How to Back Up Your Windows 11 PC Before a Factory Reset

Before resetting Windows 11, copy the files you need to OneDrive, an external drive, or network storage and verify the copy. Check your BitLocker recovery key and choose the reset option carefully.

To back up your Windows 11 PC before a factory reset, copy the personal files you need to OneDrive, an external drive, or a network drive, then open the copied files to verify they are accessible. If the PC is encrypted, make sure you can access its BitLocker recovery key. The reset option determines what Windows removes, so do not treat “Keep my files” or a recovery drive as a substitute for a separate file backup.

1. Decide which files must survive

Make a list of the files you need after the reset. Check the usual folders—Desktop, Documents, Pictures, and Videos—but also look for files saved elsewhere, such as another folder on the desktop, a downloads folder, or a separate drive. Microsoft’s Windows Backup overview describes backing up selected folders; it does not mean every file on the PC is automatically copied.

If you use Windows Backup, Microsoft says it can save certain files, folders, settings, credentials, and apps to the cloud. What is available can depend on your account, Windows version, and whether the device is managed by an organization. Treat it as an option to review, not proof that every item you care about has a separate, usable copy. See Microsoft’s backup and restore guidance for details.

2. Choose where to put the backup

Pick a destination you can reach after Windows is reset. Microsoft documents copying files to OneDrive or to external storage, including an external hard drive or network drive. The right choice depends on how much data you have and whether you want a local or online copy.

Destination Useful when Requirements and caveats
OneDrive You want files available online or on other devices. Requires internet access and enough available OneDrive storage. Configure the folders you want backed up, then confirm the files are present in OneDrive. Microsoft’s file-transfer guidance lists 5 GB of free storage with a Microsoft account and 1 TB with a Microsoft 365 subscription; these plan examples can change. Microsoft file-transfer guidance.
External hard drive You want a local copy kept separate from the PC. Choose enough capacity for the files you intend to copy. After checking the copy, disconnect and store the drive separately until you need it. Microsoft file-transfer guidance.
Network drive You already have network storage suitable for your files. Confirm you can access the drive and retrieve the files after the reset. Microsoft file-transfer guidance.

OneDrive folder backup applies to selected folders and must be set up; do not assume it covers every folder or file. Microsoft’s OneDrive folder-backup instructions explain the setup.

3. Copy the files and verify them

  1. For OneDrive: Open OneDrive and configure backup for the folders you want to include. Make sure there is enough cloud storage and an internet connection.
  2. For an external or network drive: Connect to the destination and copy the selected files and folders. Microsoft’s file-transfer instructions cover OneDrive and external storage.
  3. Verify the result: At the destination, check that the folders and important files you expected are present. Open several files to confirm they are accessible. For cloud copies, check OneDrive itself rather than relying only on the folders visible on the PC. Do not begin the reset until the copy you need is available.

4. Find the BitLocker recovery key if the PC is encrypted

A BitLocker recovery key is a 48-digit number that can restore access when Windows cannot automatically unlock an encrypted drive. Microsoft says it cannot retrieve, provide, or recreate a lost key. Before resetting, check that you can access the key for this device.

For a personal device, the key is typically backed up to the associated Microsoft account when BitLocker is first activated. On a work or school device, the organization may manage the key. Microsoft documents saving a copy to a Microsoft account, USB drive, text file, or printout; keep a USB copy or printout separately from the PC. If this is a managed device, ask your organization’s IT team about its backup policy and the recovery key. See Microsoft’s BitLocker recovery-key guidance.

Choice What it does When it may fit
Keep my files Reinstalls Windows and preserves personal files, but removes apps and settings. You want to refresh Windows while retaining personal files. Keep a separate backup anyway.
Remove everything Removes personal files, apps, and settings. You want a fresh start or are preparing to give away or sell the PC.
Cloud download Downloads a fresh copy of Windows online; Microsoft describes it as useful if local files are corrupted or missing. You have a suitable internet connection and want Windows installation files downloaded.
Local reinstall Uses files already on the PC and may not include the latest updates. You have a slow internet connection and local Windows files are usable.

Cloud download and local reinstall determine how Windows is reinstalled; neither is a personal-file backup. If you use the consumer “Clean data” option when removing everything, Microsoft says it makes removed files harder for others to recover, but it does not meet government and industry data-erasure standards. Do not treat it as certified secure erasure.

A recovery drive is not a file backup

A Windows Recovery Drive can help restore or reinstall Windows, but it is not intended to preserve your personal files. Microsoft says to use a separate method, such as Windows Backup or File History, to back up personal data. Keep your file copy separate from any recovery media; see Microsoft’s recovery-drive instructions.
