How to Buy Art for the First Time: A Practical Checklist for New Collectors

The safest first art purchase is one that fits your space, survives a document and condition check, and still fits your budget after every extra cost. You do not need specialist vocabulary. Measure where the work will go, compare the way each seller handles evidence and fees, request the complete paperwork, and set a firm maximum before you negotiate or bid.

1. Start with the wall, shelf and complete budget

Measure the destination before you shop

Measure the available wall or shelf and keep the dimensions on your phone while you browse. Record width, height and depth, plus the clearance needed for doors, furniture, switches and walkways. A work that looks modest online can dominate a room once framed, while a small piece can disappear on a large wall. Note whether the surface can support the finished weight and whether daylight, spotlights or heat sources fall on it.

Art Fairs advises judging a work in person whenever possible: a screen is a poor guide to texture and subtle colour. In-person viewing also lets you assess scale, surface reflections, brushwork and the relationship between the art and its frame. If you must buy remotely, request high-resolution images and ask how the colours were captured; treat any monitor image as indicative rather than exact.

Set a ceiling for the whole purchase

Choose the maximum amount you can spend before a seller starts negotiating or an auction begins. Define that ceiling as the complete purchase, not merely the number printed beside the work. Ask what the displayed price includes and what will be billed separately. A low headline price can become unaffordable when framing, delivery or installation is added.

Write your ceiling down. At an auction, keep it visible beside your bidding device; in a gallery, state that you need to remain within it. A fixed limit prevents a countdown, a competitive room or a persuasive sales conversation from turning an exploratory purchase into an uncomfortable financial commitment.

2. Look before committing

Make a deliberate first pass

Walk through a fair, gallery, artist presentation or online catalogue without trying to buy immediately. Save the pieces you return to, and record the artist, title, seller and asking price. Returning to the same work is useful evidence about your taste; it is not a requirement to justify the choice with an investment thesis.

Use plain questions. You can ask what the work is made of, when it was produced, whether it has been exhibited, how it should be hung and what condition it is in. A first purchase is allowed to be exploratory. Your pleasure in living with the work and its fit with your room are legitimate decision criteria alongside documentation and price.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Separate attraction from urgency

After the first pass, leave enough time to inspect the facts. Ask the seller to hold the work while you review the document pack, or schedule a second viewing. If a seller will not allow reasonable time to examine ownership, condition or terms, treat that refusal as a reason to pause rather than a reason to buy quickly.

3. Choose the buying channel

Gallery or direct-artist purchases and auctions can both be sound choices. They differ in pace, paperwork, fees and logistics, so compare those dimensions instead of chasing a headline price.

Aspect Gallery or direct artist sale Auction
Conversation and pace Usually allows a slower conversation about materials, framing and payment. Works to a registration process, bidding deadline and published sale schedule.
Price mechanism The seller can state a fixed price and may discuss staged payment or a hold period. You set a maximum bid, then pay the winning bid plus the charges in the conditions of sale, including any buyer’s premium.
Specialist support Questions are handled by the gallery or artist’s representative. Christie’s describes specialist support, authentication, provenance review, a condition report and an estimate range as parts of its buying process; an estimate is guidance, not a guaranteed resale price.
Shipping and handover Ask the seller to quote packing, delivery and installation and to state when risk and title transfer. Registration, post-sale payment, collection or shipping coordination and the auction house’s stated buyer terms all apply.
Viewing Arrange an appointment or inspect during gallery hours when possible. Use the presale viewing and condition report, while remembering that Christie’s recommends viewing items in person whenever possible.

Use the Responsible Art Market approach as a due-diligence habit: investigate the parties, the artwork and the transaction itself. Its toolkit says that obtaining as much information as possible protects collectors and helps manage reputational and financial risk. That principle applies whether you are dealing with a long-established auction house, a commercial gallery or an individual seller.

4. Check the seller and transaction before paying

Identify who is actually selling

Write down the legal or trading name of the seller, its address and the person responsible for the sale. Ask whether the seller owns the work, represents the owner, or is acting as an intermediary. If someone is selling on consignment, ask who can authorize the sale and who will issue your invoice.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Request proof that the seller has the right to sell the specific work. An ownership statement, consignment agreement or other supporting record should identify the artwork clearly enough to match the invoice and photographs. Do not rely on a verbal assurance when a written record can be provided.

Examine the transaction terms

Before you commit, obtain written terms covering payment schedule, cancellation or return rights, framing, delivery, installation, insurance during transit and the point at which title and risk pass to you. Ask how long a gallery can hold the work and whether a deposit is refundable. At auction, read the conditions of sale and the buyer’s-premium schedule before registering or bidding; the bid is not the entire amount you will owe.

For a cross-border purchase, ask who arranges export and import paperwork, which party pays taxes or customs charges, and whether cultural-heritage restrictions apply. Keep copies of every form. A shipping quote without a clear allocation of customs, insurance and risk is not a complete landed-cost quote.

5. Request a complete document pack

Ask for the following material before paying. Match names, dimensions, edition numbers and images across the documents so that you know they describe the same object.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Document or evidence What to verify
Artwork factsheet Artist, title, date, medium and dimensions, including whether dimensions refer to the image, sheet or framed object.
High-resolution recto and verso images Front and back of the exact work, including labels, stamps, signatures, stretcher bars, mounting and frame.
Proof of ownership That the seller owns the work or has authority from the owner to sell it.
Provenance file A documented chain of previous ownership, with invoices, gallery records, estate papers or other supporting records where available.
Condition report Existing damage, repairs, restoration, conservation, fading, tears, warping, stains and any qualifications about what was or was not inspected.
Certificate or authorship evidence Who issued it, what attribution it supports and how it relates to the specific work or edition.
Exhibition and publication history Shows, catalogues or books in which the work appeared, with dates and titles where available.
Catalogue-raisonné reference For established artists, the relevant catalogue entry or an explanation that no applicable catalogue reference exists.
Transport and customs documents Packing method, export or import permissions, cultural-heritage paperwork and responsibility for taxes and insurance.
Written sale terms and invoice Price, taxes, payment timing, returns, framing, delivery, installation, title transfer and transit risk.

UBS’s 2022 Collectors’ Compass checklist includes high-resolution recto and verso images, a factsheet, proof of ownership, detailed provenance, an appraisal, an expert report, a detailed condition report, transport documentation, an insurance inventory, catalogue-raisonné records and exhibition or publication history. It also recommends consulting an official archive or foundation where possible and obtaining more than one professional opinion when provenance or authentication is complicated.

6. Test authenticity, attribution and condition

Ask who stands behind the attribution

A certificate is evidence, not an automatic guarantee. Ask who authenticated the work and what the opinion is based on. Depending on the artist and object, meaningful support may come from the artist, an estate, a recognised expert, an established gallery, an official archive or a foundation. Confirm the issuer’s name, date, scope and whether the document concerns the exact work you are buying.

When an attribution is disputed, incomplete or historically complex, seek an independent specialist opinion rather than relying on a single interested party. Keep the questions and answers with the purchase file. A seller who cannot explain the basis of an attribution has not supplied enough information for a confident purchase.

Read the condition report as a description of risk

Condition affects enjoyment, conservation cost and future value. Read every qualification, not just the headline grade. Look for repairs, lining, overpainting, replaced parts, frame damage, foxing, fading, tears, abrasions, warping, stains and unstable materials. Ask whether the report was prepared by the seller, an auction specialist or an independent conservator, and whether the work was inspected in person.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Request photographs of any fault mentioned. If a report is old, ask whether the seller will update it before shipment. Make the report part of the contract or invoice when possible, so the condition you accepted is recorded at the time of sale.

For editions, verify the edition details

For a print, photograph or other editioned work, confirm the total edition size, the number of the individual impression, the publisher and the medium. Check that the certificate corresponds to that number and that the signature, stamp or label shown in the images matches the paperwork. Ask whether the edition is complete, artist-proof, printer’s-proof or another category, and have the seller define any unfamiliar notation in writing.

The Royal Academy’s editions provide an example of institution-issued documentation: its editions come with an official certificate of authenticity and it offers bespoke framing. That illustrates why the issuer and its terms matter; you should still read the particular seller’s certificate and sale conditions rather than assuming every certificate carries the same weight.

7. Calculate the landed cost

Build a written cost sheet before you approve the purchase. Include each item that can be charged to you or that you must arrange yourself.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Artwork price or winning bid: record the exact amount and currency.
  2. Buyer’s premium or seller fees: at auction, use the published conditions and premium schedule; in a gallery, ask whether any service or administrative fee applies.
  3. Framing and glazing: obtain a specification and quote, including conservation glazing if recommended.
  4. Packing and shipping: ask for the method, destination, delivery window and whether a specialist art shipper is required.
  5. Installation: include hanging hardware, delivery to the room and professional installation if the work is heavy, fragile or unusually sized.
  6. Taxes, customs and permits: for cross-border purchases, confirm import taxes, export documents and any cultural-heritage requirements.
  7. Transit insurance: establish who insures the work, for what value and until which handover point.
  8. Conservation or storage: include immediate treatment, reframing or temporary storage if the condition or logistics require it.

Ask the seller to identify the point at which title transfers and who bears the risk of loss or damage in transit. Compare the written total with your ceiling, then leave room for costs that are genuinely unknown, such as customs assessed at import. Do not treat an auction estimate as a resale forecast or as a substitute for the final cost calculation.

8. Negotiate or bid without pressure

Set rules before the conversation starts

Decide your maximum, preferred payment schedule and acceptable delivery date in advance. In a gallery, ask whether the price is fixed, whether payment can be staged and how long the work can be held while documents are reviewed. A deposit should have written terms explaining when it is applied and when it can be returned.

At auction, register only after reading the conditions of sale. Enter your maximum bid once or use a bidding method you understand; do not increase it because another bidder is active or a timer is running. Remember that the winning bid is followed by the buyer’s premium and other charges.

Give yourself a pause

Ask for time to review the factsheet, provenance, condition report and complete cost. Sleep on the decision when the seller allows it. A countdown, scarcity claim or competitive room is not evidence that the work is right for you. Buy because you want to live with the piece; any future appreciation is uncertain and should not be the reason you exceed your limit.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

9. Protect the purchase after delivery

Create a permanent records file

Keep the invoice, certificate, condition report, provenance records, exhibition or publication history, shipping documents, customs forms and photographs together. Store digital copies in more than one secure location and keep the originals protected from light and moisture. Photograph the work, frame, labels and packaging as soon as it arrives, then compare its condition with the pre-shipment report.

Insure and inventory the work

Add the artwork to an appropriate insurance policy or a scheduled valuable-articles list. UBS’s checklist specifically includes an insurance contract with a detailed inventory. Give the insurer the artist, title, medium, dimensions, purchase date, invoice value, condition information and photographs, and ask whether the policy covers transit, accidental damage, theft, restoration and changes in value.

Follow care and hanging instructions

Use the seller’s care, hanging and light guidance suited to the materials. Ask where the work should not be placed, how to clean the frame or glazing, and whether humidity or temperature changes are a concern. Do not remove backing, clean a surface or alter a frame without advice from a qualified conservator. Keep records of any future treatment with the original file.

10. Red flags and practical responses

The seller will not provide basic documents

If you cannot obtain a factsheet, proof of ownership, provenance information or a condition report, pause the purchase. Ask for a written explanation of what exists and what does not. If the answer remains vague, choose a different work or seller rather than paying first and hoping the records appear later.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Images are too small or hide the reverse

Request high-resolution front and back images, including signatures, labels, stamps, stretcher bars, mounting and frame. Ask for close-ups of every condition issue. If the seller cannot show the reverse or refuses an in-person inspection, price the uncertainty as a material risk and do not bid or pay until it is resolved.

The certificate is impressive but unexplained

Identify the issuer, date, attribution and evidence behind the certificate. Ask whether an artist, estate, recognised expert, archive or foundation supports it and whether the opinion is independent of the seller. For a complicated history, obtain another professional opinion.

The total price changes late in the process

Stop and request an itemised invoice. Check buyer’s premium, framing, packing, shipping, installation, taxes, customs, insurance and conservation against your original sheet. Do not accept a new charge without a written explanation and an opportunity to reconsider.

Cross-border responsibilities are unclear

Ask who obtains export and import permissions, who pays duties and taxes, who insures the work and when risk transfers. Keep copies of permits and shipping records. If cultural-heritage paperwork is incomplete, delay payment until the responsible party and documentation are clear.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You feel rushed to raise your limit

Return to the maximum written before the sale. A seller or auction process that depends on emotional escalation is not a reason to change your finances. Declining one work leaves you free to keep looking; an unaffordable purchase is much harder to reverse.

A first-purchase checklist you can save

  1. Measure the wall or shelf and note light, access and weight constraints.
  2. Set a maximum for the complete purchase.
  3. View the work in person where possible and make a calm first pass.
  4. Identify the seller, owner or consignor and their authority to sell.
  5. Compare gallery and auction pace, fees, documentation and logistics.
  6. Request the factsheet, recto and verso images, ownership proof, provenance and condition report.
  7. Check attribution, certificate issuer, edition details and any archive or catalogue-raisonné reference.
  8. Read payment, returns, framing, delivery, insurance, title-transfer and risk terms.
  9. Add every landed-cost item and compare the total with your ceiling.
  10. Pause before paying or bidding; never raise the limit because of pressure.
  11. On delivery, photograph the work, file all documents, insure it and follow care guidance.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
