How to Add AI Chat to a Dockerized Document Management System

Add document-grounded AI chat without replacing your DMS: index content in a separate RAG service, enforce permissions before retrieval, deploy the components with Docker, and evaluate freshness, security, relevance, and cost.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The safest way to add AI chat to a Dockerized document management system (DMS) is to leave the DMS as the system of record and place a separate retrieval-and-generation service beside it. The service indexes approved document content, checks the requesting user’s permissions for every question, retrieves only authorized passages, and sends those passages to a language model with the question. This retrieval-augmented generation (RAG) design avoids copying the entire library into every prompt and gives the interface evidence links back to the original DMS items.

There is no universal connector, model, vector database, parser, or hardware profile for an unspecified DMS. Your implementation depends on the product’s API and authorization model, file types, corpus size, expected load, privacy obligations, and where inference runs. The workflow below separates those decisions so you can adapt it without weakening document ownership or access control.

What the finished system should do

A useful document chat feature has five distinct stages:

Free tools Windows power users keep installed

One-click scans. No signup required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Ingest: read files or extracted text through the DMS API or a controlled export.
  2. Index: normalize text, split it into chunks, and store each chunk with its DMS identifier and permission metadata.
  3. Retrieve: authenticate the user and search only the chunks that user is allowed to read.
  4. Generate: send the question and authorized passages to a model, with instructions to distinguish evidence from inference.
  5. Present: show the answer, source document links, and an explicit uncertainty or no-answer message when the indexed evidence is insufficient.

This is RAG. Docker describes it as useful when a collection is too large to put in one prompt or will be queried repeatedly: content is indexed in the background and relevant chunks are retrieved for each question. Its documented strategies include semantic embeddings, BM25 keyword search, hybrid retrieval, and reranking (Docker RAG documentation). The index is an acceleration and search layer; it is not a replacement for the DMS repository.

Choose the boundaries before writing code

Write down the boundaries of the existing deployment before selecting components. They determine whether a simple scheduled worker is enough or whether you need events, a separate permission index, or a queue.

  • DMS identity: identify how a human user is authenticated and what stable user, group, role, or tenant identifier the DMS uses.
  • Repository interface: locate the supported REST, GraphQL, SDK, webhook, or event interface for reading metadata, downloading content, and detecting updates and deletions.
  • Authorization: document item-level, folder-level, group, role, and inheritance rules. Record what happens when a permission is revoked after indexing.
  • Content formats: list office files, PDFs, HTML, plain text, images, and scanned documents. Decide which extractor and OCR path handles each type, and how extraction failures are reported.
  • Deployment constraints: note whether containers run on a developer workstation, a private server, or a managed platform; which networks may reach the DMS; and where secrets are stored.
  • Operational targets: estimate document count, average and maximum file size, expected questions per minute, acceptable answer latency, and how fresh an index must be.

Pass the authenticated identity to the retrieval service rather than trusting a browser-supplied document list. If the DMS has no event mechanism, use a scheduled change scan with a durable cursor and a deletion check. The correct cadence is a workload decision, not a fixed Docker requirement.

Reference architecture

A small deployment can use four application roles, whether they run in separate containers or are combined initially:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Chat API: accepts a question and user session, enforces rate limits, calls retrieval, calls the model, and returns an answer plus source identifiers.
  • Ingestion worker: reads changed DMS items, extracts text, chunks it, and updates the index. A queue makes retries and back-pressure easier as volume grows.
  • Index and metadata store: stores chunks, embeddings when used, DMS item IDs, version or checksum, location, and permission attributes. Docker’s RAG examples include local SQLite vector storage; a production system may choose another store when scale, availability, or tenancy requires it.
  • Web interface: sends the user session to the Chat API and renders source links. It should not call a model provider directly.

The DMS remains authoritative for file bytes, metadata, versions, and access decisions. The index should be disposable: rebuilding it from the DMS must restore a consistent state. Keep the model runtime behind the Chat API so provider changes do not require changing the browser or DMS.

Build ingestion and indexing

1. Establish an initial crawl

Use the DMS’s supported API or export workflow to enumerate items in stable pages. Capture a document identifier, current version or modification time, canonical link, title, MIME type, parent location, and the permission information needed for filtering. Download content only when the item is in scope. Record a crawl cursor and an ingestion status so a failed item can be retried without restarting the entire library.

2. Normalize and extract text

Convert supported documents to text while retaining page, section, or paragraph boundaries where possible. Keep the original DMS identifier attached to every extracted segment. Detect encrypted, corrupted, empty, and image-only files and mark them as unsupported instead of indexing a misleading empty string. Scanned PDFs and photographs generally need OCR; validate the selected parser and OCR engine against representative files rather than assuming that a file extension guarantees extractable text.

Docker’s code-aware chunking documentation describes a plain-text fallback for unsupported types, but a DMS pipeline should still define an explicit format policy. A fallback may preserve searchable text while losing tables, page numbers, or layout context. Store extraction warnings for administrators and expose a clear “content could not be indexed” state in the UI.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Chunk with traceability

Split normalized text into chunks small enough for retrieval and model context, with modest overlap where a sentence or definition might cross a boundary. The exact size is a tuning parameter: long chunks improve local context but consume more context window, while short chunks improve precision but can separate a question from its qualifiers. Include a stable chunk identifier, source page or section when known, document version, and extraction timestamp. Never let a chunk outlive the source version it came from.

4. Select a retrieval strategy

Strategy Strengths Costs and checks
BM25 or other keyword search Strong for exact names, ticket numbers, product codes, and quoted phrases; no embedding API is required. May miss paraphrases and concepts that use different words. Measure behavior on natural-language questions.
Semantic embeddings Finds conceptually similar passages even when wording differs. Docker notes higher retrieval quality can come with slower indexing and additional API costs. Re-embed when the embedding model changes.
Hybrid search Combines lexical precision with semantic recall and is often useful for mixed business corpora. Requires score normalization and tuning. Test exact identifiers separately from broad questions.
Reranking Reorders an initial candidate set with a more focused relevance model. Adds latency and another runtime or API dependency. Verify that reranking does not discard permission metadata.

Docker documents these strategy families in its RAG configuration guidance. Evaluate them on your own documents rather than treating a general ranking as a guarantee.

5. Keep updates and deletions correct

For each indexed item, retain the source version or checksum and the last successful extraction status. On an update, replace all chunks for the previous version atomically or mark them inactive before publishing the new set. On a deletion, remove or tombstone every associated chunk. Run reconciliation jobs that compare the DMS inventory with the index; otherwise a failed webhook or interrupted worker can leave content searchable after it has been removed from the repository.

Enforce permissions before model context

Authorization is the most important safety boundary. At question time, authenticate the user, obtain the current DMS access context, and apply that context to retrieval before any passage is sent to a model. Do not retrieve broadly and ask the model to hide restricted text; a model cannot reliably enforce repository permissions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Common enforcement designs

Design How it works When to consider it
Permission attributes on chunks Each chunk carries item, group, tenant, or policy attributes; the query adds a server-generated filter. Useful when permissions change often and the index supports metadata filters.
Separate collections or indexes Content is partitioned by tenant or security domain. Can simplify isolation, but increases synchronization and storage work.
Combined approach Use coarse collection isolation plus item-level filters and a final DMS authorization check. Appropriate for mixed-tenancy or highly sensitive repositories.

Test with accounts that have overlapping and disjoint access, inherited folder permissions, revoked access, renamed items, and deleted documents. A source link must resolve to the same document and location that produced the passage. Log authorization decisions without logging more document text than your retention policy allows.

Generate answers that remain grounded

Construct the model request on the server from three parts: the user’s question, the authorized retrieved passages, and a short policy instruction. Tell the model to use the passages as evidence, separate direct evidence from inference, cite the supplied source identifiers, and state that the indexed material does not answer the question when it is insufficient. Limit the number and size of passages so one noisy result cannot crowd out all relevant evidence.

Keep retrieval evaluation separate from answer evaluation. A fluent response can still be wrong if the correct passage was never retrieved. Build a small test set of real questions with expected documents and permission contexts. Measure whether the right source appears, whether revoked content is absent, whether citations resolve, and whether the assistant abstains when no supporting passage exists. Test adversarial document text as well as ordinary questions.

Deploy the services with Docker Compose

Compose is a practical way to run the Chat API, ingestion worker, index store, and interface on one host or on a development environment. Use separate services when they need independent scaling or restart policies; combine them only when the operational simplicity is more valuable than isolation. Put the DMS on a private network reachable by the worker and API, and expose only the interface or API gateway that users need.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Model runtime choices

Choice Advantages Questions to answer
Local model runtime Documents and prompts can remain inside your controlled environment; network dependence may be lower. Can the host provide sufficient memory and compute? What quality, context size, upgrades, monitoring, and concurrency can you operate?
Hosted inference API Fast access to managed capacity and model upgrades without operating inference hardware. What data controls, retention settings, regional processing, latency, quotas, and per-request costs apply to your selected provider?
Mixed deployment Keep sensitive or routine workloads local and use hosted capacity for selected tasks. How will routing, policy, failure handling, and data classification prevent an unintended transfer?

Docker documents declaring model dependencies in Compose from Compose v2.38.0 onward, when a supporting platform is available. Its Compose models documentation also describes Docker Model Runner as a local option and cautions that model context size must fit hardware constraints. Treat both as deployment options, not mandatory components. Confirm the Compose CLI, runtime, model format, and hardware support on the target host before writing production manifests.

A conceptual project layout might contain chat-api, ingest-worker, index-store, and web-ui services, with a persistent volume for the index and a separate persistent location for ingestion checkpoints. Keep DMS credentials and model-provider keys in server-side environment configuration or a secrets manager. Do not bake them into an image or send them to browser JavaScript.

Docker’s Alfresco-oriented AI-enhanced document management example demonstrates a containerized pattern with repository and AI services and REST operations such as summarization and classification. It is an illustrative reference, not a current universal production blueprint; verify component versions, authentication, network exposure, and security settings before adapting it.

Secure the integration

Protect credentials and service accounts

API keys are secrets. The API documentation warns against exposing them client-side (API key guidance). Store keys in a server-side secret facility, rotate them, restrict their network use where possible, and give each worker only the scopes it needs. The chat model should not receive unrestricted filesystem, DMS administration, or shell tools.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Treat document text as untrusted input

A document can contain instructions aimed at the model rather than information for the user. OWASP states that “there is no fool-proof prevention within the LLM” and recommends privilege control, human approval for privileged operations, and separation of untrusted content from user instructions (OWASP prompt-injection guidance). Keep the first release read-only. If you later add filing, deletion, workflow, or sharing actions, perform authorization in application code and require explicit confirmation for sensitive operations.

Define logging and retention

Decide whether prompts, retrieved passages, responses, source identifiers, and errors are logged, how long each is retained, who can view them, and how they are redacted. Provider-specific retention and compliance obligations are not settled by the architecture; verify the current terms and settings of the selected model service before sending sensitive content. Make log access at least as restrictive as document access.

Evaluate quality, freshness, and cost

Create an evaluation set that reflects your actual corpus: exact identifiers, long policy questions, tables, multilingual material if applicable, recently changed documents, and questions with no answer in the repository. For every case, record:

  • whether the expected document and passage were retrieved;
  • whether a user lacking permission saw zero restricted content;
  • citation accuracy and link resolution;
  • answer latency and failure rate;
  • index freshness after an edit and after a deletion;
  • model abstention when evidence is missing; and
  • token or inference cost under the selected runtime.

Compare retrieval strategies using the same corpus and query set. Semantic indexing can improve relevance while increasing indexing time and API expense, as Docker notes; BM25 can be cheaper and better for exact terms. Compare the total operating trade-off rather than optimizing a single relevance score.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Cost has at least four components: extraction and OCR, embedding or indexing work, model inference, and storage plus operations. A local model may reduce per-request fees but increase host, maintenance, and capacity costs. A hosted model may simplify operations while introducing transfer, retention, and usage charges. Because the DMS, corpus, and load are unspecified, no single price or hardware recommendation is defensible.

Roll out in controlled stages

  1. Read-only pilot: index a limited, non-sensitive collection and expose answers with mandatory source links.
  2. Permission tests: exercise real role combinations, revocations, inherited permissions, and deletions before inviting broad users.
  3. Freshness monitoring: alert on ingestion lag, extraction failures, reconciliation differences, and stale chunks.
  4. Quality review: sample answers for retrieval correctness, unsupported claims, and citation errors; tune chunking and ranking with measured cases.
  5. Capacity test: measure concurrent questions, queue behavior, model context limits, and recovery after a worker or index restart.
  6. Expansion: add collections and file types only after their parser, permission mapping, and retention rules are verified.

Troubleshoot by locating the failing stage

The answer says the document is missing

Check whether extraction produced text, whether the item version is current, and whether the user’s authorization filter excluded it. Inspect the ingestion status and retrieval candidates before changing the model prompt.

The answer cites an old or deleted file

Compare the chunk’s stored version with the DMS version, inspect update and deletion event processing, and run reconciliation. Do not simply re-index the whole corpus without fixing the lifecycle gap; it will recur.

Relevant exact names are not found

Test BM25 or a hybrid strategy, preserve identifiers during normalization, and verify that punctuation, case, and OCR did not alter the term. Semantic similarity alone is not a substitute for exact matching.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Latency or context errors appear

Measure extraction, retrieval, reranking, and generation separately. Reduce candidate count or chunk size only after confirming that the relevant passage remains available. For a local runtime, compare the model’s context requirement with host memory and compute; for a hosted runtime, check quota and context limits.

A model follows instructions inside a document

Treat the content as untrusted, separate it from the system and user instructions, remove unnecessary tools, and keep the operation read-only. Add a human confirmation and an application-level authorization check before any future action that changes DMS state.

Practical launch checklist

  • The DMS remains the authoritative store for content, versions, metadata, and permissions.
  • Every chunk has a source ID, version, location, and permission metadata.
  • Updates and deletions are detected, retried, and reconciled.
  • Authorization is evaluated before retrieval results enter model context.
  • The UI displays source links that resolve to the underlying DMS items.
  • Unsupported and scanned formats have an explicit extraction or OCR path.
  • Model credentials and DMS credentials stay server-side and use least privilege.
  • Document text is treated as untrusted input, and the first release cannot mutate repository state.
  • Compose and model-runtime versions are verified on the target host; Compose model declarations require v2.38.0 or later where supported.
  • Evaluation covers relevance, permission correctness, freshness, citations, abstention, latency, and cost on representative data.
