Keep names, student numbers, IEP or 504 information, grades, behavior notes, health details and distinctive personal stories out of prompts. Work only in a school-approved account, verify that retention and model-training are disabled where required, and keep any approved records in access-controlled school storage.
This approach addresses both technical and legal exposure. The UK Department for Education says schools must explain how generative-AI data is collected, processed and stored in their privacy notice, and must ensure personal data is protected in the tool and not used to further train it (DfE guidance). In the United States, FERPA generally restricts disclosure of personally identifiable information from education records without consent, subject to specific exceptions and protective agreements (US Department of Education FERPA guidance).

What counts as student data in an AI playground?
An AI playground is an interactive generative-AI interface where a user can paste text, upload files, select a model and inspect the response. The prompt is only one part of the data trail. The service may also receive account details, uploaded documents, device telemetry, conversation history, feedback, logs and information sent to subprocessors.
Data can identify a pupil directly or indirectly. Removing a name does not make a record anonymous if the remaining combination of school, year group, rare condition, incident date, family circumstance or quoted writing points to one child. A small class and a highly distinctive assignment make re-identification easier.

Use this classification before typing
| Input type | Safer treatment | Examples |
|---|---|---|
| Public or fully synthetic material | Usually suitable for experimentation, subject to the tool’s terms | A fictional paragraph, invented rubric, public-domain passage or made-up pupil profile |
| De-identified teaching material | Remove direct and indirect identifiers; keep details general enough that a pupil cannot be inferred | “Year 8 student” instead of a class and date; altered quotations; broad achievement bands |
| Education-record information | Do not paste unless the district has expressly approved the service and documented the legal basis, controls and purpose | Grades linked to a pupil, attendance, disciplinary notes, IEP or 504 content |
| Sensitive personal information | Keep out of consumer or unapproved playgrounds | Health information, safeguarding disclosures, family finances, disability details or identifiable behaviour records |
When in doubt, treat the material as identifiable. A teacher can ask an AI to suggest feedback criteria without uploading the student’s actual essay.
A repeatable six-step workflow
1. Classify and redact the input
- Identify direct identifiers: names, initials, email addresses, student IDs, usernames, photographs, exact addresses and contact details.
- Find quasi-identifiers: rare diagnoses, precise dates, small-group membership, unusual family events, immigration information, distinctive incidents and verbatim passages that can be searched.
- Replace them with fictional values. Use labels such as
Student A, a made-up school and an altered date range rather than merely deleting a name. - Prefer synthetic text for demonstrations. To show how a model can turn a rubric into feedback, write a new sample answer that has the same skill level but is not a pupil’s submission.
- Keep the original and the redacted copy separate. Do not store a mapping between
Student Aand a real pupil in the playground.
Redaction is a risk reduction, not a guarantee. Read the remaining text as a stranger would and ask whether a colleague, parent or local news report could identify the child.
2. Sign in with an approved school account
Use the district or school tenant, not a personal email account. A managed identity lets administrators enforce role-based access, multifactor authentication, account recovery and off-boarding. It also creates an auditable boundary around who is allowed to use the tool.
Before a first session, confirm the exact product and workspace. A vendor may offer different retention and training controls for a consumer account, an education plan and an API. A school logo or single-sign-on button does not, by itself, prove that prompts are excluded from training.

3. Check the vendor and contract
Ask the procurement, data-protection or IT lead for written answers. Save the approved configuration and the date it was reviewed.
| Question | What a satisfactory answer should specify |
|---|---|
| What is collected? | Prompt text, files, account profile, telemetry, feedback, cookies and any inferred data; identify optional fields that can be disabled. |
| How long is it retained? | Default and configurable periods, backups, disaster-recovery copies and the point at which deletion actually occurs. |
| Is it used to train models? | Whether prompts, files or ratings are used for further training, and whether exclusion is technically enforced for the school’s tenant. |
| Who can see it? | Provider staff, safety reviewers, contractors and subprocessors, including the circumstances and logging of human access. |
| Can the school delete and export data? | Self-service deletion, bulk deletion, account closure, export format, response times and treatment of backups. |
| Where is processing performed? | Countries or regions for storage and support, transfer mechanisms and any region-selection setting. |
| Does it support school controls? | Single sign-on, role separation, administrator policies, audit logs, retention controls and disabling public sharing. |
| What does the contract cover? | Purpose limitation, confidentiality, security duties, breach notification, subprocessors, return or deletion and audit rights. |
| Who may use it? | Teacher and student age requirements, parental-consent rules, supervision expectations and restrictions on direct student access. |
If an answer is vague—“we may retain data to improve services,” for example—treat that as unresolved. Pause the use case or obtain a written district decision that permits only synthetic content.
4. Keep experimentation separate from official records
Do not use a playground as the gradebook, safeguarding file or special-education record. Generate a draft with synthetic content, then transfer only the approved final material to the school-managed system that has the correct access controls and retention schedule.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesOn a shared computer, avoid downloading conversations or leaving browser tabs open. Sign out, close the session and remove temporary files according to the school’s device policy. Browser history, cached attachments and downloaded exports can expose a prompt even when the provider’s account is configured correctly.

5. Review every output before sharing
An apparently harmless response can repeat a hidden identifier, invent a fact about a pupil or produce biased language. Check the output against the source rubric and your safeguarding obligations.
- Search for names, initials, dates, locations and other details that should not appear.
- Verify claims, quotations, calculations and references; generative models can be confidently wrong.
- Look for stereotypes or unequal expectations related to disability, race, gender, language, socioeconomic status or behaviour.
- Remove medical, disciplinary or family inferences that the model introduced without evidence.
- Read the tone as a pupil or parent would. Rewrite feedback that is shaming, threatening or inappropriate.
6. Set classroom rules and an incident route
If pupils will use the tool themselves, publish a short acceptable-use rule before the first activity. State what may be entered, what must never be entered, whether accounts are school-managed, how work is attributed and how to report an accidental disclosure or harmful output.
Confirm the service’s minimum age and any parental-consent requirement. Younger pupils may need a teacher-operated demonstration rather than individual accounts. Supervision should cover the screen, the prompt and the generated answer—not just whether the pupil completed the task.

| Comparison axis | Evidence to record | Why it matters |
|---|---|---|
| Data collected | Prompt, file, profile and telemetry fields | Extra collection creates extra exposure and compliance work. |
| Retention | Default period, configurable period and backups | A short session can remain available long after the lesson. |
| Model-training use | Tenant-level exclusion, opt-out method and contractual promise | An interface toggle is weaker than an enforceable setting and contract. |
| Human and subprocessor access | Access purpose, approval, logging and subprocessor list | Support or safety review can expose content outside the classroom. |
| Deletion and export | Who can delete, how quickly and what survives in backups | Schools need a reliable end-of-use process. |
| Identity and audit | Single sign-on, MFA, roles, logs and off-boarding | Controls reduce accidental sharing and reveal misuse. |
| Geographic processing | Storage and support regions plus transfer terms | Location can affect legal obligations and procurement approval. |
| Contract terms | Purpose limits, security, breach notice, subprocessors and deletion | Policy statements alone may not bind the provider. |
| Age and supervision | Minimum age, consent and teacher-monitoring requirements | Direct pupil access may be restricted even when teacher use is allowed. |
| Administrative burden | Setup, training, review cadence and incident handling | A theoretically safe tool fails if staff cannot operate its controls consistently. |
Use a documented risk review rather than a one-time “approved” label. Recheck when the provider changes its model, account type, retention terms or subprocessors.

UK schools
The Department for Education’s school data-protection guidance requires the school’s privacy notice to explain how generative-AI data is collected, processed and stored. It also says personal data must be protected within the tool and not used to further train the AI. Read the current guidance at gov.uk and align the playground’s settings, contract and classroom instructions with the school’s data-protection officer’s advice.
US schools and FERPA
FERPA protects personally identifiable information from education records. The US Department of Education describes consent requirements and defined exceptions at its privacy and data-sharing guidance. A vendor arrangement may need to fit an applicable school-official or other exception, restrict the provider’s use of records to the authorized purpose and include protective terms. Review the district’s FERPA analysis rather than assuming that a free account or a teacher’s professional intent is sufficient.
Additional practical considerations for education technology are discussed in the Department’s privacy and education-technology guidance. FERPA is not a universal approval for every AI service; state laws, district policy, contract terms and other privacy duties can impose stricter limits.

Use a risk-management framework
For a repeatable governance process, map the use case to the functions in the NIST AI Risk Management Framework: identify the intended purpose and affected people, measure privacy and performance risks, manage them with controls and oversight, and document evidence. The framework does not replace local law or a district privacy review, but it gives a common vocabulary for deciding whether a proposed classroom activity is proportionate.
Physical privacy still matters
A teacher may follow every cloud-control rule and still expose a prompt to someone standing behind the laptop. A correctly sized privacy filter can narrow side viewing; for example, ZAGG describes its removable filter as blocking views from either side (product documentation). Treat it as a shoulder-surfing aid, not a data-protection control. It cannot stop the playground provider from collecting, retaining or reviewing content, and it does not protect a projector, screenshot, printed page or an unlocked account.
What to do after an accidental disclosure
- Stop using the affected session and preserve the minimum evidence your incident policy requires: account, time, tool, prompt type and recipients. Do not copy the sensitive content into another service.
- Use the provider’s deletion or conversation-removal control if authorized, then ask the administrator to confirm whether backups, logs or human-review queues remain.
- Notify the school’s data-protection lead, safeguarding lead or incident channel immediately. They can decide whether families, the district, a regulator or the provider must be informed.
- Change credentials or revoke sessions if an account, shared link or downloaded file was exposed.
- Record the cause—unclear redaction, wrong account, retention setting, shared device or output review failure—and update the checklist and staff training.
Do not promise a pupil that deletion is instantaneous unless the provider and school can verify what was removed and what remains in backups or audit logs.

A one-page teacher checklist
- Is this example synthetic, anonymized or approved under a documented school use case?
- Have direct and indirect identifiers, distinctive quotations and sensitive categories been removed?
- Am I in the managed school account with MFA and the correct role?
- Are retention, training use, human review and subprocessors understood and acceptable?
- Is the tool covered by the school’s contract, privacy notice and risk review?
- Will the output be checked for disclosure, inaccuracies, bias and inappropriate tone?
- Have I avoided saving identifiable prompts on a shared device or in an unapproved workspace?
- If pupils use it, are age, consent, supervision and reporting rules clear?
- Do I know exactly whom to contact if data is entered by mistake?
The safest default is simple: demonstrate AI with invented material, reserve identifiable records for approved school systems, and require a documented decision before changing that boundary.
