There is no reliable one-size-fits-all number: the right cloud-storage plan depends on how much your account already uses, what else shares its quota, and how quickly you expect to add more. Check your provider’s storage breakdown, estimate your additions over a planning period, then choose the smallest available plan that leaves room for normal variation.
Estimate the storage you actually need
Use this simple forecast:
Estimated target = current shared storage used + expected additions through your planning period + practical headroom.

This is a planning method, not a provider guarantee or an industry standard. Choose a period that makes sense for you—such as the time until you expect to review your plan again—and leave some room for changes in photo and video habits, backups, or other account use.
Outdated Drivers Are Slowing You Down

- Identify any one-time backlog, such as an initial photo-library upload or a device backup, separately from your usual additions.
- Use your own recent storage growth over a known period to estimate additions through your planning period. Treat the result as an estimate.
- Compare the forecast with the available plans. If your current quota still covers it with room for variability, you may not need to upgrade; otherwise, consider the smallest plan that does.
- Recheck after changing backup settings, turning on photo sync, adding a device, or moving email, because each can change what counts toward the quota.
Do not rely on a fixed “photos per gigabyte” or “emails per gigabyte” rule. The provider guidance cited here does not establish a universal conversion for a mixed personal library; image and video settings, attachments, and file types all affect actual usage.

Check what shares the quota
A plan’s headline capacity may cover more than the category you are thinking about. Look at the services drawing from the same account before deciding you need more space.
| Provider | What shares or uses storage | Free or listed capacity |
|---|---|---|
| Google Photos, Drive, and Gmail share Google Account storage. | Up to 15 GB for a Google Account; Google One advertises a 100 GB tier. Details can vary by account and region. Google One plans and Google storage information. | |

Know what happens when storage is full
Running out of space can affect everyday services, not just new uploads. Google warns that a full account can affect Gmail, Drive, and Photos functions. Microsoft says exceeding cloud or mailbox limits can prevent Outlook.com from sending and receiving mail. Apple says an iCloud overage can stop backups, new photo uploads, app updates, and iCloud Mail.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsThat makes the largest categories in your storage panel especially useful: clearing or moving data in one category may help if it draws from the same pool, but a separate mailbox quota may still need attention. Check the provider’s current account notices to see which limit is actually full.

Decide whether you need cloud sync, an archive, or both
Cloud storage is useful for keeping data available across connected devices, but synchronization is not the same as a separate archive copy. Apple recommends making copies of iCloud information and explains how to copy photos and videos to external storage. A local drive can provide a supporting copy; it does not increase your cloud quota.
Before paying for more capacity, decide whether you want convenient syncing, a separate backup, or both. If you keep an archive locally, make sure it is genuinely a separate copy rather than simply another synchronized view of the same library.

Choose based on your account and habits
Compare the options that fit your current setup rather than capacity alone. Consider which services share each pool, the plan available in your region, what stops working when the quota is full, and how your devices and existing services use the account. If you are considering a move to a different provider, verify its export and migration steps before relying on it for your only copy.
