Capture the page only after confirming you are authorized to access and preserve it, then save an unaltered record with enough provenance to connect it to the audit. A screenshot or PDF can show what was visible at a particular time; it does not, by itself, prove who authored the content, that the page was complete, or that it was authoritative. Follow your organization’s evidence-handling, privacy, storage, and retention rules.
1. Confirm scope, authority, and handling rules
Start with the audit question, then identify the exact intranet page and, if relevant, the version or state you need to document. Confirm that you are permitted to access and capture it. Check applicable rules for confidential information, personal data, screenshots, evidence repositories, and audit-workpaper retention.

- Capture only material relevant to the audit; do not bypass access restrictions or collect unrelated intranet content.
- Consider whether the URL, account name, page contents, or visible identifiers are sensitive. Share them only as permitted.
- Decide whether the audit needs a readable visual record or a more complete preservation of links, page relationships, or changing content.
2. Record provenance before or during capture
A capture is more useful when another authorized reviewer can tell what it represents and how it was made. Record the following in an evidence log or repository record, subject to your policies:
- Full intranet URL, if it is safe to record or disclose; site or system name; and page title.
- Capture date and time, including the time zone or UTC offset.
- Capture method and relevant browser, platform, account, or environment context.
- Name or role of the person who performed the capture, and the audit matter it relates to.
- Any relevant outcome or limitation, such as a page that was still loading or content that required an authenticated session.
NARA’s web-records transfer guidance lists documentation fields including platform or server, site name, URL, responsible organizational unit, and method and date of capture: NARA Web Content Guidance. NIST audit-record guidance emphasizes recording what happened, when and where, the source, outcome, and associated identity. These are useful provenance principles, not universal forms that every organization must adopt.

3. Choose a capture method that fits the evidence
Screenshot or PDF for a visual record
An approved browser screenshot or PDF is often convenient when the audit needs a readable view of what was displayed. Include the page title and enough visible navigation or surrounding context to help identify the page. Avoid cropping away material context. If the page extends beyond the viewport, capture the relevant full page if your approved method supports it, and note any limitations.
Export, version history, or web archive when structure matters
A flat image may not preserve clickable links, page structure, hidden content, dynamic behavior, or relationships to other pages. If those features matter to the audit, use an approved export, CMS version history, web-archiving, or records-management process that preserves more than a visual rendering. Confirm what it captures and how it records provenance before relying on it.

NARA’s Guidance on Managing Web Records describes standalone snapshots accompanied by a site map showing page relationships, and notes that permanent web content may require preservation of hypertext functionality. It discusses snapshots made through harvesting, export to image format, or device backup. This is U.S. federal records guidance, originally dated January 2005 and last reviewed June 26, 2017; it is a useful model, not automatically binding on private, state or local, or non-U.S. organizations.

Decide based on audit purpose and risk
Choose a method by considering what the audit must establish, how likely the page is to change, and what your records rules require. Compare visual readability, preservation of links and structure, inclusion of dynamic or linked content, provenance, repeatability, access controls, audit trail, retention compatibility, and effort to reproduce the capture. No one method is sufficient for every audit.

4. Preserve the original and document any derivative
Save the original capture to the approved evidence repository without editing or overwriting it. Protect it against unauthorized access, modification, and deletion, and retain it under the applicable records schedule and audit-workpaper rules.
If you need to redact, annotate, or highlight a copy for the report, create a separately identified derivative. Preserve the unchanged original and document what was changed, by whom, when, and why, in line with policy. NIST SP 800-171 Rev. 3 control 03.03.06 says to preserve original audit-record content and time ordering; its guidance also addresses timestamps using UTC or an explicit local offset, retention consistent with policy, and protection of audit information. These controls can serve as a benchmark, but their applicability depends on the organization and system. See NIST SP 800-171 Rev. 3. For broader digital-evidence handling considerations, see NIST’s NISTIR 8387, published September 8, 2022.

5. Link the evidence to the audit report
Assign the preserved item a stable evidence identifier and make the report reference that identifier or its approved repository record. In the evidence description, state the capture time and method. If the page may change, make clear that the record shows the page as observed at that time, not necessarily its current state. Restrict report circulation when the page contains sensitive internal information.

6. Retain and dispose under the applicable schedule
Use your organization’s records schedule, audit-workpaper rules, and approved disposal process; there is no universal retention period for an intranet-page capture. NARA advises that snapshot frequency and change tracking should be based on risk assessment and discusses retaining web records while needed for business operations. Its guidance is directed to U.S. federal agencies, so other organizations should follow their own governing rules.

For an authorized intranet page that your network and access controls allow the API to reach, ScreenshotNeo can return a screenshot or PDF from one GET request. It accepts cookie or consent banners as a visitor and removes more than 60 known consent platforms, newsletter popups, and chat widgets before capture; those steps can be turned off. Only clean shots are billed: bot checks or CAPTCHAs, blank pages, timeouts, failed loads, and cache hits cost nothing, with the result described in response headers. Its MCP server provides screenshot tools for AI agents, and the free plan includes 1,000 screenshots per month with no card; paid plans start at $5 for 3,000. See ScreenshotNeo and its API documentation.
curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://intranet.example/page -o shot.webp
Replace the example URL with the authorized page address. An API capture does not replace provenance logging, policy checks, secure evidence storage, or confirmation that the service can access the page in your environment. Sign up for 1,000 free screenshots a month with no card.
