Live chat software can cost anywhere from a modest per-agent subscription to a much larger bill once you add seats, higher plan tiers, usage overages and optional AI tools. There is no single industry rate. For a concrete example, LiveChat lists Starter at $19 per person per month with annual billing or $25 with monthly billing. Intercom describes seat-based pricing and warns that messages above an included allowance can create extra charges. Your actual budget depends on the people who need accounts, the features they require, the billing commitment and how much customer activity you handle.

What determines the cost of live chat?

Most vendors build a bill from several components rather than one flat license. Price these components separately before choosing a plan:

As an Amazon Associate I earn from qualifying purchases.

  • Paid seats or user accounts: Each employee who needs to answer chats may be billable. LiveChat states that every user account created is charged, even when the user is not logged in. Intercom also describes seat pricing.
  • Plan tier: Entry plans may provide basic chat, while routing, reporting, integrations, permissions, automation or advanced support features require a higher tier.
  • Billing cadence: Monthly billing generally costs more per month than an annual-billing rate, but an annual plan creates a longer commitment.
  • Metered usage: Some products charge when messages, conversations, AI resolutions or another activity exceeds the plan allowance. Intercom’s pricing FAQ gives messages above 500 per month as an example of usage that can incur an additional per-message cost.
  • Add-ons: AI copilots and other advanced functions may be optional purchases instead of included features. Intercom lists Copilot as a separate per-agent add-on.

These dimensions explain why a headline “starting at” price is not a reliable estimate for a real support team. The relevant number is the total for your seats, plan, usage and add-ons.

Product Published price information Important cost condition
LiveChat Starter: $19 per person/month billed annually; $25 monthly. Team: $49 annually or $59 monthly per person. Business: $79 annually or $89 monthly per person. Every user account created is charged, whether logged in or not.
Intercom Seat-based plan pricing; optional Copilot at $29 per agent/month billed annually or $35 monthly. The pricing FAQ says messages above 500 per month can incur an additional per-message charge. Exact allowance and plan price must be confirmed for your account.
Zendesk Pricing is described as seat-based. The vendor advises considering AI-agent resolution usage and monthly versus annual billing. The available material does not establish a current universal price for a specific Zendesk plan; use the current quote or pricing page for your edition and seat count.

LiveChat’s account rule is specific to LiveChat, not a rule that every provider follows. Likewise, Intercom’s 500-message example should not be treated as a universal threshold for other services.

LiveChat: straightforward per-person tiers

LiveChat publishes three commonly referenced tiers with separate annual-equivalent and monthly rates. Starter is $19 per person per month when billed annually or $25 when billed monthly. Team is $49 annually or $59 monthly per person, and Business is $79 annually or $89 monthly per person.

How the bill scales

At the Starter annual rate, five paid people would be $95 per month equivalent, before taxes or any separately priced service. The same five people on monthly billing would be $125 per month. Annual billing therefore lowers the monthly equivalent by $30 in this example, but requires the annual commitment. If you create accounts for occasional or inactive staff, LiveChat says those accounts still incur a fee.

Who should consider it

LiveChat’s published structure is easiest to model when you know the number of people who need access and which tier supplies the required capabilities. It can suit a team that wants a visible per-person price and can keep its account list tightly managed.

Limits to check

The price alone does not establish which routing, reporting, integration, automation or support functions are included. Map those requirements to the tier before comparing the Starter rate with another vendor’s entry plan.

Intercom: seats plus usage and optional Copilot

Intercom describes plan-based seat pricing rather than one universal price in the available pricing information. Its optional Copilot add-on is listed at $29 per agent per month with annual billing or $35 per agent per month with monthly billing.

Usage can change the subscription total

Intercom’s pricing FAQ says messages above 500 per month can incur an additional per-message cost. That means a team must estimate message volume, not just count agents. Confirm the exact plan, included allowance, overage rate and whether the allowance is measured per workspace, seat or another unit before committing.

Who should consider it

Intercom may fit organizations that want to combine staffed conversations with an optional AI assistant and are prepared to monitor activity against an allowance. Copilot is not automatically included in the seat price shown above; it is an add-on with its own recurring rate.

Limits to check

The available figures do not establish Intercom’s complete plan catalog or a single all-in monthly total. Obtain the current seat price for your edition and add expected message overages and Copilot seats where applicable.

Zendesk: seat pricing with AI usage to model

Zendesk’s pricing material describes seat-based plans and tells buyers to consider AI-agent resolution usage as well as monthly versus annual billing. The current information available here does not provide a universal price for a named Zendesk edition, so it would be misleading to substitute an older comparison-page starting price for a current quote.

Who should consider it

Zendesk can be evaluated when you need a support platform whose cost is tied to agent seats and whose AI-agent activity may be a separate budgeting variable. Include both staffed seats and anticipated AI resolutions in your estimate.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Limits to check

Do not use an older third-party or comparison-page figure as current price evidence. Check the live plan, edition, billing cadence, AI usage terms and any minimum-seat requirement presented for your account.

How to calculate your expected monthly and annual bill

Use a worksheet rather than a headline price. The following method works for any vendor and keeps each cost driver visible.

  1. Count required accounts. List every employee, supervisor, administrator and contractor who needs to sign in. Distinguish permanent seats from people who only need reports or occasional access. If a vendor bills created accounts, remove unused accounts according to its account-management rules.
  2. Select the minimum suitable tier. Write down mandatory capabilities such as chat routing, business-hours controls, reporting, integrations, permissions, automation and support. Confirm that each is included in the selected tier instead of assuming the cheapest plan has it.
  3. Record both billing rates. Capture the monthly rate, the annual-billing equivalent and the total annual commitment. For example, five LiveChat Starter seats are $95 per month equivalent at the published annual rate, or $1,140 for twelve months; monthly billing is $125 per month, or $1,500 if maintained for twelve months.
  4. Estimate metered activity. Use recent conversation or message counts and include seasonal peaks. For Intercom, compare the estimate with the stated 500-message example and obtain the applicable overage rate.
  5. Add required extras. Include AI assistants, extra reporting, additional channels or other add-ons only when the vendor lists them as separate charges. Intercom Copilot, for example, adds $29 per agent monthly on annual billing or $35 monthly on monthly billing.
  6. Calculate scenarios. Produce a normal month, a busy month and a reduced-volume month. Keep subscription, usage and add-on totals in separate columns so an overage does not disappear inside one blended number.
  7. Recheck before signing. Pricing pages, allowances and AI terms are volatile. Verify the current figures, taxes, renewal terms, cancellation rules and any minimum commitment at purchase.

Budget examples that expose hidden differences

Small team with predictable volume

Suppose three agents need LiveChat Starter. At the annual-billing rate, the monthly equivalent is $57 and the twelve-month commitment is $684. At monthly billing, the same seats are $75 per month, or $900 over twelve months. The difference comes solely from cadence; it does not indicate that one plan includes more features.

Growing team with an AI add-on

For Intercom, start with the current seat price for the chosen plan, then add Copilot only for agents who need it. Four Copilot seats would add $116 per month at the annual-billing rate or $140 monthly, before the base seat subscription and any message overage. If activity rises above the included allowance, model that charge separately rather than treating Copilot as the only variable.

Seasonal support operation

A retailer may have a stable number of agents but a large holiday message spike. A plan that looks inexpensive in quiet months can become more expensive if messages or AI resolutions are metered. Compare the annual commitment with the cost of peak-month usage and determine whether temporary seats, a higher tier or a different allowance is available under the vendor’s terms.

Common budgeting mistakes and how to avoid them

  • Multiplying the lowest advertised price: The entry tier may omit a required integration, report or automation. Price the first tier that actually meets the checklist.
  • Ignoring inactive accounts: LiveChat explicitly charges every created account, even when it is not logged in. Audit account lists before renewal.
  • Comparing annual equivalents with monthly totals: An annual rate is tied to a longer commitment. Show both the monthly equivalent and the cash or contractual obligation for twelve months.
  • Forgetting usage allowances: Message or AI-resolution overages can dominate a bill during a busy period. Ask how activity is counted and when charges appear.
  • Assuming AI is included: Intercom lists Copilot separately. Check every AI feature for an add-on price, per-agent scope and billing cadence.
  • Using stale comparison prices: Zendesk’s older comparison material should not replace current plan information. Date every figure in your worksheet.
  • Budgeting only the first month: Include renewal pricing, annual commitments, peak usage and any planned headcount growth.

How to compare vendors on an equal basis

Put each candidate in the same worksheet and use the same assumptions:

Comparison item Question to answer
Seats and accounts What is billable, and are inactive or administrative accounts charged?
Required tier Which plan includes every necessary chat, routing, reporting, integration and support function?
Commitment What is the monthly rate, annual-equivalent rate and total annual obligation?
Usage What activity is metered, what allowance is included and what is the overage rate?
Add-ons Are AI, analytics or channel features included or sold per agent?
Growth How does the bill change when agents, conversations or AI resolutions increase?

Only compare totals built from matching assumptions. A vendor with a higher seat price may be less expensive if it includes the capability another vendor sells as an add-on; the reverse can also happen when usage charges are substantial.

Questions to ask a sales or billing team

  • Is pricing per named user, concurrent user, administrator or another account type?
  • Are inactive, temporary and read-only accounts charged?
  • Which features are unavailable on the entry tier?
  • What exactly counts as a message, conversation, AI resolution or overage event?
  • Is the allowance shared across the workspace or assigned per seat?
  • What are the monthly and annual rates, renewal terms and cancellation deadlines?
  • Are taxes, implementation, onboarding or premium support separate?
  • Can seats be added or removed mid-term, and how are partial periods billed?

Frequently Asked Questions

Is live chat priced per website visitor?

Not necessarily. The examples here emphasize agent seats or user accounts, while Intercom also describes message-based charges. A vendor may use a different unit, so identify the billable seat and activity definitions for the specific plan.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Is annual billing always cheaper?

It can produce a lower monthly equivalent, as LiveChat’s published rates demonstrate, but it creates an annual commitment. Compare the full twelve-month obligation with the flexibility of monthly billing.

How many live-chat seats should a small business buy?

Buy access for the people who must answer, supervise or administer chats, then remove accounts that no longer need access when the vendor bills created accounts. Do not count visitors as agents unless the vendor explicitly uses visitor-based pricing.

Can an AI agent replace the live-chat subscription?

Do not assume so. Zendesk tells buyers to consider AI-agent resolution usage, and Intercom lists Copilot as an optional add-on. AI activity can be an additional cost rather than a replacement for staffed seats.

Why did a bill rise even though the team size stayed the same?

Check for a tier change, message or AI-resolution overage, newly enabled add-ons, renewal pricing or accounts created for people who are no longer active. These variables can change independently of headcount.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What should be included in a live-chat software budget?

Include seat subscriptions, the required plan tier, annual or monthly commitment, metered usage, AI or reporting add-ons, expected growth and any separately charged onboarding or support. Recalculate with current vendor terms immediately before purchase.
