Sanity CMS can store and organize conference listings, but it does not provide a finished conference search product. Build the content model and editorial workflow in Sanity Studio, query published records with GROQ, and create the public directory in a separate frontend application. That division lets editors maintain reliable event information while your application handles filters, detail pages, maps, calendars, saved events, or ticketing as needed.
What Sanity does—and what your application must do
Sanity Studio defines the document types and fields editors use; Sanity’s Content Lake stores structured documents that an application can query and reference. The frontend turns that content into the experience visitors use to find conferences by date and location. See Sanity’s documentation for the platform’s content and authoring model.

Sanity is the content layer, not an out-of-the-box conference directory. Discovery filters, relevance ranking, maps, calendars, registration flows, and saved-event features are product decisions and application work. Decide which of those your audience needs before designing schemas around them.

Decide what a conference listing represents
Before creating fields, choose whether a listing represents a recurring conference series, one specific annual edition, or both. A useful starting point is a series document linked to one or more edition documents. The series holds information that persists across years; each edition holds its own dates, location, registration link, and status. This is a recommended model, not an official Sanity template.

Use separate records where they help editors
For a directory that needs event detail pages, you may also model venues, organizers, speakers, sessions, or sponsors as separate documents and reference them from an edition. Make an entity independent when editors need to maintain or reuse it separately. Avoid adding relationships simply to normalize the data if they make listings slower or more difficult to enter.
Give each field a job
Common edition fields include a title, slug, structured start and end dates, city, country, venue, topics, delivery format, official website, registration link, status, and a last-confirmed date. Structured dates, references, and controlled topic values make filtering more dependable; use descriptive text fields for editorial summaries rather than encoding filter values in prose.
Define the status lifecycle before writing public queries. Decide how editors mark an event as upcoming, ongoing, past, postponed, cancelled, or unconfirmed, and which of those states should appear in search results. Specify how dates and time zones are recorded, particularly for events that run across midnight or cross calendar years.

Build the authoring workflow in Sanity Studio
Create schemas for the chosen documents and validate the fields that matter to a trustworthy directory. Require the information a public listing cannot function without, and add sensible validation for date ranges and outbound links. Sanity’s schemas and developer tools documentation explains how schemas shape the authoring experience; the conference starter provides an example of a larger conference-oriented Studio project.
Schema rules catch omissions at entry time, but they do not replace editorial verification. Establish who can edit, review, and publish listings, and give editors a repeatable process for checking dates and registration links against the event’s official site. The last-confirmed field is useful only if the team has a policy for updating it.
Choose a query API and shape data for each view
For a new discovery platform, start by evaluating GROQ. It can filter documents, follow references, sort results, and project only the fields a page needs. You can use it through Sanity’s JavaScript client or HTTP API; the GROQ introduction describes the query model.

Sanity also offers generated GraphQL APIs. Compare the two approaches against your schema, team familiarity, reference and projection needs, type-generation workflow, and maintenance expectations. Sanity’s GraphQL documentation recommends trying GROQ and notes that Studio schemas are more flexible than GraphQL can represent, so GraphQL may require schema adjustments.

Design queries around the page rather than returning entire documents everywhere. A directory-card query can select compact card fields, filter editions according to the chosen status and date policy, apply selected facets, and order results by start date. A detail-page query can follow references to a venue, speakers, or sessions. Keep the public response focused on what each view renders.
Test with realistic records, not just complete, future events. Include an event spanning a year boundary, one without a venue, one cancelled, one with incomplete information, and past or overlapping listings. These cases expose assumptions in date filters, status handling, and reference projections.

Build conference discovery in the frontend
The public application owns navigation and discovery behavior. Add date, location, topic, or format filters when those fields can be maintained consistently in Studio. Make it clear when a search has no matches, and distinguish future events from ongoing and past listings so a result’s status is understandable.
Link visitors to the event’s official website or registration page unless your product deliberately implements and verifies its own ticketing flow. A CMS record containing a registration URL is not itself a ticketing system. Likewise, a location field does not automatically provide a map, and structured dates do not create a calendar or saved-event feature.
Plan publishing, freshness, and downstream updates
Conference details change, so pair the editorial confirmation process with a visible freshness policy. Decide how quickly a published correction must reach visitors, then select a cache and update strategy that fits the frontend host and that requirement. Draft and published query perspectives are described in Sanity’s GROQ documentation.

Sanity Functions can run code in response to document changes, with GROQ filters available to limit which documents trigger a function. They may suit narrowly scoped downstream work; the documentation does not establish a universal cache-invalidation or freshness solution for a conference directory. Treat the function trigger, frontend cache behavior, and visitor-facing freshness promise as separate parts of the design.
Use the conference starter as a reference, not a specification
The public Sanity Labs conference-starter repository describes a conference website built with Sanity Studio and a GROQ-based application. It is a concrete place to inspect implementation patterns, not proof that its architecture, framework, or features match your directory. Check the repository’s current code and version details before adapting it, then compare its choices with your editorial workflow, data relationships, and freshness requirements.
Quick Recap
Implementation checklist
- Choose series-versus-edition semantics and define event statuses.
- Agree on topic values, location fields, and date and time-zone handling.
- Decide which related entities—such as venues, sessions, or speakers—need independent records.
- Add Studio validation and a review process for dates and outbound links.
- Shape separate queries for listing cards and event detail pages.
- Test empty, incomplete, cancelled, overlapping, and past records.
- Implement filters and other discovery features in the frontend.
- Document when published changes appear and how editors confirm event information.
