| Question | Paperless-ngx | Mayan EDMS |
|---|---|---|
| What is the primary emphasis? | A searchable archive for scanned and digital records, organized with tags, correspondents, document types, custom fields, saved views, workflows, and permissions. | Document processing and metadata combined with modeled workflow states, event tracking, and controls such as retention policies. |
| How is text made searchable? | OCR for documents without usable text, full-text search, and Tesseract recognition across more than 100 languages. | Automatic OCR with language-aware processing, Tesseract by default, alternate OCR backends, and extraction of embedded text from PDFs and office documents. |
| What happens during intake? | Ingestion can OCR a file, create an archival PDF/A derivative, match metadata, and retain the original. | Documents are automatically processed by type and can have metadata extracted; deployment and operations choices depend on the installation. |
| How are business processes represented? | Includes a workflow system and multi-user permissions, with the archive and retrieval experience as the prominent use case. | Approval and review can be represented as document states with automatic actions, expiration, and escalation options, while events are recorded. |
| Best first question | “Do I need to find a growing stream of records quickly?” | “Must each record pass controlled steps that can be audited and expire or escalate?” |
What Paperless-ngx is best at
Paperless-ngx is designed around the path from physical or digital input to a useful archive. You feed it documents, let the ingestion process extract or create text, apply metadata, and then retrieve records through search, tags, correspondents, types, custom fields, or saved views. That shape suits household records, a freelancer’s receipts and contracts, or a small office that needs consistent filing without turning every document into a formal case.
Ingestion that preserves an original
During intake, Paperless-ngx can run OCR, produce an archival PDF/A version, match metadata, and keep the original file. Keeping both forms matters when an OCR result needs to be checked against a scan, or when an organization must retain the source file while using a normalized archival copy for everyday access.

- SIMPLE FILE MANAGEMENT — Scanner allows the creation of searchable PDFs with Optical Character Recognition (OCR) and convert scans to editable Word or Excel files effortlessly; Designed for home and office document scanning
The system can also recognize when a document already contains enough embedded text. Its documented OCR modes allow you to skip OCR in that situation, redo OCR, or force OCR. Those choices are operational rather than cosmetic: reprocessing every file takes longer, while forcing OCR can introduce document-specific complications. Decide the mode with your archive’s mix of born-digital PDFs, scans, and multilingual files in mind.
Metadata for retrieval rather than bureaucracy
Tags, correspondents, document types, custom fields, and saved views let you build several ways to reach the same record. A receipt might be found by vendor, year, expense type, or a saved view for unreconciled purchases. This is useful when people remember different facts about a document and do not want to navigate a rigid folder tree.
Paperless-ngx also documents workflows and multi-user permissions. Those features can support repeatable handling—for example, assigning an incoming invoice, checking it, and marking it complete—but the product documentation foregrounds archive intake and retrieval rather than a deeply modeled approval system.
What Mayan EDMS is best at
Mayan EDMS treats a document as part of an organizational process as well as a file with metadata. Its documentation describes automatic processing by document type, metadata extraction, OCR, workflow states, event tracking, and controls such as retention policies. The Mayan documentation surfaced for this comparison is version 4.12.2; verify behavior against the current installation and operations guides before deployment.
States, actions, expiration, and escalation
In Mayan’s documented model, an approval or review process is made of document states. A state can trigger automatic actions, expire after a defined condition, or escalate when the expected transition does not occur. That gives administrators a way to express “waiting for legal review,” “approved,” or “expired” as controlled transitions instead of relying on a tag or a note.

- FAST SPEED AND DUPLEX SCANNING – Scan single and double-sided documents in a single pass at up to 16 ppm(1). Color scanning doesn’t slow you down at all as it has the same scan speed as black and white document scanning.
- ULTRA COMPACT – At less than 1 foot in length you can fit this device virtually anywhere (a bag, a purse, a pocket). The DSD (Desk Saving Design) feature reduces the amount of space needed to use the device, saving you 11 inches of desk space. (2)
- READY WHENEVER YOU ARE – The DS-740D is powered via an included micro USB 3. 0 cable allowing you to use it even where there is no outlet available. Plug it into you PC or laptop and you are ready to scan.
- WORKS YOUR WAY – Use the Brother free iPrint&Scan desktop app for scanning to multiple “Scan-to” destinations like PC, Network, cloud services, Email and OCR. (2) Supports Windows, Mac and Linux and TWAIN/WIA for PC/ICA for Mac/SANE drivers. (3)
- OPTIMIZE IMAGES AND TEXT – Automatic color detection/adjustment, image rotation (PC only), bleed through prevention/background removal, text enhancement, color drop to enhance scans. Software suite includes document management and OCR software. (4)
Event tracking provides a history of activity around documents and their process. If you need to understand who changed a record, which transition occurred, or what action was triggered, an event-oriented model is a closer fit than a simple archive view. The documentation does not, however, establish that Mayan will satisfy a particular regulatory regime; compliance depends on your configuration, policies, access controls, backups, and local obligations.

Both systems can turn image-based pages into searchable text. Paperless-ngx documents Tesseract recognition for more than 100 languages and supports full-text retrieval after OCR. Mayan EDMS documents automatic, language-aware OCR, Tesseract as its default engine, alternate OCR backends, and extraction of text already embedded in PDFs and office documents.
Choosing languages in Paperless-ngx
Paperless-ngx can combine installed OCR languages. Adding languages can improve recognition for mixed-language archives, but the documentation cautions that processing may take longer. Install only the language packs you actually need, then test representative pages: receipts with small type, forms with boxes, and documents that mix scripts can behave differently from clean single-language pages.
When to skip, redo, or force OCR
- Skip when sufficient text is embedded: avoids unnecessary processing for a well-formed digital PDF.
- Redo OCR: replaces existing text when you suspect the embedded layer is inaccurate or incomplete.
- Force OCR: applies OCR even when text is present; use it only after testing because document-specific layout or text-layer issues can produce an undesirable result.
These modes should be part of an ingestion policy, not an ad-hoc fix applied after thousands of files have entered the archive. Keep a sample set and compare search results and visual output before changing the default.
Metadata, permissions, and governance
Paperless-ngx’s tags, correspondents, types, custom fields, saved views, workflows, and permissions cover the common needs of an archive shared by a household or small group. The design encourages flexible retrieval: metadata can describe what a document is and who it concerns without forcing users into one folder hierarchy.

Mayan EDMS also handles metadata, but its documented controls put more weight on process and governance. Retention policies, state transitions, automatic actions, expiration, escalation, and event records are relevant when a document must follow a prescribed lifecycle. In that environment, define roles and transitions before importing data; otherwise, users may create records that cannot be routed or closed consistently.
Privacy and optional integrations
Paperless-ngx states that documents are stored locally and are not transmitted unless you choose to send them elsewhere. That is the default posture, not an unconditional promise. Its optional LLM features are disabled by default; when enabled, the configured backend receives document content and metadata. Administrators should document which backend is selected, what data it can receive, and which users can activate or invoke the feature.
For a sensitive archive, make the privacy decision explicit during setup:
- Keep optional LLM features disabled unless there is a defined use case and an approved backend.
- Separate ordinary OCR from any feature that sends content outside the local system.
- Restrict administrative access and review logs or events where the product and deployment expose them.
- Back up originals, derivatives, metadata, and configuration; a searchable index is not a substitute for a restorable archive.
Mayan EDMS’s workflow and event model can help you record operational activity, but the product documentation alone does not establish your organization’s privacy or compliance outcome. Those outcomes come from the complete deployment, including authentication, network exposure, storage protection, retention settings, and recovery procedures.
Which workflow matches your work?
Choose Paperless-ngx when the archive is the product
- You scan household paperwork, receipts, statements, warranties, or correspondence and mainly need fast retrieval.
- People describe documents with tags, correspondents, types, or custom fields rather than a formal case process.
- You want an intake path that can preserve the original while creating a PDF/A derivative.
- Search quality, saved views, and a manageable shared archive matter more than a long chain of approvals.
Choose Mayan EDMS when the process is the product
- A document must pass review or approval states before it is considered complete.
- Managers need event history around transitions and actions.
- Retention, expiration, or escalation behavior is part of the requirement rather than an informal reminder.
- Different document types follow different controlled lifecycles.
When either could work
A small organization that only needs OCR, metadata, and permissions could reasonably evaluate both. Paperless-ngx offers a workflow system, while Mayan EDMS can process and index documents; the deciding issue is how much of the daily work is retrieval versus governed transition. Do not infer that one is faster, easier to administer, or more scalable from the feature lists. The available documentation does not provide a comparative benchmark for those questions.

A practical pilot before migration
A pilot is especially important because neither the feature pages nor the documentation reviewed establish a universal minimum hardware profile, installation cost, comparative speed, or shared-workload scalability. Use a representative sample rather than a handful of ideal PDFs.
- Define the decision. Write down whether success means “find any document in seconds” or “prove that every document followed the required review and retention path.” If both matter, rank them.
- Assemble a test set. Include clean digital PDFs, low-quality scans, multipage documents, tables, handwritten annotations, and every language you expect to process. Keep originals so OCR results can be checked.
- Model metadata. List the correspondents, types, tags, custom fields, and saved views you actually need in Paperless-ngx, or the metadata and document states you would configure in Mayan EDMS. Remove fields that nobody will maintain.
- Test intake. In Paperless-ngx, observe whether OCR is skipped when embedded text is sufficient, and compare redo and force modes on problem files. In Mayan, verify automatic processing by document type and the extraction behavior for PDFs and office files.
- Test retrieval. Search for names, dates, invoice numbers, and multilingual terms. Record false positives and missed results instead of relying on impressions.
- Test the process. For Mayan, run an approval and a review path with an automatic action, an expiration condition, and an escalation case. For Paperless-ngx, test the workflow and permissions you expect to use and check that users can complete ordinary archive tasks.
- Test access boundaries. Create representative users and verify who can view, edit, assign, transition, and administer records. Confirm that a restricted document cannot be reached through a saved view or search result by an unauthorized user.
- Test recovery. Restore a backup into an isolated instance and confirm that originals, PDF/A derivatives, metadata, OCR text, and workflow or event information survive the procedure.
- Measure operations. Time ingestion and searches on your own hardware, note queue backlogs, and record administrative tasks. These measurements are more useful than a generic claim about speed or scale.
Digitizing paper: scanner considerations
If your archive begins as paper, a document scanner is a practical part of the setup. A duplex document scanner can reduce manual page turning for two-sided forms, but the available evidence does not identify or test a particular make or model, price, or availability. Choose hardware based on your page volume, paper sizes, duplex needs, feeder reliability, and the file format your ingestion process accepts, then test it with the same difficult pages used in the pilot.
Scanning is only the first quality gate. Crooked pages, faint print, bleed-through, and missing backsides can reduce OCR accuracy regardless of the document manager. Establish a simple check—page count, legibility, orientation, and correct document grouping—before the file enters an automated queue.
Limits of the comparison
The documented capabilities support a workflow-based recommendation, not a universal winner. No source used here establishes comparative performance, ease of administration, scalability under a shared workload, installation cost, or a supported minimum hardware specification. Availability and behavior can also change with releases and deployment choices. Verify current installation, upgrade, backup, OCR-language, and operations guidance for the version you plan to run.
Paperless-ngx documentation does not establish a current release version in the material reviewed. Mayan EDMS documentation surfaced as version 4.12.2, but that should not be treated as proof that every current installation has identical behavior. Treat the pilot as a requirement test: it should decide whether your documents, users, languages, transitions, retention rules, and recovery plan work together.
Bottom-line selection
For a personal archive or a small team that wants dependable OCR, flexible metadata, and quick search, start with Paperless-ngx. For an organization where approval, review, event history, retention, expiration, or escalation are first-class requirements, start with Mayan EDMS. If your needs sit between those descriptions, run the same representative pilot on both and choose the system that makes the required daily behavior easiest to enforce—not the one with the longer feature list.
