or strategy.
- Disclose missing resources, blocked or inaccessible content, redirects, and interactions that were not reproduced.
- Use comparable page types and dimensions across competitors when possible, and explain differences in capture timing that may affect the comparison.
- Keep the source record and an unmodified capture where possible so another reader can understand what was observed.
Archiving formats and capture records can help retain context, but a preserved file is not automatically complete, authentic in every respect, or suitable for every purpose. The Library of Congress describes functionality such as URL and chronology indexing, full-text indexing, and retaining original URLs and links as possible archive-quality considerations; assess what your specific capture actually contains.
Legal and publication considerations
Public visibility does not by itself settle whether content may be copied, retained, or republished. Copyright, privacy, terms of use, and permission requirements vary by jurisdiction and material. For an externally circulated report, check the rules and permissions that apply to the particular content and use. The World Wide Web Consortium provides screenshot permission guidance for its own material, but that narrow example should not be treated as permission to reproduce other sites.
