How to Capture a Website Screenshot With the URL and Date Visible

To document a web page, capture the browser window with both the address bar and the relevant page content visible. Record the capture date and time with a timezone—such as UTC—in the filename or an accompanying note if no clock appears in the image. Keep the original image unchanged; label any cropped or annotated version as a derivative.

Capture the URL and the page together

1. Open the page in a desktop browser and wait until the content you need has finished loading.

3. Review the saved image. Confirm the URL text and the content are legible and not cut off.

4. Record the date and time, including the timezone, in the filename or a short capture note if the screenshot does not show a clock. UTC is a clear choice.

5. Keep the image as captured. If you make a crop or add annotations for a report, retain the unedited original and identify the edited image as a derivative.

For a high-value record, include the exact URL, capture date and time with timezone, the portion of the page shown, the capture method, and a short description of the visible content. Also record the browser and version, operating system, and person who made the capture when that detail will help a later reviewer. The U.S. National Archives and Records Administration (NARA) transfer guidance calls for the website URL, capture method and date, capture software and version for PDF captures, and capture-contact information where applicable. Choose the right kind of capture

A full-page image can provide context for a long page; a viewport capture is more appropriate when the visible state itself matters. For important records, a PDF or fuller web capture can be an additional preservation copy. NARA distinguishes web harvesting, PDF capture, and manual downloading or copying, and notes that a static screenshot does not retain hypertext functionality for permanent transfer of web content. Its guidance is for U.S. federal records management and permanent-transfer contexts, not a universal rule for personal documentation or every legal dispute. NARA also describes “print and file” as a basic manual approach for tracking relatively stable website content; its managing-web-records page was last reviewed in 2017. What a screenshot can—and cannot—show

A screenshot is a visual record of what a browser displayed at the time of capture. Having the URL and a date visible or recorded alongside the image gives a reviewer useful context, but it does not by itself prove that the page was authentic, that its contents were unchanged before capture, or that the image was not edited afterward.

For records whose later verification matters, preserve the original, document how it was collected, and retain additional capture or archive material suited to the purpose. NARA frames trustworthy records in terms of reliability, authenticity, integrity, and usability, and recommends documented procedures and controls to protect records from unauthorized alteration.

A date shown in the image or written in a note is a contextual indicator, not independent proof of time. Timestamping and evidentiary requirements depend on the intended use and applicable jurisdiction; the sources cited here do not establish a universal legal standard. The UK Government Web Archive can help locate archived captures by URL and date; its interface exposes capture timestamp and URL fields in archive metadata.

Store a short note with the image so someone reviewing it later can identify what it depicts and how it was made. Include the exact URL, capture date and time with timezone, the visible portion or state, the capture method, and a brief description. For a more formal record, add the browser and version, operating system, and capture contact.
